The weather is cooling off, college football games every week, pumpkin spice laes are in stock, and the holiday season is around the corner. The beginning of fall signifies the closing of the year and al- lows us me to reflect on the memories of the year. The fall season has a special feeling and meaning to all of us, especially veterans. The fall sea- son brings a day to remember and pay tribute to our veterans and their selfless service to our great country on Veterans Day. This Veterans Day, let us be reminded and thankful for all the sacrifices and efforts from our military and veteran community. As a veteran staff member here at UCO, I’m reminded of them every day. As the VetHERO Coordinator, I am within a unique posion having the opportunity to be both a student veteran and a veteran staff member. During my undergraduate experience, I was a student veteran who needed guidance and help in relaon to G.I. Bill issues and career advisement. Aſter graduang and deploying to Afghanistan to serve my country, I returned to Edmond to find that life had moved on; almost as if I expected the world to freeze unl I returned. UCO was one of the only remaining aspects that was there for me when I returned home. Though my military service has ended, I sll felt a calling to help my fellow service mem- bers. Recognizing Our Veterans

For the majority of us, fall is the best time of the year as it brings several joys and events. The weather is cooling off, college football games every week, pumpkin spice lattes are in stock, and the holiday season is around the corner. The beginning of fall signifies the closing of the year and al-lows us time to reflect on the memories of the year. The fall season has a special feeling and meaning to all of us, especially veterans. The fall sea-son brings a day to remember and pay tribute to our veterans and their selfless service to our great country on Veterans Day. This Veterans Day, let us be reminded and thankful for all the sacrifices and efforts from our military and veteran community. As a veteran staff member here at UCO, I’m reminded of them every day.

As the VetHERO Coordinator, I am within a unique position having the opportunity to be both a student veteran and a veteran staff member. During my undergraduate experience, I was a student veteran who needed guidance and help in relation to G.I. Bill issues and career advisement. After graduating and deploying to Afghanistan to serve my country, I returned to Edmond to find that life had moved on; almost as if I expected the world to freeze until I returned.

UCO was one of the only remaining aspects that was there for me when I returned home. Though my military service has ended, I still felt a calling to help my fellow service mem-bers. Receiving the chance to go back to UCO and continue to mentor and helps veterans achieve success is an honor. I remember the struggles and challenges that faced me as a student veteran and many others throughout the country and decided to create a new standard for the services and programs offered to veterans and their families.

Here at UCO, we have a large veteran population that we are proud to serve. We honor their sacrifices and commitment to both their country and community by offering various programs and services to help ease transition, facilitate career readiness, and help them achieve success throughout their academic journey. As we near the holiday season here at Central, the Volunteer and Service Learning Center would like to remind you of a great volunteer opportunity on campus. The UCO Central Pantry is a food bank on campus that is offered to all qualifying students, staff and faculty members. If you would like to volunteer or are interested in donating canned goods or money please contact us at 974-2621 or by email at [email protected]. We are al-ways in need of help and food items. Please let us know if you or your office would like to help out your fellow Bronchos this holiday season.

STAFF SENATE UPDATE Justine Tozer, Asst Dir Trans & Parking

UCO Staff Senate held their last meeting on Tuesday, October 4. The guest speaker was Dr. Don Betz, UCO President, who spoke about the value of Staff Senate, the seriousness of the upcoming budget, and the upcoming changes at UCO.

Additionally, previous staff senators who completed their terms in 2016 were acknowledged for their service with a certificate. A list of previous

and current senators and their contact information can be found on the staff senate website. Contact a senator from your area with questions, concerns, or suggestions. The next meeting will be on Tuesday, November 1 at 2:00pm in the Foren-sic Science Institute, Room 106.

Are you a caregiver of a loved one? Do you feel as if you are all alone in this role? UCO has a Caregiving Support Group which meets monthly. Our support group is confidential and supportive with no pressure to share.

We are here to support each other in any capacity and would welcome you. The next meeting is Wednesday, November 16th from 12:00 pm – 1:00 p.m. in the Vir-ginia Lamb room (HES). Feel free to bring your lunch since it is during lunch time. If

you need additional information regarding the support group, contact Ann Barnes at 974-2952.

Please note that due to the University being closed Dec 22 – Jan 2nd, the final New Employee Start date of 2016 will be Monday Nov 28th. In order to make this start date [email protected] will need a completed job offer spreadsheet received no later than 4pm on Friday Nov 18th (due to the Thanksgiving break from Nov 23-25). Please plan your interviews and reference checks accordingly to make these deadlines and also consider that your candidates may need to give more than this length of time for notice. In the event that this final start date is missed, the next start dates will be Tuesday January 3rd and Tuesday January 17th 2017.

