Working with Windows 10 – Workbook

WorkbookThis workbook accompanies the Working with Windows 10 training session. The training will take place on Windows 10 “virtual machines” (VMs). These VMs are almost identical to standard staff computers, but as they are virtual machines you can experiment with them without affecting future training sessions.

Before you begin the tasks there are a few configuration steps that are required:

1. Start the Windows 10 virtual machine, by double-clicking the “Windows 10 Virtual Machine” icon on your desktop.

2. Log-in to the VM with your Cardiff Met staff account. On the desktop open the Scripts folder and double-click on gpupdate, this will update the computer policy. When it has finished updating, type “Y” and press enter to log-off.

3. Close the VM, then re-open it again via the “Windows 10 Virtual Machine” icon.4. Log-in to the VM again and wait for the Set up OneDrive screen to appear, this may

take a few minutes (if you are asked to update OneDrive, do so).

5. Sign-in to OneDrive with your Office 365 account (e.g. [email protected]).6. On the next screen you will be asked for your password – you do not need to type it

in, just click in the username box and press the Tab key (as you are logged-in to Windows 10, OneDrive will get the password from your computer log-in).

7. Click Next then choose your files and folders to synchronise – choose “Sync all files and folders”.

Task 1 – The Windows 10 EnvironmentPart A: The Start Menu

The Start menu in Windows 10 gives you quick access to your programs and files. The tiles on the right side of the Start Menu include links to Office apps and other useful software. The Start menu can be customised to suit your needs, for example you may pin programs that you use frequently.

Have a go at customising your Start menu by completing the tasks below.

1. Pin the Adobe Acrobat DC program to your Start menu by going to Start All Apps then right-clicking on the program and choosing Pin to Start.

TIP: Acrobat can be used to view and edit PDF documents. Acrobat wasn’t readily available on Windows 7; it is standard on Windows 10 computers at Cardiff Met.

2. Search for Adobe Illustrator CC 2015 using the search built into the Start menu, then pin it.

TIP: Just click the Start button (or press the Windows key ) and start typing to search. You don’t need to type entire name of the program, just part of it.

3. The programs you have just pinned should appear in a new group (if not drag one of the tiles aside and release). Name the group “Adobe” by clicking in the space above the group.

4. Move the Photoshop tile from the Useful software group into the Adobe the group.5. Resize the Acrobat and Illustrator tiles (right-click on them) to Small size.6. Finally, move the Adobe group to the top right of the Start menu.

Part B: Taskbar, Jump Lists and Task View

In this section you will learn about the Taskbar, which displays all programs that are running, together with any programs that have been “pinned”. Jump Lists make it easy to access recently opened files. Finally, Windows 10 introduces a new Task View that allows you to view and organise your open windows.

1. Use the Start menu to start Word 2016.

2. Right-click on the Word icon on the Taskbar and choose Pin to taskbar. This shortcut to Word will now remain on the taskbar even when the program is closed.

3. Create a new document and save it to OneDrive. We will explore OneDrive in detail later,

but for now go to: File Save As then choose OneDrive – Cardiff Metropolitan University4. Close down Word.5. This document can now be accessed quickly via the Jump List for Word. Access the Jump

List by right-clicking on the Word icon on the Task Bar or the Word tile on the Start menu.

6. Jump Lists display recently accessed files, but files can also be pinned to a Jump List by using the pin icon next to the document name. Pin your new document to the Word Jump List.

7. Task View gives an overview of all running programs. Ensure you have two programs running, then click on the Task View button and click on a window to switch to that program.

8. Task View also allows you to snap windows to the sides of the screen. Try it now by right-clicking on a window while in Task View.

TIP: Windows can also be snapped by the Windows key ( ) + left/right arrow key

9. After snapping a window to one side, you can select a window to appear on the other side of the screen. A handy divider appears between the windows, allowing you to adjust the width of both windows at once.

Extension Idea

Another new feature of Windows 10 is the ability to create “virtual” desktops. This allows you to organise your windows into groups and switch between them when necessary. Virtual desktops can be created and managed via Task View.

