Division 26 Officer Training
Saturday, April 28, 2012 2:00 PM – 3:30 PM
President• Hold a Key Club
meeting every week or every other week and create an agenda for every meeting
• Hold an officer meeting every week or every other
• Make sure that every officer knows what his/her duty is
President• Get to know members on a
personal level and answer any questions they may have
• Work to recruit members for the club
• Distribute newsletters to ALL members
• Make sure members are aware of all divisional updates
PresidentWhen running a Key Club meeting…
• Take a deep breath before you start
• Make sure you know what you are talking about!
• Don’t read off a piece of paper/screen
• Look at your members• Make sure members are paying
attention/listening• Talk in a loud voice• Stress key phrases• Take pauses• Be confident • Good posture!
Vice President
• Be prepared to take over the role of president at any time
• Assist other officers in any way possible– VPs are in charge of
taking over an absent officer’s duties
– Help the editor and secretary with bulletins, Meeting Minutes, emails, etc.

• Watch over the committee system and assist committee chairs
• Fill out a Vice President Report by the 5th of each month (preferably by the 4th) – new to our division!

Secretary• Fill out a secretary report by
the 5th of each month (preferably the 4th)
• Take meeting minutes at every officer and Key Club meeting
• Take attendance at all meetings
• Maintain a club roster with the following information for each member: Full name, home address, email address, phone number, birthday, and date of joining Key Club
• Send an email after every Key Club meeting to all members

every Key Club meeting for service projects
• Keep a list of description for each service project the club has done
• Maintain the club email (make a club email if your club does not already have one)
• Keep track of how many service hours each member has fulfilled

your club and Kiwanis advisor as well as your school’s fiscal secretary

financial records– Document money spent and
received
• Know your Key Club’s account number and password– This will be given to your
club’s faculty advisor in September
Editor• Prepare a monthly
newsletter with all of the following info:– Upcoming events– Officer information– Meeting schedule– Review of completed projects– President’s message– District project Information– Divisional reminders– Newsletter should be distributed
via email/Facebook

• Create a bulletin for each Key Club meeting– This should include
upcoming events and other reminders
• Update the club website on a regular basis (if there is no webmaster)

• Newsletters can be uploaded to issuu.com• Bulletins should be used at each KC meeting• Use a good combination of words AND pictures• Use big fonts• Bold/highlight important information• Proofread your publications! Double check
spelling/grammar

• Monthly newsletters are worth 15 RB points per month
• 5 RB points per bulletin every week OR 10 RB points per bulletin every other week
• You must send the bulletins to me to receive the points!

All Officers• Look for events for the club
– Aim to have at least 2-4 events per month!
• Attend as many Kiwanis meetings as possible – At least once a month if at all possible! – Extremely important for club
presidents and vice presidents!
• Communicate with and help each other– A Facebook group for just your club
officers might be a good idea
• Keep up with schoolwork and maintain your grades
All Officers• Consider creating committees to
help with additional duties– Public Relations/Class Public Relations/Class
representativesrepresentatives – help promote KC throughout the school
– Fundraising chairFundraising chair – help KC raise funds for DCON
– WebmasterWebmaster – help KC create a website for members to use
• Recruit members!!!
• Come to as many DCMs as possible
• Proofread all publications for spelling/grammar mistakes
Spelling and Grammar 101/Other Tips
• Their vs. There vs. They’re• Your vs. You’re • Its vs. It’s (never its’)• Than vs. Then• Who’s vs. Whose• i.e., vs. e.g., (i.e. that is and e.g. for example)• Could/Would of vs. Could/Would have• I vs. Me• Use light fonts on dark backgrounds OR dark fonts on light
backgrounds when making a presentation (for newsletters and bulletins)Dictionary.com and Google are your best
friends!
Common Mistakes
• Who’s vs. Whose– Who’s Who is– Whose possessive
• i.e., vs. e.g,– i.e., that is – e.g., for example– Always put a comma after the period
• Could/Would of vs. Could/Would have– NEVER say could/would of– The correct idiom is could/would have