NEW EMPLOYE TRAINING DATES David Herd, Dir Comp & Talent Acquisition

We have some exceptional employees here at the University of Cen-tral Oklahoma! We also have award programs in place to recognize and reward those who demonstrate exceptional performance. Our Employee Exceptional Performance Award program is one such tool. In order to create an environment where UCO employees feel that they are publicly recognized for performance that reflects the innova-tive, passionate, student and customer-centered focus that Central has embraced, one quarterly $500 award is presented four times a

year in addition to two annual $1250 awards. These awards are available to UCO staff members whose job descrip-tions are below director level and who have a minimum of six months of continuous employment prior to nomination. Nominations may be made by anyone including faculty, staff, students and campus vendors.

Exceptional Performance Award nomination forms for the October-December quarter will be accepted through Janu-ary 13, 2017. When reviewing nominations, our screening committee looks for specific characteristics:

Impact: Service, dedication, professionalism, and compassion in dealing with internal or external publics (students, faculty, staff, and community). Inspires an overall sense of belonging that leads to a welcoming campus environ-ment.

Effectiveness: Promotion of University core values and purpose including character, collaboration, respect, and service to the campus community.

Innovation: Contribution toward more efficient or productive operations including money-saving ideas, exceptional fiscal responsibility, and improving service quality.

Significance: Accomplishments through campus work assignments that contribute to the success of UCO in the community either directly or through significant support of others from the campus.

We hope you will take time to nominate a deserving UCO faculty or staff member for their service and dedication.

I cannot stress enough how blessed we are as a de-partment to have an employee like Amy who is highly productive and also helps us maintain a sense of family.”

CLOSING OUT FY16 PRIOR YR POs Terrie Silvers, Asst Dir Procurement

Winter Break-Campus Closed December 21-January 3

Travel Meet this deadline: Tuesday, November 22th, 2016 @ 5:00pm and we will guarantee reim-bursement prior to Winter Break. To guarantee payment prior to the holiday break, all re-

quired supporting documentation must be attached, completed and approved. Purchasing December 2nd - Purchasing Deadline for Requisitions Submit requisitions by this date for purchases that need to be placed prior to January 4th. We cannot guarantee that a purchase order requiring competitive bids, quotes, or contract agreement execution will be completed and approved for requisitions submitted on December 4th. As a reminder: Contractual Service Agreements for Individuals, Contracts for Guest Speakers and Entertainment Contracts require five business days to process. This processing time is in addition to the time required to process requisitions. Vendor contracts which may entail more in-depth terms and conditions require 4-6 weeks to review.

Payment Services December 6th Payment Services Deadline: For non-travel related reimbursements and check requests. This deadline guarantees that payment will be processed prior to the holiday break, if all required supporting documentation is completed, signed and approved. Bursar Notice: Petty Cash is not available Dec. 12th thru Dec. 16th, the week before the Holiday Break.

The Central Purchasing Act 74 O.S. § 85.1 requires prior year purchase orders to be closed by November 15th after the fiscal year end. Higher Education is exempt from this act but believes that this is a best practice to ensure timely payment of ven-dors and correct matching of current year services with current year budget. The university operates on the accrual basis of accounting and must record receipt of merchandise or services in the period in which the items were received or the work was performed regardless if payment for those items or services was paid. Only purchase orders associated with completed work or merchandise received in the current year fiscal year should roll for-ward to allow payment in the next fiscal year. Work performed in the new fiscal year or merchandise ordered in the new fiscal year should only be paid using funds encumbered from the new fiscal year budget. Purchase orders and general encumbrances can only roll forward for one year. *NEW FOR FY16** All prior year purchase orders rolled forward to the new fiscal year will be closed out by November 15th with the exception of major capital con-struction projects. At fiscal year end, all open, current purchase orders should be reviewed for the following:

1. Verify that work has been completed 2. Verify that invoices have been received 3. Verify that payment has been made in full 4. Verify the amount encumbered matches the payment to be made if the purchase order does need to roll forward

If purchase orders are still open after work has been completed and payment has been made, notify the buyer that the

purchase order can be closed. If work has been completed and the invoice has not been received, contact the vendor to get the invoice and send to

purchasing. If the purchase order is determined to not be needed any longer, contact the buyer to close the purchase order. If the encumbrance is greater than the amount needed to satisfy the final invoice, contact the buyer to reduce the en-

cumbrance so only the amount needed rolls forward to the new year.

Note: The only purchase orders that should roll forward are due to invoices not received by June 30th. Ex. billing for a printer for June, invoices are received in July for June service and after payment, the purchase order should be closed.

It is the responsibility of the financial manager with the aid of any assigned budget manager to verify accuracy of purchase orders at year end.

