Overview The Meter Entry Extranet allows National Accounts and Government Marketing Division Servicing Dealers and Customers to submit their meter readings directly to Canon. The contact for National Accounts questions is Vonrick Alexander and he can be reached at (516)-328-5434. The contact for Government questions is Morris Carrington Briggs and he can be reached at (703) 807-3307 Functions Meter Entry – Using the Meter Entry function, meter counts may be entered individually for each displayed machine (serial number). The machines for which meters are due are posted on the site. Machine Location Change – You may submit a change request to Canon if a machine’s location has changed. Meter Contact Change – You may submit a change request if the person responsible for reporting the meter reading changes, telephone number, fax number and or email address. Machine Exceptions – In the event a machine is posted on the website, but the machine cannot be located, or has been removed, you may submit an exception report to Canon. Meter Upload – Customers or dealers submitting large volumes of meter counts might wish to use the upload function. The upload function will allow the user to submit a simple EXCEL comma delimited (.csv) file containing all serial numbers and current meter counts. Once the meter counts are submitted to Canon via this website either using Meter Entry or Meter Upload, the counts are migrated to Canon’s billing system and the monthly invoice to the customer and credit to the dealer will be issued automatically. Once the meter counts have been received by Canon’s billing system, the associated machines are removed from the website and will not be posted again until the following month. Meter Download – The list of machines that are posted on the site for meter entry may also be downloaded to the user’s PC as a comma delimited file. You may wish to use this file to upload into your own system. Resubmit Meters – Modify/delete meters already submitted (before billing date). Reminder Notices - The system emails reminder notices to the user for meters coming due. Reminder notices are sent on the first of the month, one week prior to the due date and 3 days prior to the due date.

Menu Use the Entry hyperlink for direct entry of meter counts for each machine. Use File Upload to submit a file of Meter Counts to Canon. Use Resubmit if you need to make changes on meter counts that were previously submitted to Canon. You may resubmit a meter reading provided the meter due date has not passed. Use Customer Submitted to Canon to view meters readings that are submitted directly to Canon, which your dealership is servicing. Use DLR MTRS – Received from customer (billed) to view all meters that your dealership has submitted for billing.

Meter Entry (Direct Input) Step 1:

Using the Options screen you have the ability to either select a single machine serial number or display a group of serial numbers using the selection parameters shown below (National, Government or ALL). Press ‘Search’ to display.

Step 2:

Enter the current meter counts for all displayed machines. If you have entered meter counts for some machines but are not ready to submit the file to Canon, press “Save Locally” to save the counts you have entered so far. To send the meter counts to Canon press “Submit to Canon”.

Step 3: To modify the machine installation information (location), click on the Serial Number hyperlink. Then click on “Change Machine Location Info.”. The Machine Master Maintenance Screen will be displayed.

To modify the “Meter Contact Info”, click on the Serial Number hyperlink. Then click on “Change Meter Contact Info.”. The Meter Contact Maintenance Screen will be displayed.

Step 4: A unit can be placed on “Exception” due to the following reasons:

A) The previous count is less than previous (meter correction required)

B) Contact –Info. Incorrect

C) Unable to locate

D) Machine Removed

E) Other

When a unit is placed on “Exception”: (two things occur)

A) You will notice a grey shaded line across the serial number (file is now locked).

B) An email is sent to Billing Representative for assistance. When the Billing Rep. resolves the issue, he/she will then release the file enabling the dealer/end user to collect a meter reading following month.

To place a machine on Exception, click on the Message button. Then select the “Reason”.

Note: If you enter a meter reading less than previous, then hint “Tab” on your keyboard. A window will automatically appear advising the dealer/end user to verify the meter reading before submitting for correction (exception).

Step 5: To view a machine’s meter history, click on the Previous Count hyperlink. The Meter History screen will be displayed.

Meter Entry (Upload) Use the Meter Upload feature if you prefer to send your meter counts to Canon via a file rather than direct input on the web site. This feature is typically used by customers who already transmit their meter counts to Canon via file or who have large volumes of meters to report. Step 1: Your meter file should be created as a .CSV (Comma Separated Value) file. A CSV file can be created using EXCEL and saving the file as a CSV type. The file must contain 4 columns: Column 1: Serial Number Column 2: Meter Type Column 3: Meter Count Column 4: Message (Enter your company name here)

Note: “Meter Type”: B/W copiers only require one meter reading “Total / 101”. This is reflected as the “T” meter. Color copiers require two meter readings (Total / or 101) is reflected as the “T” meter and (Total Black 1 / or 108) is reflected as the “B” meter. If you are creating this file using EXCEL, Select “File”, “Save As”, Choose: Save as Type: CSV (Comma Delimted(*.csv) Choose OK. Close EXCEL.

Step 2: Confirmation After you have saved the file, check its format using Notepad. START>>PROGRAM>>ACESSORIES>>NOTEPAD. There should be no spaces between fields and a comma should separate each field

Step 3: Upload the file. Select the File Upload hyperlink from the Meter Entry Menu.

Step 4: Use the Browse feature shown below or type in the name of your upload CSV file. Step 5: Press the Uploading Data button to begin the upload.

Meter Download Use the meter download feature to download the file of meters pending your input. Download will prepare a file containing all of the meter information that appears on the meter entry screens. Select Download CSV to begin the download.

Select “Save the file to disk”

Once saved, you may open the file using EXCEL. Click on “File Open” and locate the file you saved.

After you locate your file, click on “Open”. Text Import Wizard will appear. Select “Delimited” then next.

Delimiters – Please check the all the following boxes (Tab, Semicolon and Comma ). Then select Next, then Finish.

You must then Save As into an excel format (.xls). You can use this report to make phone calls and collect the meter readings (just like the meter reports).

Meter Resubmit You may change the value of a meter and resubmit this information to Canon provided the meter due date has not passed. Step 1: Select Resubmit from the Main Menu.

Step 2: Use the checkbox to select the machine(s) for which you’d like to resubmit the meter reading. Press the Change Value Button.
