What makes maps unique?• Haven’t always been catalogued• Only in 1997 that Canadian map libraries began giving maps to

Amicus• With GIS and e-maps, the need to have a systematic method for

cataloguing is greater

Differences• Chief source of information• Access points – various titles, statements of responsibility and

geographic areas (MARC field 651)• Mathematical data• Physical Description• Notes area• Series with multiple titles

What is a map• All materials representing whole or part of the Earth or any celestial

body• Two or three dimensional• Maps of imaginary places. • Examples: aeronautical, nautical, celestial charts, atlases, globes,

block diagrams, sections, aerial photographs with a cartographic purpose, bird’s eye view maps etc

What is not a map• Early or manuscript cartographic materials (mostly covered in

chapter 4 with one item in physical description)

What may be a map• Items falling within scope of other chapters but presenting

cartographic info (e.g. playing cards, wall charts)

Chief source of information

• Comes from the item itself• If in parts, all parts are treated as item• Can also be container if not on item (cover, envelope,

portfolio)

In whole or in parts• Maps may be described as a whole or in parts

depending on the cataloguing agency. When in doubt do it as a whole

Title and Statement of responsibility Title• Comes from chief source. If not from there, make a note• If the title proper or other title doesn’t include geographic area,

include one in square brackets • Add scale when included in title

Items without a collective title• If collective title and individual ones, give collective title as title

proper with individual titles in notes

Statement of responsibility • As per Chapter 1• May be preceded by ‘artwork by,’ ‘drawn by,’ ‘surveyed by,’

‘prepared by’ etc

Mathematical and material specific details Source of information• Chief source and/or accompanying printed material

Options for scale1. Scale given as ratio 1:x – note it and precede by ‘Scale’ (e.g. Scale

1:250,000)2. Scale given by not representative fraction – put it square brackets (e,g,

scale statement reads ‘1 inch to 4 miles’ then record ‘Scale [1:253,400]’3. None found – give estimate in square brackets (e.g. Scale [ca. 1:63,360]4. Scale given by varies – give range ‘Scale 1:15,000 – 1:25,000’5. Other options:

• ‘Scale not given’• ‘Scale varies’• ‘Scales differ’• ‘Not drawn to scale’

Projection and Coordinates Projection • What – Type of projection used. The means to represent curve of

the earth on flat surface• How – Add if found. Use abbreviations and numerals as per

appendix B,C

Coordinates • What – Set of coordinates enclosing map• How – For terrestrial maps, give the coordinates in this order:

• Western extent (longitude)• Eastern extent (longitude)• Northern extent (latitude)• Southern extent (latitude)

• Do it in degrees, minutes and seconds preceded by W, E, N, S with prescribed punctuation (E 92°--E 158°/N 28°--S 16°)

EDITION AREA

• As per Chapter 1, no changes except...

Statement of responsibility relating to the edition• Give statement of responsibility relating to one or more

editions, but not to all editions, of cartographic item as per 3.1

o 3rd ed. / with maps redrawn by N. Manley

• Same rule applies for named revision of an edition

PUBLICATION, DISTRIBUTION, ETC., AREA

• Give the date of a map manuscript as instructed in Chapter 4 (4.4B1)

PHYSICAL DESCRIPTION AREA

•Give extent of cartographic item (number of physical units or number of maps) using arabic numerals and terms such as: atlas, diagram, globe, map, model, etc.

o 1 globe, 10 identical maps

•If more than one map on one or more sheets, specify number of maps and sheets

o 6 maps on 1 sheet

o 8 sections on 3 sheets

•If maps printed in segments designed to fit together to form a map(s) – give number of complete maps, and number of segments and number of sheets

o 1 section in 4 segments

o 1 map on 4 sheets

•If sheets or parts of item are very numerous and exact number cannot be determined, give approximate number

o ca. 800 maps

•If an item consists of many sheets, each of which is a complete map, treat it as a collection

•Give visual and tactile data. Add a concise term to the extent of the item

o 1 map in 4 segments (print, braille and tactile)

o specify if thermoform (in parentheses)

Other physical details are given in this order:

•Describe unusual layout of maps on sheets

•Same map, more than 1 language on each side use back to back

o 3 maps on 1 sheet : both sides, col.

o 2 maps on 1 sheet : back to back, col.

•Give production method (other than printing) if significant (blueprint, photocopy, etc.)

•Number of maps in an atlas -- as per Chapter 2

•Colour – indicate but disregard coloured matter outside map border

•Material – of which the item is made if significant

o 1 map : col., silk

•Mounting -- If a map or globe is mounted, indicate thiso 1 globe : col., wood, on brass stand

Dimensions -- Maps, plans

•Give height X width in cm.

•Measured within neat line

•Irregular shape, or no neat line, or if bleeds off the edge, give greatest dimensions of the map itself

•Extremely irregular -- difficult to determine points for measuring height and width, or when printed without one or more borders, give height × width of the sheet specified as such

•Circular -- Give the diameter of a circular map, and specify

Different Sized Sheets

•On sheets only two sizes: give both sets of dimensions

•On sheets of more than two sizes, give greatest height of any of them X greatest width of any of them and or smaller.

o 1 map on 2 sheets ; sheets 25 × 35 cm. and 30 × 35 cm.

o 1 map on 4 sheets ; sheets 30 × 40 cm. or smaller

•If map on sheet(s) and segments, give dimensions of complete map, then dimension of sheets

•If difficult determine the points for measuring height and width of a complete map that is in segments, or if difficult to assemble the map, for measuring, give only height and width of the sheet(s) specified as such

• 1 map on 6 sheets ; sheets 60 X 60 cm. or smaller

•Map printed with outer cover within which it is intended to be folded or if sheet itself contains a panel designed to appear on the outside when sheet is folded, give size of the map, and add sheet size in folded form, preceded by a comma

• 1 map ; 80 X 57 cm., folded to 21 X 10 cm.

•If map printed on both sides of a sheet at same scale, give the dimensions of the map as a whole, and give the sheet size, separated by a comma and preceded by on. If difficult to measure such a map, give the sheet size alone

o 1 map : both sides ; on sheet 45 X 30 cm. (Printed on both sides of sheet)

•If the maps in a collection are of two sizes, give both. If they are of more than two sizes, give greatest height of any of them by greatest width of any of them and or smaller

•Atlases – give dimensions as per Chapter 2

•Models – give height X width in cm.

•Globes – give diameter specified as such

o 1 globe : col., wood, on metal stand ; 12 cm. in diam.

Series AreaWhat is a map series?

• group of topographic or thematic maps or charts• each sheet identified by publisher as belonging

to the same series

It is not an atlas or a map collection• An atlas is a monograph and typically in book

format. In addition to presenting geographic features and political boundaries, many atlases often feature geopolitical, social, religious and economic statistics.

• A map collection typically refers to the map “holdings”
