Agenda

Appraisers may stop a team’s presentation if they feel it poses a safety risk or damage.

Foot coverings with reasonably impenetrable sole

• Closed-toed shoes are preferred.

• Structure Challenge has specific requirements for closed-toe shoes for any team member/s and adult helpers placing weights.

Safety gear: gloves, goggles as required by specific challenges

• Structure Challenge has specific requirements – beginning on p. 19 of the challenge. Also covered in Rules of the Road pp. 21-23.

Safety

Heart of Texas Region has some specific safety restrictions. Most of these restrictions come from the school districts that host DI events.

There are specific restrictions regarding:

Your team may NOT use lasers or laser pointers.

Your team cannot use any type of light that produces a

high intensity beam of light which may be of danger to

eyes. Your team may NOT turn off or dim the lights.

Your team may NOT use devices or substances

which produce an open flame or extreme heat or

cold. Extreme heat or cold is defined as temperatures

that can cause damage to bare skin. These devices are

NOT allowed: lit candles, caps, combustion engines, fire

extinguishers, fires, fireworks of all types, flammable

fuels, party poppers, smoke bombs, sparklers, or

substances that explode in any way.

NO open flame anywhere on campus. No cooking

allowed.

NO helium balloons

NO smoke or fog machines

NO dry ice

NO live animals

NO open containers of liquid

NO silly string

No lose powder or glitter allowed

NO aerosols (shaving cream, spray paint, hairspray,

etc.)

Safety

Only unmodified commercially available batteries

are allowed. Any battery that can spill liquids or

materials when tipped is prohibited.

Circuits that use Direct Current (DC) cannot exceed

28V DC between any 2 exposed points in a circuit.

Current limiting devices such as fuses or circuit

breakers are required when a DC circuit will draw more

than 10 Amps and must be placed between the power

source and the devices using the power.

Safety

Circuits that use alternating current (AC) cannot

exceed 120VAC for any exposed connection. A

Ground Fault Interrupter (GFI) must be used for all team

created or modified circuits. A GFI must be used for all

solutions drawing more than 1000 Watts of power.

Note: GFIs are exempt from cost.

Teams should be prepared to produce a Material

Safety Data Sheet (MSDS) showing that items or

chemicals they wish to use are safe. If the team

members want to combine items or chemicals, the

Team Manager must certify on the Declaration of

Independence that the combined use of these items or

chemicals is safe and will cause no harm.

Safety

No weapons of any kind -- benign or otherwise -- are

allowed. This includes paintball guns, BB guns, and air

rifles.

No gratuitous violence. Violence should be “implied.”

No peanuts or peanut products. Some of our

participants have extremely severe peanut allergies.

Please do not bring any peanut products to the

tournament. Even the smell of peanut butter can cause

a serious reaction.

- Do not try to find out other teams’ raw scores

- Do not be in Prep Area when you shouldn’t be- Respect the tournament rules

- Respect the tournament site

• How are team members getting to tournament?

• Who is transporting the team’s treasures?

• Has the team made sure everything fits into vehicles?

• Will everything fit through a standard doorway? Keep in

mind that not all Tournament sites will have “standard” sized doorways,

especially in older buildings.

• Tournament Directors cannot guarantee floor space

beyond the dimensions outlined in the Team

Challenge and cannot guarantee ceiling space above

this possibility.

MANAGE THEIR EXPECTATIONS!

• Dress Rehearsals are not opportunities for constructive criticism.

• If something does not go the way the team planned, be supportive, not

judgmental.

• Regardless of what happens, recognize their efforts, their journey.

Success is how you define it.

TELL THEM:

• Directions, where to park (where NOT to park) – CARPOOL!

• When to arrive, where to be at specific times

• Challenge name, team name, team number, Challenge Color and Panel

• Use audience entrances; they are NOT ALLOWED IN TEAM ENTRANCE

PLEASE REMEMBER:

Anyone may help us bring our props into the building and take them to the Prep Area and the Launch Area. Once we are in the Launch Area, only the team can handle the props.