Experiment with virtual desktops, you might want to try:

Creating a new virtual desktop (use Task View or shortcut: +Ctrl+D) Moving a program to the new virtual desktop (Task View right-click a window Move to) Switching between desktops (shortcut: +Ctrl+right/left arrow) Closing the second virtual desktop (shortcut: +Ctrl+F4) .

Task 2 – Your Office 365 AccountWith Windows 10 you now have two accounts:

Your normal Cardiff Met account. Continue to use this account to log-on to computers and access other services such as email or SharePoint. Usernames for this account are usually of the form SM12345

An Office 365 account. This account is primarily used to synchronise documents between your Windows 10 computer and OneDrive. It is also used to access other Office 365 features, such as Skype for Business. Your Office 365 username is: [Cardiff Met Username]@cardiffmet.ac.uk . E.g. [email protected]

Task 3 – Document Storage and ManagementPart A: Personal Documents - OneDrive for Business

Windows 10 introduces a new storage option, OneDrive. OneDrive is a cloud storage service that allows you to access your documents from anywhere. Cardiff Met's version of OneDrive, OneDrive for Business, is configured to be a secure storage location that complies with all relevant legislation.

Accessing OneDrive

OneDrive can be accessed on a Windows 10 computer through File Explorer:

1. Open File Explorer from the Start menu.

TIP: File Explorer is a really useful program, so you might want to pin it to the Taskbar

2. A link to OneDrive – Cardiff Metropolitan University should be present in the left navigation

pane. Click on it to access your OneDrive documents.

OneDrive is the place to save all your “personal” documents. By personal documents we mean documents you do not wish to share with other staff, or documents that you are working on privately in preparation for sharing with other staff.

Storing documents on OneDrive offers many benefits including:

Secure Easily accessible from anywhere and on any device Unlimited space for documents Can share with colleagues and people outside Cardiff Met.

If your personal documents are currently stored elsewhere (e.g. hard drive, USB pen drive) it is imperative that you move them to OneDrive. The next task will explain how to move files to OneDrive, but if you need help please contact the Helpdesk when you return to your office.

Moving Files to OneDrive

There are some sample files on the hard drive of your training machine, you can use these to practice moving files to OneDrive.

1. Use the Home tab of File Explorer to create a new folder – “My W10 Training” - in your OneDrive.

2. Locate the “W10 Training Files” on the hard disk (“C” drive) of your computer and move them to your OneDrive.

TIP: There are a few of ways to move files. To use the File Explorer ribbon: start by selecting the files with your mouse, then click the Home tab Move to Choose location…

Saving to OneDrive

Saving to OneDrive with Windows 10 is really convenient: File Save As then choose OneDrive –

1. Create a new PowerPoint presentation.2. Save it to your OneDrive.

This presentation, as with all your other OneDrive will now be accessible from anywhere on any device.

Accessing Files through the OneDrive web site

OneDrive can be accessed through a web browser, enabling you to access your documents on devices other than your Cardiff Met Windows 10 machine.

1. Open a web browser and visit: https://login.microsoftonline.com/2. Sign-in with your Office 365 account then choose the OneDrive app from the menu. You will

then be presented with a web view of your OneDrive documents:3. Use the Search box in the top left to find a document that is used to provide project team

status reports.

4. Edit the document in the browser and add some dummy data.

TIP: Opening a document in the browser allows you to edit documents quickly on devices that do not have Word installed.

5. Return to the web version of OneDrive, no need to save, changes are saved automatically.

Extension Idea

Version history allows you: to view earlier versions of a document, compare a document to an earlier version using review tools and even restore documents to an earlier state.

1. Locate the project team report you just updated.2. Use the ellipsis menu next to the document to access version history.

3. Click on the date/time of the first version, this should open that version within Word.4. In Word, use the Compare button to see a breakdown of the changes you made to the

document. 5. In the browser, use the Restore button on the drop-down menu next to the date/time of the

first version to revert the document to its original state.

