Run SAP like a Factory (RSLF) is SAP's framework and program for effective and efficient

application management and solution operations. It contains content, procedures, services, and

practices to implement an Operations Control Center (OCC) based on SAP Solution Manager

functionality and technology, that provides all of the important status and runtime information on

core business processes and underlying software components.

SAP Solution Manager monitors this solution and system landscape, i.e. collects critical events

from SAP and non-SAP systems and system components. In the Operations Control Center,

operators on shift are informed about events via alerts. Exception Management immediately starts

with error handling procedures and root cause analysis. Escalation Handling and Incident

Management are initiated from the Operations Control Center as well.

Run SAP like a Factory, i.e. an Operations Control Center, is implemented in a corresponding

implementation project, which includes technical and organisational aspects. SAP provides

templates for Run SAP like a Factory projects, which can be used as project plans and project

roadmaps in SAP Solution Manager’s project management. The following article outlines a number

of features and functions to get the most out of SAP Solution Manager’s Run SAP like a Factory

Roadmaps.

WORK WITH ROADMAP AND PROJECT

SAP Solution Manager Roadmaps for Run SAP like a Factory “ESRV RSLaF <Flavor> <Version>” are part of software component ST-ICO SP32 and subsequent support packages. The current version of the Run SAP like a Factory Roadmaps is 2.0 (as of ST-ICO SP35). There are two SAP Notes describing implementation content (ST-ICO) and its implementation/upgrade:

For SAP Solution Manager 7.1, there a no support package level restrictions for the ST-ICO application. ST-ICO support packages can be applied without restriction starting with Solution Manager SP00. However, all support packages for ST-ICO need to be applied in sequence. Roadmaps are part of SAP Solution Manager. They contain standard methodology and cover most important phases, work packages, activities, and tasks of an SAP implementation project. Roadmaps provide links to accelerators and tools which perform project tasks. Use Roadmaps in the context of Run SAP like a Factory to manage your operations implementation project, i.e. to manage your implementation of tools, processes, and organizations around the Operations Control Center, i.e. in the areas of Application Operations and Business Process Operations. The Run SAP like a Factory Roadmaps as well as SAP Service Marketplace have further details (http://service.sap.com/runfactory). There are three Roadmaps available in the Run SAP like a Factory context:

Find and Navigate a Roadmap

Follow the instructions in this chapter. The steps of how to locate and display roadmaps in SAP Solution

Manager are described.

Start transaction RMMAIN in SAP Solution Manager.

Alternatively, start workcenter Implementation/Upgrade. Click on Common Tasks “Show

Roadmap”.

Click on icon “Other Project”.

On the popup screen, click on “No Project”.

On the next screen, click on “Other Roadmap”.

Select a roadmap. e.g. roadmap “ESRV RSLaF Appl. Operations (V2.0)” to see the phases and work packages on this roadmap. Of course, you can select any other roadmap as well.

Click on the work package you want to navigate to or work on, e.g. „Project Definition”. The roadmap

will be displayed in its entire structure. Expand the nodes. The hierarchy of a roadmap is always structured as follows:

– Phase (level x) – Work Package (level x.x) – Activity (level x.x.x) – Task (level x.x.x.x).

Please note: There are 5 phases in the RSLaF Business Process Operations Roadmap Version 2.0, starting from “Project Set-up Phase” and ending with “Operations Phase”. Future versions of the RSLaF Business Process Operations roadmaps might restructure these phases. In each phase, you find the corresponding work packages, activities and tasks.

Work with Projects and Roadmaps Follow the instructions in this chapter. The steps of how to work with projects and roadmaps in SAP Solution Manager are described.

Create a Project and assign a Roadmap

a. Start transaction SOLAR_PROJECT_ADMIN in SAP Solution Manager.

b. Alternatively, start workcenter Implementation/Upgrade. Click on Common Tasks “Maintain Project”.

c. Create a Project of type Implementation Project. Click on icon “Create Project”.

Please note: Assign your Solution (containing the Business Scenarios, Processes, Logical Components, etc. which are in scope of the Run SAP like a Factory Project). Technically, this step is optional.

d. Select tab “General Data”. Enter fields “Title”, “Led By” (Customer), “Person Respons.” (User), “Project Language” (English).