NO ONE MAY HELP US PREPARE FOR OUR PRESENTATION. You may not fix our hair, put on our makeup, repair our props, direct our production or do anything that might be considered Interference. We can do it ourselves!!! We really can!!!

After we perform, anyone may help us remove our props from the Presentation Site. We would appreciate your help then.

08:00 Team Manager checks-in

08:30–08:45 Team meets in Cafeteria (see attached maps)

08:45 Unload props and prepare for performance – props/costumes etc.

Parents help carry props. From this point the team needs to get their costumes on, set up their props, panic, etc. ALL ON THEIR OWN. Don’t be tempted to adjust anything—they need to do it all—and they can. If you help them, they will receive a deduction.

09:00 Team Structure Check-in. At least 1 team member with completed copy of pg. 2 of Tournament Data Form.

09:35 Team to Prep Area. Bring props, Declaration of Independence, Expense Report, and 5 copies of Tournament Data Forms. Parents can help carry props etc. but don’t fix anything. Parents take your seats in the presentation room for our challenge – follow the green signs to Panel “D”.

09:40 Team Retrieve Structure from structure check-in area. Do not remove structure check-in form until directed by the prep area appraiser.

09:50 Team Move into Launch area.

10:00 Team Performance

Parents - chances are that something will go wrong during the performance—this is the nature of the challenge. Be supportive, not judgmental. It’s the journey NOT the destination. DO NOT INTERACT AT ALL WITH

TEAM DURING THEIR PERFORMANCE – TO DO SO WILL RESULT IN DEDUCTIONS FOR THE TEAM.

Preparing Parents…10:15–10:20 When Appraisers finish talking to the Team, Team and Parents Move all stuff out of the room as fast as

possible, and clean up any mess.

10:20-10:30 Parents and team load stuff back into vehicles.

10:30 Check back for raw scores – Team Manager and 1 Team member (30 minutes to file appeal after picking up scores)

10:40-12:45 Free time to eat, relax, watch performances, have fun.

12:45 Team meet me in the hallway opposite I/C Check-in and tXc check-in for warm-ups for tXc

01:00 Team Report to tXc check-in

01:15–02:45 Team in tXc Studio. Parents will not be able to observe this.

02:45 DSHS tXc Performance

Parents will be able to observe this. Parents will NOT be able to watch any tXc performances prior to our team’s performance. Follow the Dark Purple tXc audience signs.

All teams receiving 1st place will advance to the state level competition.

Second place teams in panels of more than 15 teams of the same level

will also advance to the state competition.

Note: There will be a short meeting for all managers with teams

advancing to state immediately after the awards ceremony.

Regardless of the results, please be prepared to reaffirm

how wonderful each team member’s contribution is.

Unloading Sets and Props

Option 1: Drop off at Unloading Zone 30 minutes before your

Challenge Presentation, keep in your car until then.

Option 2*: Drop off by the Cafeteria and store stuff there until you

need to move to Prep Area. *At your own risk. * Limited space available

Challenge Presentation Procedures

• Only move team’s treasures into the hallways when

absolutely necessary due to space and fire safety

constraints

• Check in 20 minutes prior to scheduled presentation time at Prep

Area for your Challenge Level and Panel

• An appraiser collects and reviews the forms.

• Structure Challenge: structure check in is 1 hr. prior to

performance time

• Just prior to presentation, the team is taken to the Launch Area.

The Launch Area may be on the left, right, or back of the stage.

• Team Manager and non-performing team members sit in the audience.

• The time keeper will introduce your team.

• Photography and Video recording at the TEAM’S DISCRETION.

• The time keeper will say, ”You may begin” or “Time starts NOW.”

• Team members move props, etc. to the stage. Set up time takes place during total Challenge time. *

• The team finishes presentation – or time will be called.

• The team should take a bow!

• The Appraisal team will ask the team questions.

• Props can be removed by parents, team members, etc.

• The Team cleans any debris they leave, with THEIR OWN cleanup kit.

