Welcome to United Way of Greater Lafayette and Thank You for your continued support! Together we are embarking on a journey that will make an indelible mark on our community, your company and yourself. Your role as Campaign Volunteer is critical. You are our messenger for change, the eyes, the ears and the voice of the community. You are the champion for the future of this community. Without you we simply could not reach the individuals you work with—working in businesses across the city—and unite those who want to create lasting change. At the same time, we know that as a Campaign Volunteer, taking on the responsibility of your company’s fundraising campaign is a lot of work in addition to the job you do each day. We are here to support you with everything you may need to help make your company’s campaign a success. This guide will answer your questions, give step-by-step instructions, provide timelines, and offer creative campaign ideas to help you plan implement and achieve success - all without having to clone yourself or hire an assistant. We can’t thank you enough for your time and commitment as it is your efforts in the workplace that will directly impact our ability to affect positive change in the community!

What is United Way?

United Way improves our community by focusing on education, income and health. We bring people, organizations and resources together to deliver results. You can give, advocate and volunteer. Your Dollars at WorkUnited Way of Greater Lafayette provides people the opportunity to make a meaningful difference in the lives of everyone in our community.

United Way donors have three ways to invest their gift:

1. Community Care provides the highest return on your investment. By pooling individual gifts with contributions from thousands of local donors, tremendous strides are made toward building a better community. By choosing Community Care, contributions are invested in programs funded by our United Way. These programs meet critical needs in our community and have an outstanding record of proven results. Contributions go where the needs are the greatest, so you can influence the condition of all. 2. Focused Care allows you to direct your gift to a specific focus area You may target your gift to any of the Focus Areas or give to all three focus areas with just one gift to Community Care. Our 3 focus areas are: Education

For Campaign Coordinators

Congratulations on being selected as the Campaign Coordinator for your United Way Campaign. At this point, you are probably asking yourself, “So what do I do now?”

First, relax! Rest assured that by attending training and/or reviewing this guide, you will have all of the tools necessary to run an effective, efficient, and fun campaign. Conducting a United Way Campaign is easy and fun. To make your job easier, we have broken it down into manageable steps. The resources and tips provided in this guide will help you plan an enjoyable, meaningful, and successful campaign.

Primary Objective: Enable your co-workers to participate in creating a stronger community by planning, organizing and coordinating a successful United Way Campaign within your company.

HOW TO SUCCEED AS AN EMPLOYEE CAMPAIGN COORDINATORKnow Your Company—>Support from top management will benefit your United Way campaign greatly. That’s why it is important to meet with your CEO and ask them to assist with your campaign. They can provide leadership within your organization and increase support of your efforts as an Employee Campaign Coordinator. Ask for matching donations of employee giving for the corporate gift. Ask for past year’s giving history, previous goal, number of leadership givers and percent of participation. United Way staff can help you with this information if you do not have the records internally.

Know Your United Way—>Our Mission- Mobilizing our community to improve lives. Our Vision-United Way will add value tothe Greater Lafayette community by enabling people to help one another. It will provide leadership in defining community needs and in coordinating resources to address community issues. United Way improves our community by focusing on education, income and health. We bring people, organizations and resources together to deliver results. You can give, advocate and volunteer. Join us and Live United.

Utilize United Way Staff and Resources—> The United Way Staff can strategize with you on what will work best in your campaign or how to enhance your success of previous years. Staff will inform you of materials offered to enhance your presentation. Use the local campaign video to promote greater understanding of how United Way works in our community. Utilize a United Way’s Loaned Campaign Representative(s) to speak at employee meetings. Contact United Way staff about attending agency tours.

Develop Your Campaign Plan—> Establish a United Way Steering Committee. Recruit a committee to help spread enthusiasm and information about United Way and to ensure all facets of the campaign are covered and the team is the appropriate size for your workplace. Representatives from each department make reaching all employees easier. Establishing a steering committee of committed United Way supporters makes campaigning easier and generates diverse ideas and creativity.

