POWERPOINT – BASIC OPERATIONS

AIM:

To learn the basics of adding a New slide, Adding a content, Starting a slide show and Running through the slides in PowerPoint.

PROCEDURE:

1. Open PowerPoint by double-clicking the PowerPoint 2007 icon on the Desktop, or from Start/Programs/Microsoft Office/Microsoft PowerPoint 2007. The PowerPoint Application appears displaying a blank presentation.

CREATING A NEW SLIDE

1. On the Home tab, in the Slides group, click on New Slide.

The Layout gallery now displays ‘thumbnails’ of different layouts to choose from.

2. Select the Title and Content option. There are two placeholders on this slide, title and content. The content placeholder can be text, pictures, clip art, a SmartArt graphic, tables, charts etc.

3. Add the title

4. In the content placeholder type the contents.

5. Press [Enter].The text is formatted as a bulleted list.

6. Type the content pressing [Enter] at the end of each word.

7. Save the presentation.

ADDING CLIPART

1. On the Home tab - Slides group - New Slide button - select the Two Content Layout.

2. In the title placeholder type the title

3. In the content placeholder on the left, type the content.

4. In the content placeholder on the right, click on the Clip Art icon. The Clip Art pane will appear.

5. In the Search text: box type: ideas and then click on Go.

6. To select a picture, point to any picture in the Clip Art pane. An arrow button will appear at the right of the picture. Click on the arrow and select the picture.

7. Save the presentation.

RUNNING THE SLIDE SHOW

1. To run the Presentation Guidelines slide show from the beginning, do one of the following:

• On the Slide Show tab, in the Start Slide Show group, click on the From Beginning button. Notice that each slide now takes up the whole screen.

• Press the [F5] key on the keyboard.

2. To run the slide show from the current slide, either:• In the status bar, click on the Slide Show document view button.

• On the Slide Show tab, in the Start Slide Show group, click on the From Current Slide button.

MOVING THROUGH THE SLIDE SHOWTo move to the:

i. Next slide - press the [right arrow] key.ii. Previous slide - press the [left arrow] key.iii. To exit the slide show - press the [Esc] key.iv. After the last slide, the slide show ends with a black screen. To exit from

the Slide Show click anywhere on the black screen or press any key on the keyboard.

RESULT:Thus the basic operations like creating a slide, adding clipart, running a

slide show and moving through the slide show are successfully practiced.

FORMATTING THE SLIDES

AIM:To learn to format the PowerPoint slides by Applying designs, selecting a

different color scheme, changing the background, working in the slide sorter view and creating slide transitions.

PROCEDURE:

APPLYING A DESIGN

1. On the Design tab, in the Themes group, point to a Theme (eg, Civic). The Theme name will appear and a Live Preview of how the Theme will look on the slide show is seen.

2. Use the scroll buttons to the right of the Themes to view the different ones.3. Try pointing to a few Themes to see how they change the presentation.4. Apply the Flow theme to the presentation.5. View the effect of the design on each slide, either in Slide View, or by

running the Slide Show. Applying a design may change the following:• The text font and colour.• The background.• The bullet style.• A graphic may be added (eg circles)

SELECTING A DIFFERENT COLOUR SCHEMETo select a Theme Colour based on our design theme.

1. On the Design tab, in the Themes group, click on the Colors button. A menu will appear displaying the available colour schemes.

2. Click on a colour scheme of the choice.

3. View the effect of the change in colour scheme

4. Save the presentation.

CHANGING THE BACKGROUND

1. On the Design tab, in the Background group, click on the Background Styles button. A number of background styles will be displayed.

2. Point to the different styles to see a Live Preview of the changes on the slides.

3. Select a background style of the choice.

WORKING IN SLIDE SORTER VIEWSlide Sorter View allows to change the order of the slides.

On the View tab, in the Presentation Views group, click on the Slide Sorter button.

To select a slide - simply click on it.

• To select a range of slides - click on the first slide, hold down the [Shift] key, then click on the last slide.

• To select more than one slide - hold down the [Ctrl] key while clicking on the required slides.

• To select all slides - Home tab - Editing group - Select button - Select All

• To move a slide - select the slide, then drag it to the new position. A vertical line will show where the slide is being moved to.

• To copy and paste a slide - select the slide to copy, then choose Copy (Home tab, Clipboard group). Then click where the slide is to be pasted (a black vertical line will appear), and select Paste (Home tab, Clipboard group).

• To delete a slide - select the slide, then press the [Delete] key.

• To hide a slide - select the slide - Slide Show tab - Set Up group - Hide Slide button.

CREATING TRANSITIONS

Transitions are special effects that merge one slide into another. Transitions can be set up in Normal or Slide Sorter View.

1. Select a Slide.

2. On the Animations tab, in the Transitions to this Slide group, point to thedifferent Transitions in the gallery Notice the Live Preview of theTransition on the slide.

3. Under the Stripes and Bars sections, select the transition Blinds Horizontal.

4. Change the view to Slide Sorter view. Notice how a Transition icon appears underneath the selected slide. Clicking on this icon will again give a preview of the transition effect.

5. In the Animations tab, in the Transitions to This Slide group, click on the Transition Speed arrow and change the transition speed to Medium.

6. Check that the On Mouse Click option is selected in the Advance Slide section. This allows to move through the slide show manually, ie using the mouse or arrow keys

7. Apply different transition effects to slides 3 - 6, then run the slide show.

8. Exit out of the Slide Show any time by pressing the [Esc] key.

RESULT:

Thus the formatting of slides in a PowerPoint presentation is practiced.
