Document Properties

New User Interface

Ribbon: displays commands on Tab groups

Tabs: default set of commands, by groups

Groups: commands organized into sets of similar tasks

Contextual tabs: additional formatting tabs that display when objects such as images, header, tables, charts, etc. are selected

Galleries: graphic display of options (images, styles, etc.)

Live Preview: displays formatting as it will look when applied to the selection or document

Panes: displays information previously limited to dialog boxes, including the Navigation pane for search results (Find).

Sharing Data on the Cloud

Office 2013 has many new collaboration features. For example, users can work together on a document after it has been saved online (OneDrive or Microsoft SharePoint 2013). The person(s) sharing the document must have an account to share or present.More than one person can make changes even at the same time. Word, for example, alerts users with a notification in the status bar when someone is working with you on the document. The edits become available to users when the document is saved. Changes appear with a green background which disappears the next time you save the file.

When someone is changing text, the area is locked and no one can overwrite the changes. However, if changes are made at the exact time, or the changes were made offline, Word displays any conflicts the next time you save the document, allowing you to determine which changes to keep.

If a file is saved to OneDrive or Microsoft SharePoint 2013 in Word, collaborators can work on it in Word Online (not a full Word version) or in Word itself, for full functionality.

Note: Emails are sent to the invited people with links to the document.

Presenting a document online

A document can also be presented on line using the Microsoft Office Presentation service, a free, public service. Others can follow along in their web browser after they receive a browser link to the document. No setup is required, however the Presenter does need the free Microsoft Live account to present. Those viewing the presentations will need a browser.

Present a document online.Note: The person sharing must have a Live.com,

Outlook.com account, use SharePoint or some other online collaboration/file storage product.

Open: the document to be sharedChoose: File tab, ShareChoose: Present Online

Note: To enable attendees to download a copy of the document, click the box next to “Enable remote viewers to download the document”.

Choose: Present Online

Note: To send a meeting invitation to attendees, choose one of the following: Copy Link – and paste it somewhere others can access it, Send in Email, Send in IM – available if you have an Instant Messaging service installed.

Choose: Start Presentation

Note: To end the online presentation, click the End Online Presentation button.

Inserting Online Content

Office 2013 enhances the options to insert content from the Internet into files. Word and PowerPoint can also insert online video using Bing Video search. When using a Microsoft account, other online sites can be accessed.

Clip Art downloaded from Office.com by licensed Office users is royalty free. Other online services may have usage and licensing terms. It is important to be sure you have the legal right to use content inserted from the internet.

Bing Image Search results may come from any web site with no unified license for the content. A filter is applied to show only images licensed under Creative Commons copyright licenses, a standard used for royalty-free content. However terms may vary as to whether or not the original work can be altered or used commercially.

OneDrive Storage Service

Files can be stored on the cloud using the Microsoft OneDrive storage service. To sign in, use the link in the upper right corner of the application window. If you create a free Microsoft account, your name and account image is displayed.

The account settings and services is changed in the Backstage view, Account option. Changing online profile and photo, switching accounts and logging out can be accomplished here. Theme settings can also be changed.

Services (images & videos, storage and sharing) can be added in the Account pane. Once added, the service appears as appropriate when