Promote Your Campaign—> Build excitement about your campaign even before your first employee meeting. Let everyone know that together you are working toward a common goal. Use your company newsletter to get the word out. Present 100% of employees with the opportunity to contribute to your campaign. Introduce the employees to their steering committee. Special events can enhance employee giving by incorporating fun and awareness into one event. It is best to have your special events at the end of the campaign so they do not replace or compete with employee annual gifts.

Promote Leadership Giving—> The next component in your campaign is leadership giving. Establish a company-wide leadership giving program. In order to promote leadership giving in your campaign you may want to host a leadership meeting. This can be an informal or elaborate meeting. Have special incentives to encourage employees to turn in pledge cards at the end of the meeting. This will save time and allow you to report immediately how committed your leadership team is to the community. You may also consider starting a step up program for potential leadership givers.

Report & Submit Campaign Packet—> Once you have collected your organization’s pledge cards you should submit them to your United Way. It is important to us that your campaign runs smoothly. In order to do so, please make sure that when you submit your reports that all of the necessary information is included. Items that should be included in the report envelope are individual pledge cards (make copies if needed), corporate pledge card, fund raising monies, and return campaign video or any borrowed materials.

Say Thank You—> Thanking people will reinforce positive feelings throughout your campaign. Be sure to thank your CEO for their involvement. Thank employees for coming to meetings and giving and thank committee members for participating.

Critique Your Campaign—> Critique and document your campaign soon after your campaign is completed. Don’t wait until next year when you may have forgotten many things that happened. This information is crucial to the success of your organization’s future campaigns.

Promote United Way Year-Round to Keep Spreading the News—> Campaigning for pledges will be much easier when your employees are exposed to United Way year-round. This is also a good way to keep employees involved in our community. Include United Way information as part of new employee orientations and share the United Way E-news andquarterly connection with collegues.

What is a Steering Committee?

A committee will allow your organization to provide a variety of support for your campaign. This support should include respected leaders throughout the organization and cover all skill sets. Having assistance in all areas will make your job easier and more successful! A sample of a campaign committee follows:

Best Ways to Ask Co-Workers to GiveDo you know why most people don’t give to United Way?It’s because they weren’t asked. Not everyone will be able to attend the campaign kickoff, so it’s important to follow up with employees. Although it can be difficult to ask your co-workers for money—especially to increase their support—remember that people feel good about helping others. As your colleagues better understand the work of United Way and how their contribution impacts the community, they become more generous.

Here are some quick tips that make asking for a pledge easier: Know the facts.Read the background materials carefully. The more you know about United Way, the easier your job will be. Prepare a solicitation case. Check out United Way’s website at www.uwlafayette.org/Focus_Areas.html for facts and stories that make a compelling case for giving.

Make personal contact.People give to people. Set up face-to-face meetings to ask for a pledge. It’s best not to just leave pledge cards on desks or in paychecks. Group meetings are the most effective and efficient way to reach all employees in an organization. It can take as little as 20 minutes to convey the key message to your group, make the ask and even show the United Way video. Please call your United Way to schedule a Loaned Campaign Representative to speak at your meeting(s). Remember people give to people so don’t overlook this critical step.

Be positive.Explain the benefits of giving to United Way. Stress the importance of each person’s contribution to our community. Emphasize that you’re raising funds for urgently needed programs to help children succeed in life, help individuals get jobs and stable housing, strengthen families and neighborhoods, and put people on the road to becoming socially, emotionally and economically self-sufficient.

Be prepared for questions and concerns.People deserve to know that their money is being used wisely. If you don’t know the answer to a question, find out by calling on United Way staff and get back to your colleague.

Schedule a Loaned Campaign Representative Presentation

Loaned Campaign Representatives (LCRs) are available beginning July 18 to speak to your employees about United Way and the Participating Organizations we support in our community. Their presenations can fit any time frame and audience requirements.

Presentations may be scheduled seven days a week, any hour of the day.