W-2/1095-C ONLINE CONSENT INFO Tamra Kitsmiller, Manager Payroll Services

Payroll Services and HR Benefits are pleased to announce that beginning with 2016 documents, active employees may elect to receive their form W-2 and 1095-C state-ments online through UCOnnect. UCO is required by the IRS to furnish all employees with forms W-2 and 1095-C for each calendar year. Federal reg-ulations require that employees give their consent to re-ceive the form W-2 in an electronic format. Once consent

is given it carries forward each year and does not need to be repeated. The form W-2 details the employee’s compen-sation, tax withholdings, and required disclosures for the year. The form 1095-C provides information regarding any UCO provided health insurance coverage or offers of coverage. It also details the months of coverage an employee had during the calendar year. In the past, employees have received paper copies of their form W-2 and 1095-C.

An employee who consents to receiving forms W-2 and 1095-C electronically will not receive paper copies in the mail. However, an employee who chooses to receive their form W-2 online can request a paper copy by contacting Payroll Services. An employee can also request a paper 1095-C by contacting the Human Resources Benefits office. A request for a paper copy of either form does not withdraw the employee’s consent for electronic delivery of future form W-2 or 1095-C statements.

If an employee does not consent, Payroll Services will mail a paper form W-2 and the Bene-fits office will mail a paper 1095-C. Both forms will be mailed no later than January 31, 2017 via the US Postal Service to the current address on record.

Individuals who have separated from UCO prior to processing form W2s and 1095-Cs will be mailed paper copies no later than January 31, 2017 via the US Postal Service to the current address on record.

Advantages to consenting to receiving form W-2 and 1095-C electronically: Online delivery provides access to form W-2 and 1095-C statements earlier than the tra-

ditional paper process. Online delivery eliminates the chance that the form W-2 and/or 1095-C statement will get lost, misdirected, de-

layed, or stolen during delivery or misplaced after the employee receives it. Access is available at the same easy-to-use, secure web site at which an employee can access their wage and gen-

eral account information. Access can be attained even if the employee is not presently at their residence, for example, if participating in a

University foreign program. Employees can retrieve their form W-2 and 1095-C statements at any time of day and on weekends. Employees can print multiple copies at their convenience. Employees are contributing to cost savings (forms, printing and postage expense). Form W-2 and 1095-C statements will remain online for multiple years.

An employee who chooses to receive their form W-2 and 1095-C online can change their mind and withdraw consent to online delivery at any time. An employee’s withdrawal of consent will be effective on the date received. If consent is withdrawn, it will only be effective for those form W-2 and 1095-C statements not yet issued. Consent may be with-drawn electronically or in writing.

Kudos to Kelly Baker, Ed.D., associate professor of early childhood education, who recently was published in the “SAGE Encyclopedia of Contemporary Early Childhood Education,” a three-volume set that presents advanced research, historical foundations and key facts from the field of contemporary early childhood education. She contributed two articles titled “Challenging and Supportive Climates” and “Issues in Stu-

dent Teaching and Internships.”

Congratulations, Trey Cone Trey Cone, Ed.D., Professor of Kinesiology and Health Studies at the University of Central Oklahoma, re-ceived the Honor Award, the highest recognition given by the Oklahoma Association for Health, Physical Education, Recreation and Dance -- OAHPERD. The association held its 89th convention Oct. 10-11 on cam-pus with more than 600 students and professionals in attendance. The group meets to advocate healthy lifestyles, to disseminate research-based knowledge, and to share pedagogical ideas.

Way to Go, Jacque Hocking! Ms. Jacque Hocking, Lecturer in the Department of Mass Communication, received the Fred Tewell Out-standing College Communication Educator Award by the Oklahoma Speech Theatre Communication Associ-ation (OSTCA) at their annual convention in September in Tulsa. Before bestowing the award, the present-er stated that Ms. Hocking epitomized the pedagogical traits of passion, communication, and caring.

Human Resources, in partnership with Healthy Campus, is bringing onsite preventative screenings and exams along with a Vendor Fair to campus! Services may be at no cost to employees with valid insurance, so employees are encouraged to bring their insur-ance and UCO ID cards. Employees that waive UCO’s medical insurance are still invited to participate, but should also bring their insurance ID cards. Faculty and staff with covered spouses or children are encouraged to bring their dependents.

kinesiology students will be held at 10:30 a.m. and 12:30 p.m. in Wellness Center, room 104. Demonstrations will pro-vide quick and easy workouts, no gym equipment required!

Center for Active Living and Learning (CALL): Sessions led by Dr. Melissa Powers especially designed for individuals 55 and older.

Stay Active and Independent for Life (SAIL) at 11 a.m. on the west basketball court inside the Wellness Center will teach participants how to stay independent and active while avoiding falls.

Lift at 12 p.m. on the west basketball court inside the Wellness Center will use free weights, medicine balls and body weight exercises.

Moving for Better Balance at 1 p.m. in Wellness Center, room 104 uses Tai Chi to enhance balance and prevent falls. “The Heart of the Matter”: led by Scott Tulane, director of radiology at Integris Health Edmond, will be held at 1 p.m.

in the Wellness Center, room 127. The session will help improve understanding about the language and tools used for cardiac imaging.