Part B: Shared Documents

Documents that are shared with other staff should still be stored on SharePoint Team Sites. You can customise the Windows 10 environment to work more easily with SharePoint.

SharePoint Team Sites

As with Windows 7, SharePoint team site documents are primarily accessed through the web browser.

1. Open Internet Explorer and navigate to the SharePoint 2010 training site using the top navigation bar: Team Sites Miscellaneous Staff Training

TIP: Add this site to your Internet Explorer favourites, as we’re going to use it a lot in this section

2. Click on the Example Library and open the “Windows 10 Tips” document. Add one Windows 10 tip that you have found useful to the document then save it.

Quick access

To save to this library quickly in future, you can add it to the Windows 10 Quick Access that appears in File Explorer. Quick access is a collection of shortcuts to folders and files that you access frequently. Windows 10 will automatically add folders to the list, but you can also pin folders there yourself.

1. In the Example Library click on the Library tab then choose Open with Explorer. This opens the document library in File Explorer.

2. Right-click on Quick access Pin current folder to Quick access3. Open PowerPoint and create a new presentation. On the first slide write a question that you

have about Windows 10 that has not yet been answered.4. To save: File Save as Browse then use the Quick access shortcut to save the document

to the Example Library. Give a filename of: “W10 Question – [Your Initials]”.

Sharing with OneDrive

SharePoint team sites are the preferred location for sharing documents with Cardiff Met staff as they are a central location that can be configured to a team’s needs. However, OneDrive can also be used to share documents, in particular OneDrive sharing might be used in two scenarios:

For large files that cannot be stored on SharePoint (e.g. video files) For files you need to share with people outside of Cardiff Met.

To share with OneDrive, you need to use the OneDrive website:

1. Log-in to the OneDrive website and select the “Conference Presentation 2016” document.2. Click the Share button and invite your assigned partner to edit the document.

Task 4 – Programs and AppsPart A: Office 2016

Try out some of the new Office 2016 features:

1. Open your “W10 Question – [Your Initials]” presentation.

TIP: Remember, Jump Lists or Quick access can be used to open documents quickly

2. Use Tell Me to apply a theme to the presentation and set the slide size to 4:3.3. Highlight your question then use Smart Lookup (right-click) to see if your question can be

answered via the Insights feature.4. Open Outlook and configure your email profile (just keep clicking Next) use the new Attach

File menu to send a link to this presentation to your partner.

TIP: This will send a link to the SharePoint file, but it will not set permissions; permissions need to be configured separately.

Extension Idea

Open the OneNote 2016 app, you will be prompted to sign-in, but you don’t need to as you are already signed-in. To dismiss the sign-in request, click the Sign In button then close the next dialogue when it asks for your credentials.

Try creating some notes and sections.

To synchronise these notes to OneDrive go to File Info Share then choose to move the OneNote file to your OneDrive. These notes will then be synchronised between

your desktop computer, your Office 365 account and the OneNote app on any devices (e.g. iPad, mobile phone) you sign in to.

Sign-in to your Office 365 account through the web browser (https://login.microsoftonline.com/ ) then use the OneNote web app to view your notes.

Part B: Skype for Business

Experiment with Skype for Business, which is included with Windows 10 at Cardiff Met.

1. Start Skype for Business then sign-in using your Office 365 account (you may then be prompted to authenticate with your Cardiff Met account).

2. Search the directory for your partner that has been assigned to you.

3. Add them to your Skype Favourites.

4. Send your partner an instant message – ask them your Windows 10 question to see whether they know the answer.

Part C: Other Programs and Apps

Our Windows 10 software “build” includes several other programs you might find useful that weren’t necessarily available with Windows 7.

Try out some of the programs by searching the Start menu:

Photoshop – industry standard image editing software. Acrobat DC – PDF reader and editor (Acrobat Reader has always been available, but with

Windows 10 you can edit PDFs as standard). Dreamweaver – create and edit web pages.