Enter further data as and if applicable, e.g. set the project status, the planned start and end date of the project and the projected effort in person days.

e. Select tab “Proj. Team Member”. Maintain project team members. Enter users and names of members of the project. Assign each member a corresponding role which you can use in your project to assign corresponding members to specific tasks. This supports searching and finding specific tasks of a project in progress via filters in project. You can add specific roles of the Run SAP like a Factory Project (as maintained in the Roadmap as specific roles) to the Project Roles maintained by clicking “Change Project Roles”.

f. Select tab “Scope”, then tab “Roadmap Select”. Select Roadmap “ESRV RSLaF Appl. Operations (V2.0)” and include the required scope of the implementation project, also known as flavors (Application Operations topic areas).

Save the project. In the following popup screen, just leave the default values and proceed.

g. Select tab “Milestone”. Enter the project (and flavor) specific Q-Gates as milestones, using the roadmap phases as guidance, e.g.

i. Project_Set-up_Complete_RSLAF_AO ii. Project_Set-up_Complete_RSLAF_<flavor> iii. Blueprint_Complete_<flavor> iv. Implementation_Complete_<flavor> v. Testing_Complete_<flavor> vi. Hand-over_Complete_<flavor> vii. Operations_Complete_Project_Closed__<flavor>

Define project specific Q-Gates per flavor in scope. Enter a (planned) start date for the Q-Gates selected. Enter a planned (and potentially actual) start date for the project (Start of Project) and a planned end date for the project using the standard Q-Gates. As example, see the following screenshot.

Please note: There is a difference in the standard Q-Gates and the added project specific “Q-Gates” (which technically are milestones). Hence, do not flag the project specific Q-Gates with the Q-Gate flag as per the screenshot above.

h. Select tab “Project Standards”. Change e.g. the predefined status values to be used for status management in your project or to change key words which you can use in your project to assign to specific tasks. Key words support searching and finding specific tasks of a project in progress via filters in project reporting.

i. Save the project.

Work with the Project Roadmap

a. Enter your Project Roadmap. Start transaction RMMAIN in SAP Solution Manager. Click on icon “Other Project” and select the project you have created. Click on a work package to enter the roadmap structure.

b. Expand the nodes, select tasks. Check the upper right area for instructions of what to do and the bottom right area for accelerators, references, etc., i.e. how to do it.

c. In tab “Accelerator” you find the task accelerators, i.e. setup guides, best practices, assessment material, etc. Some accelerators are used for documentation purposes, i.e. download the accelerator, fill in the information, and upload it as project documentation in tab “Proj. Documentation”.

d. In tab “Project Team Member”, maintain the project member(s) assigned and responsible for the execution of the task. The list of members is maintained in the corresponding project.

e. In tab “Status/Note”, enter important project notes and set the node status. If status is e.g. “Error”, put a free text explaining the issue and/or open an Issue or Incident message for follow-up.

Please note: The extension of the status is achieved by maintenance of table RMESSTATUS via transaction code SM30. Provide Status value (e.g. 4) and an Explanatory Text. Choose an Icon ID (using F4 help).

Fields background color and HTML properties are for entry screen maintenance and optional.

f. In tab “Service Message”, create an SAP Incident Management message to report any issue. In the following example, an Incident message (SMIN) is created in context of the implementation project.

Please note: It is not required to use SAP Incident Management. In the context of Run SAP like a Factory, use Issue Management, i.e. report issues from within the project roadmap using Issue Management. This is outlined in the following section g. g. In tab “Service Message”, create an SAP Incident Message to report any issue.

Enter “Priority”, Due on”, “Short Text”, “Subject” and “Description”. Adhere to the project standards (i.e. naming conventions) established. Use other features of Issue Management.

Please note: In order to make Issue Management (and other transaction types) available in the project roadmap, a couple of prerequisites have to be in place. 1. The transaction types need to be configured in the SAP Solution Manager system in

general. Execute corresponding IMG and SAP Solution Manager activities.

2. The customizing needs to be performed in the IMG activity ‘Restrict Business Transaction’. To create issues in the roadmap, execute the customizing Of table SMCRM_CUST_APPL. Start transaction SPRO and open the following entries: SAP Reference IMG

SAP Solution Manager Implementation Guide SAP Solution Manager Capabilities (Optional) Implementation/Upgrade Blueprint and Configuration CRM Transaction Types Restrict Business Transaction.