Contributions Are VoluntaryThe Board of Directors of the United Way of Greater Lafayette reaffirms a policy of free and voluntary giving. Giving is a personal matter and a personal decision. Whether individuals wish to give and how much they choose to give is entirely up to them.

We believe that every campaign volunteer has a responsibility to tell those they solicit the reason they are being asked to give—to ensure that services are available to those who need and deserve them—and to ask for a meaningful contribution in support of those services.

The most responsive contributors are those who are informed and get involved. An effective communications program—conducted by committed volunteers and supported by a well-planned campaign— encourages an enthusiastic response from contributors.

The following guidelines help ensure participation in your United Way campaign: • Giving is a personal matter that should be kept confidential. • Employee giving should not influence personnel decisions. (i.e., compensation, promotion etc.) • A campaign objective based solely on 100 percent participation can create a perception of pressure, real or implied. • Be sure to communicate that 100 percent pledge card return is encouraged even if a contribution is not made. • The most effective solicitations are individual ones done by peers. That is, managers should solicit other managers; workers should solicit fellow workers. • Make sure employees know that acts of coercion in any form are unacceptable.

FAQ's1. Where can I find a list of Participating Organizations?

A list of Participating Organizations has been provided in your ECC information packet, a list can also be found on the United Way website and in the United Way brochure.

2. What is the difference between the United Way of Greater Lafayette and United Way Worldwide?

Our local United Way is just that - local. We are an independent organization run by a board of volunteers from our community, which operates solely for the benefit of the residents of Greater Lafayette. United Way is our community's largest volunteer organization with more than 130 local residents on its Board of Directors and various committees. A small staff coordinates and implements directives of the Board. United Way Worldwide is a global leadership and trade association to which local United Ways across the country belong. United Way Worldwide owns the name “United Way” and associated brand marks and manages a number of critical relationships with global and national corporations with locations here in Greater Lafayette. Membership within United Way Worldwide does not interfere with local decisions on investing campaign dollars in services or working to improve our local community.

3. How is the money raised in our community distributed?

Community volunteers make up our Community Investment Committee which seeks to invest campaign dollars into our participating organizations according to their ability to get results. In addition reviewing financial documents such as agency audits and IRS Form 990’s, our volunteers look at how each agency improved the lives of the people it serves, how it knows that it is improving their lives and how the agency fits within United Way priorities and the community social service context. We also review agency plans for using funds to get the results they promise. Volunteers evaluate agencies annually and seek to help them improve their programs and services where possible.

4. How much of my contribution actually goes to fund services in our community?

Leadership gifts to United Way, through an effort called The Vanguard, cover more than the cost of "doing business". In fact, United Way overhead costs account for approximately 10% of total contributions. All fundraising and administrative costs are covered by Vanguard contributions. Therefore, the entire amount of your contribution (100%) goes directly to services in Greater Lafayette.

5. How does an organization become a participating organization?

Community organizations may ask to become participating organizations. They must meet various criteria such as being tax exempt, having a volunteer Board of Directors and meeting a need in the community. The agency must also be able to partially support itself through fees and/or fundraising, because the United Way does not provide any agency with 100% of its operating budget.

6. I work in Tippecanoe County but I do not live here. Can I designate my gift to my home county?

By contributing here, where you work, you help support this community's network of human services. However, if you choose to designate to another United Way, you may do so.

7. Can I deduct my donation from my taxes?

Besides the satisfaction you receive in helping others and improving the community, the IRS offers tax incentives for charitable contributions. Form 1040, Schedule A is used to itemize deductions and reduce the taxable portion of your income. Even if you give non-cash assets, the donation will save money when filing your tax return.

United Way proudly acknowledges the collective influence of these community leaders who, in their own fields and within United Way, have made a crucial difference. United Way honors our leadership contributors by inducting them into the Vanguard Leadership Giving Program.

By definition, leadership giving refers to contributions of $1,000 or more. However, leadership giving is about much more than money. To United Way, leadership donors are select individuals and couples who choose to support the community in a very special and significant way. Locally, 890 Vanguards contributed $1.51 million to campaign last year helping to strengthen our community.

