Making an application.
1. Upon successfully logging into your account, you will be presented with the “My Applications”
screen. From this screen you will see the blue Options button which, if you hover your cursor
over, will allow the user to change their password, update their details, and change their email or
logout. The second blue Submit an Application will allow the user to submit a Firearm and/or
Shotgun Licence application, a Firearms Variation, a Transfer/Notice of Sale or a Change of
Address.
2. For the purpose of this guide, we will apply for the renewal of our Shotgun Certificate. Hover your
mouse over the Submit an Application and select Firearm and / or Shotgun Licence. You will be
presented with the Personal Details page. It is important you read all the information on this
page. Please pay extra attention to the IMPORTANT NOTICE guidance. Once you have read the
information on this page and are satisfied you can apply, click the blue Confirm button.

3. After clicking confirm, the next page you’ll see will ask a couple of questions to ascertain what
you are applying to. As we are applying for a Shotgun Renewal, we answer Yes by clicking the
button next to “Are you applying for a shotgun certificate” and yes again to “Do you currently
hold a valid, in date shotgun certificate?”. At the top of the screen, it will now show us that “you
are applying for: Shotgun Renewal”. The same rules apply for firearms and / or firearms &
shotguns conterminously. Simply click the buttons that relate to your certificate and at the top of
the page, it will show exactly what you are applying for. Please pay particular attention to all the
information you require to make this application. For security reasons, you’ll have 90 minutes to
complete this before the session ceases. Once you are happy, click the blue Next button.

4. The first page will ask about your medical conditions. Please pay special attention to the list of
relevant medical conditions and be honest about your current and past history. For more
information on what constitutes as a relevant condition, click the blue ? next to “Please enter
your medical details.” Answer the first question by clicking Yes or No. If you need to answer yes,
please enter as much information as possible within the text box provided. You’ll now need to
enter details of your current GP Surgery. By clicking the drop down box, search for the practice
relevant to you. If not listed, you can manually enter the Practice Name. Please ensure if you do
enter it manually, then the – Enter Manually – selection is showing in the GP Surgery Name box.
Answer the final questions for Other GP Details if relevant. If you are satisfied with this page, click
the blue Next button.

5. The next page we are presented with is about “Previous Convictions”. If you ever been
convicted of any offence (including spent convictions and speeding, but not including
parking offences or fixed penalty notices) or received a written caution then you should
declare it here. If you are not sure about the actual dates, you can apply to the relevant
Force for more information but an approximate date will suffice. It’s best to declare any
involvement with the Police to prevent any unwanted surprises. Should you have more than
one to declare, click the blue Add Another button to create a new box. Once you are
satisfied this page is completed, please press the blue Next button.
6. The next page will ask about your guns and security. If you possess any guns, click the Yes
button to populate a line in which to enter the details. Select the Calibre/Bore, Action/Type,
Make and Serial No. If you are unsure of these details, don’t worry, we will check them upon
the Firearms Enquiry Officer visit. Likewise, if you have several guns, there’s no need to list
them as we will check these one by one upon the visit. If you have security at your home
address, the next part will ask for details. Enter what type it is, the capacity, whether it’s
alarmed or not, its location (keep it simple, we would rather have “loft” than “located on the
gable end wall with 4 rawl bolts, hidden from view accessed via a digital keypad and 2 dead
locks”. Less is more). Finally enter the installation date and whether it will be shared with
another holder. If it is, please enter all the relevant details. Click the blue Next button to
progress to the next page.

7. The next page is all about the referees. As previously mentioned, please ensure you have all the
details before starting this application. Enter all the relevant information into the boxes, using the
postcode search, enter the referee’s postcode and allow the system to find the address. If the
address is not listed, ensure – Enter Manually – is selected to allow you to enter your referees
address.
You’ll need to enter some contact details for your referee now. When entering the phone
numbers, please ensure that only 11 digits are used. 07123456789 is how the numbers should
look, not 071234 56789 with a space in the middle. Likewise, if using autocorrect, please delete
the blank space at the end of the number. If possible please enter an email address. Finally, we
need to know what capacity you know the referee in. Please simply Friend, Work Colleague,
Manager etc, again less is more. Entering “shooting companion, whom I have known for many
years and is my Sons God Parent” is not necessary. We will also need to know how long you have
known each other, simply 4 is fine. By entering Over 4 years or 4+ years approx. will cause issues.
When you are satisfied with the information, click the blue Next button.