• 30 minutes after performance, Competitive teams can see if Raw Scores are available – 1 team member and team manager pick up (more on this later)

• Rising Stars do Instant Challenge in the same room immediately after the Appraisers talk to them about their presentation.

• Rising Stars are awarded their Certificate and Medals after Instant Challenge.

• Improvisational and Structure Challenges have other specific procedures—see Travel

Guide and Challenges

Instant Challenge Procedures

•Check in exactly 15 minutes before your scheduled time – NOT BEFORE

•Bring Declaration of Independence AND SIGNED PROMISE FORM

•Turn off phones, cameras, tablets, hand held devices etc. to be bagged, sealed, given to Team Manager

•NO TIMING DEVICES or WATCHES ALLOWED IN IC ROOM

•Only 1 TM may accompany the team into IC PROVIDING YOU DO NOT HAVE MULTIPLE TEAMS, and the team gives their permission! If you have multiple teams, you may go in only with your last team of the day.

•You may be taken to a Holding Area.

•When the appraiser comes to get you, verify you are the right team going to the Instant Challenge for YOUR Challenge!!

No parents or other spectators allowed.

Instant Challenge Procedures

•Team Managers and non-competing team members are seated out of the way.

•The Appraiser will read the Instant Challenge aloud and then tell team to begin.

•The team may ask questions but only AFTER time begins.

•The team may ask how much time is left at any point.

•After the team finishes, or time is called, penalties can be assessed if the team continues working.

•Appraisers will not have a discussion with team (unlike Central Challenge)

•IC Scores are NOT returned to teams.

•Your team may be taken to a Chill Out area.

•What happens in IC stays in IC - remember Rules of the Road and use the Chill Out room if you feel the need to talk about the challenge (but remember that other teams are in there, too, and Rules of the Road still applies)

•The team will exit into the Commons area - Tell the parents!

the required element occurs.

2. Subjective scores are based on the Appraisers’ opinions as to how well

or how creatively your team fulfilled a Challenge requirement. The

scores they award depend on their own personal taste.

3. Zero Scores: If a required action does not take place during the Time

Limit of the performance, or if a required element is missing or does not

appear during the Time Limit, your team cannot be scored on that item.

In that case, your team will receive a zero for that requirement from all of

the Appraisers.

Appraisers are trained to award points for a requirement and then, ifthey find that there is Illegal Procedure, to level the playing field byassessing an Illegal Procedure deduction. They do this rather thanlower the subjective points for a required element. If the points for asubjective element are lowered because of an issue, the team hasno recourse; teams cannot appeal subjective scores. (See TheAppeals Process) By assessing a deduction for Illegal Procedure theteam knows exactly what the issue is about, and they may appealthe ruling.

Receiving Your Scores

• The first four team’s scores sometimes are held (about an hour.)

• Approximately 30 minutes after presentation, one team member and one manager may pick up scores.

• The Head Appraiser or Challenge Master will review the scores with you.

• Appeals must be made within 30 minutes of receipt.

Awarding Points for TeamworkQualities Appraisers might look for:

1. Cooperative Spirit:

– • Positive attitudes and reinforcement of all team members.

– • Absence of negativism.

2. Team-Identified Roles:

– • Tasks may be divided equally among the team.

– • A leader's role is identified immediately or at some point in time.

• Team Slideshow of Schools: Beginning at about 6:30pm.

• Celebrate all Teams in all Challenges: Please be considerate of

challenges that have not been announced by NOT leaving before ALL

awards are called. Think of how you would feel if your child’s team was

the last one called and no one was paying attention or cheering for

them.

• Advancing Teams: The Announcer will indicate if 1st place, or if 1st

place and 2nd place for any specific challenge, level and panel, will

advance to State Tournament. (Second place teams in panels of more

than 15 teams of the same level will advance.) If your Team is to

advance, please report to the “Advancing to State” Team Manager

meeting in the Commons immediately after the Award Ceremony

as listed on the Regional website calendar.