Maintain the table as described in the documentation. This restricts the general transaction types available in specific areas, such as transaction RMMAIN.

3. The user’s authorization needs to be provided. Provide the user with the authorization objects/profiles outlined by the following

composite roles. SAP_ISSUE_MANAGEMENT_EXE_COMP SAP_ISSUE_MANAGEMENT_ALL_COMP SAP_ISSUE_MANAGEMENT_DIS_COMP

4. The SAP Solution Manager needs to be on product version 7.1 SP05 or higher for

transaction types other than message and issues. Note that Change Requests and BPMon Requests can be created from within the

project roadmap. This functionality was added with ST710 SP05. Before that, only transaction types for Issues and Incidents are available.

In an SAP Solution Manager below 7.1 SP5: The Context does not allow you to enter the project and solution context.

In an SAP Solution Manager 7.1 SP5 and higher: The Context does allow you to enter the solution and project context. In fact, the project context should automatically be entered upon issue creation.

Maintain your Project and Solution context.

Save the Issue.

Change Scope and Filter in a Project Roadmap

a. Click on menu “Edit” “Change Scope” within the project roadmap. Uncheck nodes which are not required in the project and continue to see the effect on the original project roadmap. As a result, the unchecked roadmap structure items will be hidden, i.e. they are out of scope. Change the scope back to full scope by checking all checkboxes in the previous step, if required.

b. Click on menu “Settings” “Filter” “Flavors”. Check the corresponding flavors, e.g. “BI Monitoring” and “PI Monitoring” and continue to see the effect on the original project roadmap. As a result, the roadmap structure items of the topic areas (aka flavors) selected in the previous step will be visible, i.e. the other areas (aka flavors) are filtered out. You can use other filters accordingly.

Reset the filter back to all flavors by checking all flavors in the previous step, if required.

Download Project Roadmap Follow the instructions in this chapter. The steps of how to download a project roadmaps into Microsoft Project are described. You can download the project structure of the project roadmap into a Microsoft Project plan in order to complete the scheduling of tasks and activities.

Go to the structure view of a roadmap.

Choose Roadmap Download MS Project Version.

Choose a folder for the file and change the file name if required.

Save.

Confirm the following system message with “Continue”.

As a result, the project structure is generated as an .mpx file and can be displayed in Microsoft Project. You can save the file in .mpp format and edit it. See an example download in the following screenshot.

Please note: Note that a re-upload of the Microsoft Project plan to SAP Solution Manager is not possible. Report on Project Roadmap Follow the instructions in this chapter. The steps of how to use basic reporting functions within projects are described. Report on Status

Enter your Project Roadmap.

Select menu item “Environment Analysis Status.

c. On the result screen, click on to expand the result. In this example, all tasks in status Error are displayed. In our example, this is only one node, i.e. project task.

Report on Service Messages

Enter your Project Roadmap.

Select menu item Environment Analysis Service Messages.

a. Enter “Project” and “Roadmap”. Use further filters as required and execute.

b. On the result screen, expand the result. In this example, all tasks with an incident message associated are displayed.

There are further reporting functions available. The project reporting is also available via workcenter Implementation/Upgrade Reports Project Analysis (or Roadmap).

DISPLAY PROJECT IN WORKCENTER IMPLEMENTATION/UPGRADE

Follow the instructions in this chapter. The steps of how to work with a Run SAP like a Factory implementation project in workcenter Implementation/Upgrade are described.

Enter SAP Solution Manager workcenter Implementation/Upgrade. Project status and details are displayed. In our example, the project did not actually start. Moreover, only the Quality Manager is assigned as a project team member.

DISPLAY PROJECT IN WORKCENTER SAP ENGAGEMENT AND SERVICE DELIVERY

Follow the instructions in this chapter. The steps of how to work with a Run SAP like a Factory implementation project in workcenter SAP Engagement and Service Delivery is described.

Enter SAP Solution Manager workcenter SAP Engagement and Service Delivery. This workcenter is used primarily to manage SAP Services and to collaborate with SAP, i.e. as collaboration platform including customer, partner, SAP, ...

