How to provide safety during World Youth Day Krakow 2016 for: 1,5 million pilgrims, 20 thousands volunteers, hundreds VIPs and 1 pope?
STARTING POINT
Security and smart organization of mass events, including those religious ones, is the concern of many scientists and researchers.
They have developed the detailed report for Hajj coordination (Muslims pilgrimage to Mecca in Saudi Arabia).
However, the biggest disadvantage is often too big mismatch between scientific recommendation and real possibilities or available budget.
STARTING POINT
Then… why not use the already existing and available tools, that could be simply matched for World Youth Day?
This is how Smart Technology Group engineers approached the issue of safety during this event.

Using their 8-year experience in wireless technologies, they suggested the complex system based on SMART RFID.

THE PILLING CHALLENGES
Najpoważniejsze kwestie związane z bezpieczeństwem podczas ŚDM to:
• pilgrims location in real time,
• unexpected gathering of too big number of pilgrims in one place,
• traffic jam,
• missing single pilgrims or group disorganization,
• faintness,
• sudden evacuation and people localization in order to provide everyone with safe way to
evacuation point.
The great – literally – challenge is the expected scale of event. It is estimated that 1,5 milion people will participate in WYD. Therefore, the previous methods will not work.

IDENTIFICATION DATA TRANSFERHow to in real time and in every weather conditions,
in a field properly identificate everyone from the group of 1,5 milion people?
How to fast and effectively sent gathered data to WYD Headqarters?
IDENTIFICATION
Only:
precise and individual (name&surname) of every pilgrim and volunteer,performed in real time,working in every weather condition, even extreme ones (downpour, cloudiness,
heat waves),covering every zone, from Krakow to Brzegi,
identification will guarantee the full security for all participants while WYD organizers will be provided with maximum knowledge on every events during WYD.

WiFi
WiFi module is built in every smartphone. It
means that localization and identification with
this technology would be quite easy and would
cover the great number of participants.
The simultaneous usage of several thousand phones with WiFi turned on
will surely result in network overload.Network failure means the complete loss of control by event organizers.
Not every pilgrim has such a modern phone for regular and relatively fast WiFi connection.
But…

Bluetooth and beacons
WYD participants should download event mobile application.
After it, organizers using Bluetooth could locate every phone in
every moment.
This technology has the same flaws as WiFi.
The great number of smartphones using network at the same moment
Will undoubtedly lead to network breakdown just in a few hours.
Phones have to have Bluetooth 4.0 and every of 1,5 mln pilgrims or volunteers would have to be constantly in the
reach of beacons.
But…

Active RFID
Radio identification is known for its precision. Therefore
equipping pilgrims with active tags which emit signal would
guarantee absolutely very exact localization and identification.
The price of single active RFID tag is very high.
WYD budget would simply crash if such expensive
purchases would be needed.
But…

RFID UHF
Every pilgrim and volunteer would receive in mandatory package lanyard
or ID card with RFID tag built in.
The greatest passive tags advantages:
they are cheap (contrary to active tags);
don’t need power (contrary to active tags and beacons)
they are small, light and handy;
they work in every weather conditions.

For correct localization and identification the technology is needed which will be:
• failure-free• reliable• fast• working in real time• covering the whole area of event.
In other case, WYD headquarters will receive piecemeal or incomplete data or such data will never reach headquarters.

Ethernet
Ethernet is praised for its high speed transfer and reliability.
However, the hard infrastructure is needed to use it.
In case of such big event, taking place in many locations in
Malopolska region, it would be physically impossible to use it.

ZigBee
The uniqueness of this technology is based on using mesh
network for data transfer. Data from transmitter A will reach
receiver X even from hundreds of metres. This is one of the
best results for all wireless networks.
ZigBee does not overload any network therefore failures
typical for WiFi or Bluetooth are practically impossible.
WHAT NEXT?
To provide
full identification in real time
reliable data transfer
there is needed the system of pilgrims localization that will simultaneously
use two technologies:
RFID UHF and ZigBee.

Physically, system would be based on:

TAG FOR PILGRIMS AND VOLUNTEERS
Every pilgrim and volunteer receives a mandatory package with
lanyard or ID card with RFID tag built in.
Tags durability guarantees that they will work correctly during
whole WYD, no matter what weather will be. Tags are
inexpesive, too.
Tag would be personalized with unique EPC number (Electronic
Product Code). Thanks to that it would be possible to assign
every person with individual ID, and then – easy localization
such person from headquarters.
SOLUTION? SMART RFID!
SMART RFID allows to use other wireless technologies, as well.
It would be possible to use Bluetooth as it would allow WYD
organizers for an extra contact with pilgrims who have phone
with event application and Bluetooth.
Such pilgrims, passing under antennas assembled on the
routes, would automatically receive updated official
information on day schedule, previous day summary or simply
short messages that would systematically build positive image
of Poland and whole event.
