Oxford Brookes University has over 150 years of history. We started out as a small School of Art in borrowed teaching rooms and have grown into one of the UK's top modern universities with a local, national and international reputation for teaching and research excellence.

We have over 18,000 students at Oxford Brookes and 139,000 active alumni in over 189 countries. 79% of our students are full time studying on campus with 82% from the UK and 18% from the EU or overseas.

Brookes Union benefits from its central location in the heart of the John Henry Brookes building at the heart of Headington Campus. This RIBA award winning building was opened in 2014 and provides a modern setting for study on the hill overlooking the dreaming spires of Oxford.

The University is the only UK University in the QS ranking of top 50 institutions under 50 years old and is among the world's top universities in 12 individual subject areas.

Our pre-arrivals, arrivals and Freshers period running from August through to early October, is the biggest and busiest time on campus with c. 6000 new students arriving and settling in on campus.

Arrivals Weekend Sponsorship package The Oxford Brookes Arrivals Weekend activity takes place across Saturday 14th September and Sunday 15th September welcoming between 3- 4000 students to campus.

Brookes Union hosts an array of Arrivals Weekend activities including the distribution of 3000 welcome bags to new students, an information fair and a free BBQ with entertainment.

Freshers’ Fair is one of the key dates in any Brookes student’s calendar, whether they are a new student or returning. With an average of 7500 visits through the fair each year we offer a unique opportunity to showcase your business, service or brand to Brookes students.

Our Freshers’ Fair hosts more than 150 stands and is attended by more than 7000 students. This one day event is held on the first Friday of Semester 1 and this year will be held on Friday 20th September.

Taking over the whole ground floor of the award winning John Henry Brookes building, we offer a variety of spaces and stand options to suit all budgets and can accommodate larger activations, installations or vehicular promotions as part of this event.

All stands come with a table and 2 chairs, power*, access to WiFi*, and one parking space* please note that we limit staff members to 4 per stand.

6.4 Please ensure that any inserts sent to Brookes Union are clearly marked for the attention of [email protected], and sent to the following address: [email protected], Sales & Advertising Coordinator, Brookes Union, John Henry Brookes Building, Gipsy Lane, Headington Campus, Oxford OX3 0BP. Brookes Union cannot accept responsibility for the loss or delay of any delivery that is not clearly marked. 100% of the invoice amount will still be chargeable if inserts are not included due to a delay caused by an incorrectly addressed delivery.

1.1 We reserve the right to refuse distribution of any material or to support any activity that we deem to be unsuitable. This includes, but is not limited to material that contravenes our Equal Opportunities policy, which is available on request. Our decision is final.

1.3 If you have booked advertising and your material is deemed unsuitable for distribution, no refunds will be given.

1.4 Clients may only promote their own products or services. If a client promotes a third party, we reserve the right to terminate their activity in accordance with our cancellation policy as outlined in 3.2.

1.5 Brookes Union take no responsibility for the content of any advertisements or promotions, and will not be held liable for any transactions that may be completed as a result of the promotion or advertisement at Brookes Union.

General 2.1 New companies are required to make payment upfront. Once an account has been established, future orders will be invoiced within 30 days of the activity taking place.

2.2 All Freshers orders must be paid by the end of the first week in September.

2.3 Payments should be made payable to The SU.com Trading Ltd.

Payment

3.1 All cancellations must be in writing to: [email protected], Brookes Union, John Henry Brookes Building, Gipsy Lane, Headington Campus, Oxford OX3 0BP.

3.2 Where a cancellation is made more than 60 days prior to the publication or event date, there will be no charge. Where a cancellation is made more than 45 days prior to the publication or event date, 50% of the agreed fee will be payable. Where a cancellation is made more than 30 days prior to the publication or event date, 75% of the agreed fee will be payable. Where a cancellation is made less than 30 days prior to the publication or event date, 100% of the agreed fee will be payable.

Cancellation5.1 All advertorials will be subject to the approval of Brookes Union.

6.1 Brookes Union take no responsibility for any inserts, leaflets and / or posters. You accept full responsibility for the quality and safety of any product we insert into our Goody Bags on your behalf.

6.2 Size and weight per insert into our Freshers Goody Bags must be agreed with Brookes Union in advance.

4.1 In the event that for any reason Brookes Union shall cancel all or any part of a publication, or be unable to perform their obligation under this agreement, the liability of Brookes Union shall be limited to the refund of any payments made by the exhibitor to the Students’ Union under this agreement.

4.2 Brookes Union shall accept no liability with regards to attendance figures to any event.

7.3 Exhibitors are responsible for the security and safety of their property. Brookes Union cannot be held responsible for damage or theft unless caused by gross negligence on the part of the Brookes Union. Any equipment or product stored overnight at Brookes Union is at the entire risk of the exhibitor.

7.4 Any damage caused by an exhibitor to backing boards, walls, ceiling or flooring including any cleaning costs, will be recharged.

7.5 All aspects of an exhibitors stall, including the promotional material and staff, must comply with Brookes Union’s Equal Opportunities policy.

7.6 We can accommodate one parking space per commercial rate booking. You may use our loading bay to unload materials, but you must take your vehicle off the premises afterwards if you don’t have an allocated parking space for it.

7.7 For environmental reasons, exhibitors are not permitted to distribute plastic bags at the Fair.

7.1 Exhibitors may only promote their own products or services. Any stall holder found promoting a third party will be asked to leave and be escorted from the premises if required.

7.2 Exhibitors must only promote products and services from the immediate vicinity of their stall. Anyone seen distributing promotional material or collecting data elsewhere on the premises will be asked to leave.

8.2 Artwork for advertorial pages in the ‘Welcome to Oxford Guide’ should be supplied as layered files (InDesign / Photoshop) to allow us to change the arrangement and sizing of elements.

8.3 Artwork for web or email should be screen resolution (72ppi), optimised for the web, and saved as png, jpeg or gif. Website artwork should be supplied with a URL for the web ad to link through to.

8.1 If you are supplying your own artwork you can send it to us in digital format by post, email

9.1 You shall indemnify us against all loss, actions, costs, claims, demands, expenses and liabilities whatsoever which we may incur either at common law or by statute in respect of personal injury to or death of any person or in respect of any loss or destruction of damage to property (other than as a result of any default or neglect of ourselves or of any person for whom we are responsible) which shall have occurred in connection with any work executed by you under this contract.

6.1 Brookes Union take no responsibility for any inserts, leaflets and / or posters. You accept full responsibility for the quality and safety of any product we insert into our Goody Bags on your behalf.

10.1 Where a signatory does not have the necessary authority to make purchase orders and has signed this order, Brookes Union reserves the right to pursue any claim for outstanding monies from the signatory themselves.

11.1 Brookes Union reserves the right to refuse any unsuitable copy.

11.2 Brookes Union does not accept responsibility for any loss or damage resulting from error, late publica-tion, non publication, or failure of any cause.

11.3 Photographs, artwork etc. can be returned if re-quested. However, Brookes Union does not accept any responsibility for loss or damage, and is not an insurer for such articles.

11.4 Advertisers must warrant that the information in their entry(ies) is accurate and not a breach of the Trade Descriptions Act (1968) or any subsequent Acts. Brookes Union does not take any responsibility for inaccurate or misleading information.

Adverts and Advertising

12.1 Any company that collects data whilst promoting at Brookes Union must be compliant under the EU General Data Protection Regulation 2018.

Data protection

13.1 This contract shall be subject to English law and the jurisdiction of the English Courts.

Law

11.5 Corrections, changes and amendments must always be confirmed in writing.
