through their LeadCapture product. Your booth package includes 1
complimentary lead retrieval device. To order additional lead retrieval

Customer understands that the rental and use of Cvent LeadCapture Device and Application grants only a license to use it for the
duration of this event, and that no equity or ownership is imparted by this rental lease. It is understood that each Cvent LeadCapture Device will need to be charged prior to use, Electrical Service in the exhibiting space may be required.
Customer further is acknowledging and accepting full liability as a representative of your organization and understands fully that he/she is responsible for the proper use and security of any Cvent LeadCapture Device while it is in customer's possession and will be liable for any loss or damage to the rental equipment and that damaged Cvent LeadCapture Devices or Cvent LeadCapture

As the primary booth staff, you’ll play an integral part in your organization’s lead gathering at Urbana 18.
The first thing you’ll need to do is purchase licenses for your booth staff. These are the members of your
team that will be on the front lines, representing your organization at the event and scanning potential
leads. The instructions below will show you how to access the CVENT Lead Retrieval site, assign licenses
to your team, and export the leads they collect onsite at Urbana 18.
How to Use the Cvent Lead Retrieval Site
1. Access the Cvent Lead Retrieval Site
2. Purchase Your Licenses
Log in to the Cvent Lead Retrieval account using the link provided to the primary booth staff via
email in September and October. If you are having problems accessing this email or the lead
retrieval management site, please email our team at [email protected] so we can
generate another link to your email address.
Click Buy Now, then Purchase. Next, select your desired license type. Bring Your Own Device
Licenses require your booth staff to download the LeadCapture app on their own device in order to
scan leads. Device Rental and Licenses include the scanning devices, which we ship to Urbana 18,
ready to go! Once you’ve made your selections, click Check Out to complete the transaction.
Please note: 1 device and license are already included with your package registration.
Click Find Booth Staff. In order to give
access to someone from your onsite team
to the Lead Retrieval Site, they need to be
registered, as part of your group, for
Urbana 18. Search for your organization,
check the box next to their names, and
click Import Selected.

Your onsite team won’t have access to the LeadCapture app until you assign them a license. To do
so, click Assign Licenses from the home page or Licenses from the side navigation. All of your
license codes will be listed. None available? Click the Purchase tab to buy more.
Click Options beside one of your unassigned license codes, then Assign License. Click the name of
the person you want to assign the license to, and click Assign.
Once you’ve finished, that onsite team member will get an invitation emailed to them with
instructions to download the LeadCapture app and start scanning leads.
For Urbana 18, you will be allowed to customize and create a unique set of questions you want
your onsite team to answer as they meet with participants in your booth.
When you scan a participant badge, it will automatically collect the following information: First
Name, Last Name, Primary Address, and Email. In order to protect the privacy of the
information you collect, we ask that you not share this information or collection lists outside of
your organization.
Click Lead Collection from the side navigation. The Leads Collected tab opens by default.
Click the neighboring tab, Custom Questions, then Customize Questions. Existing questions
are listed on the left. Select a question type icon to add more questions. The changes you
make will be saved to all of your organization’s devices and licenses.

Lead Retrieval Site by clicking Export Leads at the bottom of the home page.
