Saving Files

Keep track of where you are saving files, whether it is original work on an Office or Adobe program here at SLAM! or something which is downloaded from the web.

Check the folders in the file directory located on the left side of the file explorer program (found by clicking the folder icon along the taskbar along the bottom of every monitor on a computer or laptop at SLAM!)

Look at the example in the image… Are we looking at the saved contents on a USB drive?

Saving FilesNo, because the USB drive is not highlighted on the file directory (also known as the navigation pane) or listed in the address bar (above the list of files).

Notice how in the image below, we are now actually looking at the files in the USB drive.

The “student” account on the SLAM! computers and laptops is designed to wipe everything from the hard drive folders when that device is turned off or the account is logged off. This is why it is important to have the USB drives for storing your files and being able to easily access them later. It is also a good idea to save your progress often so you don’t wind up wasting time and effort if your data is lost to a mistake.

The Difference Between “Save” and “Save As”

• Hard drives (whether referring to the internal storage units on a device or a USB stick/jump/thumb/pen drive) can store one set of data with one file name in one location.

• The first time you go to save your data, whether it is a Word Document, mp3 sound file, picture or anything else, you must tell the computer where you want to save it and what name you want to give that file.

• “Save” simply updates the currently used file name and location with the most recent version of the data. This will overwrite (or erase and replace) the data that had been stored in a particular folder with that particular name.

• “Save As” asks the user to choose the name and location for storing the file. Using this will allow you to keep your stored data file as it was, as long as you change either the name of the file or the location where you are saving the updated data to.

• The first time you look to save a document, you will have to “Save As” even if you click save. However, if you are using the “Save As” function, you will still overwrite your old data if you do not change the name or location of the new data being saved

Office 365 Accounts

• All SLAM! students are given an email address so they can utilize cloud storage (called OneDrive) and online access to programs including Word and PowerPoint.

• Office 365 can be accessed from any device in any location, as long as you are able to connect to the internet

• The email account formats are: first three letters of your first name, first three letters of your last name, the four digits of your class year (when you graduate high school, @stu.slamboca.com

• Your password is your student ID number, followed by your first initial (upper case) and your last initial (lower case).

• If Olympic Gymnast Simone Biles was a current 7th grader at SLAM!, her email would be: [email protected]

• Her password would be something like: 87654321Sm. **No spaces in either**

OneDrive• Microsoft's cloud (remote) storage space platform is called OneDrive.

• This allows students to store and access files from their OneDrive folders on any device in any location, as long as they can connect to the internet and log in.

• Files created using the programs available through Office 365 are automatically saved to a student's OneDrive folder. You can also upload (which means transfer data to a destination on the internet) other files to your OneDrive folder.

OneDrive• In order to get a file from

OneDrive onto your USB drive, you must select the file (blue check mark appears) and download

This means to transfer data from a source on the internet to your local storage destination.

Clicking on the file menu

(three dots next to file) will also bring up an option to download the file or take other actions.

Download from Office365 programs/appsWhile Word and the other programs on Office365 will automatically save your work on the cloud, you can also download your files from the programs. On Word, it is done by using the File --> Save As menu.

Select "Download a Copy" to get the file in .doc format which allows you to edit the Document (if you have Word or other compatible programs. Download as PDF will give you a version that you can open from anywhere but cannot edit.

**Often, downloaded files will first be stored onto a computer's internal hard drive so you must then move or copy the file to your USB drive.**

When you open Outlook…

On the left side, you will see your main folders: Inbox (messages from others), Drafts (messages you have started but not sent),

Sent messages and Deleted Items.

In the middle, you will find your message list (based on the folder you select, inbox is the default). Messages are usually listed in

order of the most recent to oldest.

You can also utilize the Filter dropdown list to sort messages if you only want to see certain ones in the list

Notice the search bar up top which allows you to find messages involving certain keywords or particular email addresses

Composing A New Message

Who your message is intended for—make sure their address is entered exactly right!

Carbon Copy—people entered here will get the same message as anyone in the To field

Short “title” for message—should only be a few words and should be capitalized

***Remember that emails on Outlook are intended to look more formal than text messages or social media posts. Spelling and grammar are important!Make sure to be clear and polite, especially if you are asking for help or a favor!

Attaching Files To Your Email

We can easily send various types of files with our emails by using the Attach feature.When selecting a file saved on your USB, select "Browse this computer" and find the file in your directory.When selecting a file from OneDrive, select "Browse cloud locations" and make sure to "Attach as Copy" so the actual file data is sent, NOT the link to a folder which can have problems later on.

Audacity and Exporting MP3 Files

• Remember, whenever you Save As, you not only select the file name and storage location, but the file type as well.

• File type is extra important in Audacity, the program which we will use this semester for editing audio. It is important to remember to NOT "Save Project As" as it will save data but not give an audible file to send. Instead, you have to select "Export Audio" from the File menu.

**Once you get to the file directory to save on your USB, select MP3 in the "Save As Type" dropdown list. This type of file provides the best mix of audio quality with small file sizes. Other types, such as WAV files, are either much larger files or will compromise audio quality.