8. You are now on the final page. We require a Digital Signature to sign off your application form.
This is simply you typing your name into the provided box. There is no need for a photo of your
signature, you printing this page off and signing it or anything similar, simply enter your name.
You will also notice 4 blank boxes. Each one will need to be clicked/ticked in turn after reading
the statement. The first confirms that you will pay for the application immediately after
submitting, if we don’t receive payment or notification of sending a cheque in within 24 hours,
your application will be withdrawn. The second confirms that you will upload a good quality
photograph to support your application. Please do not scan your passport, driving licence or your
existing certificates. You can use your smart phone or have someone take the photo for you, if it’s
not suitable we will inform you. The next line details that we have made contact to inform you
that we are in receipt of your GP Verification Report and you are able to apply. If we haven’t
done this, do not attempt to submit your application. Finally, the last line details that if the above
criteria isn’t met, your application will be withdrawn. After selecting these 4 boxes, the blue
Submit button will reveal and you’ll be able to click and successfully submit the application.
9. If your application is successfully submitted, you’ll now see a new screen with some important
information on. Please digest this information before clicking the blue Home button. You will now
be required to pay for the application and upload a photograph. If you are presented with an
error message, please visit the end of this guide for some hints and tips. If you are presented with
the Log In screen after pressing submit, you have taken over the allotted 90 minutes and been
timed out for security reasons.

10. Following clicking the Home button, you will now see your application showing on the “My
Applications” page. There will be a blue line with “Awaiting Payment”. Click the “Actions” link at
the right hand side and select “Pay £49 by card”
11. The payment details window will now appear. If nothing shows after clicking the link please
ensure that you have disabled any pop-up blockers. For iPhone/Mobile users, there is a separate
guide on how to do this. Enter your card details and click “PAY NOW”. This will now submit a
payment for your application.

12. One of the final stages is to now upload a photograph. By clicking the Actions link on the right
hand side, you’ll see an Upload Photo link. Click this to be taken to the new page. Please ensure
that you have taken a suitable passport style photograph, that it’s high quality in colour against
a plain white/grey background. If unsuitable we will inform you. The page shows a blue Browse
button to allow you to locate a file from your computer. Find the suitable photo and click ok.
Then click the blue button. Once uploaded, click the blue Dashboard button to Upload 1 file
return home.
Firearms Holders
1. When applying for the Grant or Renewal of a Firearms Licence, you’ll be required to input a bit
more information. In the first instance, we will require details of the firearms you currently
possess. Please enter the calibre, manufacture, serial number, type and finally the good reason
for this gun. If you wish to acquire any further guns, please select yes to the relevant question
and again enter your details.

2. If you wish to acquire ammunition for this new rifle, please enter the details of which now. Please
be realistic about the quantities you are requesting. We may require further information is the
request is deemed too high.
3. Finally, we require a second referee to support a Firearms application, as shown earlier in this
guide, simply enter all the correct details.
Hints & Tips
The following information is a list of common user errors we have seen, it is not exhaustive
however and simply a “Lessons Learned” history.
Less is more, please don’t enter lengthy explanations into the data fields for example, we
would prefer “Paramedic” not “Paramedic Emergency Technician for East Midlands
Ambulance Service”.
Please enter the dates as DD/MM/YYYY so 01/12/1985 not DD/MM/YY or 01/12/85.
Refrain from using special characters such as “ . , - + & \ etc “
If you have selected an – Enter Manually – please ensure that you actually enter the
information required.
If you have several guns, don’t worry about entering all the details, we can check this upon
inspection.
Phone numbers, ensure that phone numbers are 11 digits only, by adding a space between
an area code and local code it will flag an error.
Auto-Fill. Please do not use auto-fill, it automatically adds an additional space at the end of
the text/number which will cause an error.