Please note: This guide does not outline the roles and authorizations for workcenter SAP Engagement and Service Delivery, please refer to the aforementioned SAP Solution Manager Security Guide.

Select Solutions and find and select your solution using the navigation panel on the left-hand side.

The project displayed has been associated with a solution when creating the project. See the corresponding section of this document.

Select Services and Service View using the navigation panel on the left-hand side. Create Services for your Solution. Generally, the services are created by an update from SAP. In this case, they are already available in your SAP Solution Manager system.

Please note: The service might not be associated with your project yet. Associate services with your project. Select a service and select button “Change“.

Go to tab “Context”. Select your project and optionally a milestone (i.e. one of the project specific milestones which you entered during the creation of the project). The assignment of a milestone (in the sense of a Q-Gate, as described before) is especially important when managing Q-Gate Services.

Thereafter, the service is associated with the project.

In our example, a 360 Degree Review and a BPPO Service are associated with the project. In real life, there will very possibly be more services associated with a Run SAP like a Factory project.

MANAGE PROJECT ISSUES AND SERVICES

Follow the instructions in this chapter. The steps of how to maintain issues and top issues with a Run SAP like a Factory implementation project are described.

Select Issues using the navigation panel on the left-hand side.

In an SAP Solution Manager system below product version 7.1 SP5: The project issue might not yet be displayed due to the missing context. „Use Filter Issues by:“ functionality to search for the previously created project issue. In order to identify and find the issue, remove the filter for Solution and use other filters, i.e. “Created by“ and/or “Created on“.

a. Open the Issue via click on its ID. The issue context can now be entered, i.e. the Solution and the Project. Maintain Solution and Project.

In an SAP Solution Manager system with product version 7.1 SP5 and higher: The issue context has already been assigned during issue creation from within the project roadmap. Of course, it can be done in this workcenter’s Issue Management as well.

a. Display and manage the issue in this workcenter; the filter Solution is preset.

The issue is also displayed in the project’s calendar view.

b. Add the issue to a top issue. Select Top Issues using the navigation panel on the left-hand side.

Create a top issue via button “Create”. Maintain attributes like “Priority” etc. See Issue Management section in this document.

Assign the issue to the top issue via tab “Assigned Issues” using button “Assign”.

The issue is also displayed in the aforementioned project’s calendar view.

Side topic: Send issue to SAP and request Expert on Demand (EoD).

During a Run SAP like a Factory Project, you might want to involve SAP Active Global Support on Demand, i.e. for particular tasks for which an expert’s help is required. If you are hold a Premium level support contract, you can do so by requesting so called Expert on Demand.

a. Maintain the issue’s attributes, description context, etc. Go to tab “Messages/Expertise-on-Demand”.

Click on button “Request SAP Expert”.

b. Fill in the form using the following template.

Follow the instructions in this chapter. This part is not required in a typical Run SAP like a Factory Project.

Enter SAP Solution Manager workcenter Change Management. Please note: This guide does not outline the roles and authorizations for workcenter Change Management, please refer to the aforementioned SAP Solution Manager Security Guide.

Select Projects and find and select your project. In the views Quality Gates and Calendar View, the

project cannot be displayed unless Quality Gate Management is configured.

Please note: This guide does only outline a partial Quality Gate Management configuration. Our goal is just the visualization and control of the project’s Q-Gates (milestones) in this workcenter. For a comprehensive setup and configuration of Quality Gate Management in workcenter Change Management, please refer to the Application Lifecycle Management program and project roadmap.

Select Set up Quality Gate Management.

a. If not already done so, enter the project specific Q-Gates (which technically are treated as milestones) as well as planned start dates here. Do not flag the project specific Q-Gates as technical Q-Gates. Please refer to chapter 1.2 section f in this guide for further details.

In comparison to entering this data in the project management functionality mentioned before, make sure that you enter a planned start date for every general Q-Gate as well as every project specific Q-Gate.

b. Click “Next“.

Enter a “Quality Manager“ and a representative of the “Quality Advisory Board“.

Please note: Do not follow the guided procedure by clicking Next. This would lead you through the entire Quality Gate Management configuration which is not in scope in the context of Run SAP like a Factory project management.

Select Projects and find and select your project. In the views Quality Gates and Calendar View, the

project can now be displayed as Quality Gate Management is configured rudimentary.