Your employees may combine their gift with their spouse’s gift to qualify as Vanguard members. Because the individual employee gift may not be at the $1,000 level, we ask that they indicate their combined gift on their pledge card with spouse’s name and place of employment.

You may know of other employees who are interested in making a Vanguard level gift. Please tell them about the Vanguard Program. The United Way office will follow up with any employee who is interested in the Vanguard or who has questions.

Record these totals, along with the number of donors for each total, under the section “Envelope Summary” of the Campaign Report Envelope and any corporate gift information. • Remember to submit a copy of each PAYROLL deduction pledge form to your payroll department. • If you have Leadership Givers, please include their names and information on the Vanguard Log.

“Thank You” - Those two simple words not only show appreciation but also set the tone for year-round communication and next year’s campaign. There are many ways to thank your fellow employees, including a personal thank you or a small gift of appreciation.

FUNdraising Ideas!• America’s Funniest Office Video Party-Find an employee who can volunteer to bring in a video camera to take candid video footage of your Week of Caring volunteer event. Schedule a short meeting in a conference room to show the video to your employees. Sell tickets, soda and popcorn and donate the proceeds to the United Way Campaign. If the video is a big hit, perhaps raffle off a copy or sell duplicates.

• Baby Picture Match Game-Invite employees to try their luck at matching baby and/ or pet pictures to pictures of the management. Award the entry with the most correct answers for a prize or some other fun incentive. Charge employees $2 per ballot.

• Balloon Pop– Employees donate prizes for this event— a variation of traditional raffle. Before filling a balloon with helium, put a note inside with the name of the prize. Employees pay $1 to buy a balloon and pop it to find out what prize they’ve won.

• Bingo-Sell bingo cards for employees to purchase. Get donated prizes for all winners.

• Book/Video Sale-Employees donate old books, videos, CD’s and cassette tapes for an employee book sale. Sell paperbacks for $1, hardbacks for $2 and cassettes, CD’s and videos for up to $5.

• Bowl-A-Thon-Employees pay a $2 entrance fee to participate in this event. Give each participant a special pledge form in advance to use when asking for their support. Encourage fan support, fun and enthusiasm.

• Casual Day-Sell Casual Day stickers allowing employees purchasing them to dress casually on certain days. Employees purchase stickers. Designate certain casual days as “Crazy Days” and encourage your employees to show their wild side: Tuesday=Stupid Hat Day, Wednesday=Outrageous Socks Day, Thursday=Sports Team Day.

• CEO Car Wash– Employees donate $5 to have their car washed by their “Boss” in business clothing. Charge extra for special services like cleaning the interior or polishing the rims. Charge for Polaroid photos of the employees and the Boss washing their cars.

• Chili Cook-Off Contest-Employees cook their favorite chili recipe and enter it into a cook-off contest. This activity can also add “spice” to a community fair. A panel of “chili experts” selects the Official Chili Champion.

• Coin War-Each department/floor has an empty water bottle (The BIG Kind). Employees drop their spare dimes, nickels and pennies into the bottle. These coins are counted as positive. A quarter counts as negative. Employees may “sabotage” another department’s bottle by dropping a quarter into their bottle. At the end of the Campaign, both positive and negative coins are counted, and the group with the most $$$ raised wins. All proceeds go to the United Way.

• Executive Chair Race (or “Exec-U-Glide”)-Set up a relay course for executives to go through sitting in chairs or riding tricycles. Use a stopwatch to time contestants, with the best time winning a prize. Observers wager $1 on their favorite contestants.

• Executive Prison– Transform an office into a jail cell. Next, round up your prisoners (the usual suspects). “Arrest” managers and executives and allow them to make telephone calls to their staff members to “bail” them out. Proceeds going to your campaign as “Fund Raising Event” money.

• White Elephant Sale - Employees donate unique “white elephant” gifts that others can buy at affordable prices. This is especially popular at carnivals.
