1.2 Required Setup/Login process

Visit www.butterfieldonline.com and enter your User ID and Password.

When you login to the new site for the first time, an e-mail will be sent to the e-mail address we have on file with a Verification Code.

Enter the Verification Code and click “Submit”.

Read and accept Butterfield’s Terms and Conditions.

Change your Password, ensuring to adhere to the password guidance indicated on the screen.

Security measures have been enhanced with real-time transaction monitoring, one-time passwords (OTP), and more.

New features include:

- Enhanced security, including OTP for specific transactions- Single login for Corporate Administrators who are also Corporate Users, with the ability to switch between user-type

screens- New display screens for Maker, Approver and Viewer- Consolidated statements- Forgot password option- Snapshot of daily transactions: “Last 5 payments” displayed on the dashboard- Quick links along with menu options- Authorisation for Non-Financial Transactions, such as Beneficiary Templates- Corporate limits displayed on the dashboard- Financial overview of assets and liabilities

Butterfield Online has five (5) main user views, which provide access to specific tasks and tools depending on the view selected.

The view types are:

Corporate Viewer: The user is only able to view certain transactions.

Corporate Maker (Initiator): The user is able to create transactions.

Corporate Approver: The user is able to approve or reject transactions that have been created by the Maker (Initiator).

2.1 Approvals

2.1.1 Pending Approvals

Bulk Authorisation: This functionality will provide capability to authorise one or more transactions at a time.

- Access the Approver dashboard.- Click on the check box next to the transactions

required to be authorised or, to select all, click on the checkbox next to the subject “DATE” at the top of the list.

- Click on “Approve” or “Reject”.- Enter your remarks or reason for approving or

rejecting the transactions and confirm.

Authorisation – Detailed Review: This function provides the capability to view full transaction details and authorise or reject the selected transactions.

- Access the Approver dashboard.- Click on the link under “Reference No”.- Full details of the transaction will be displayed,

including the transaction journey detailing the User who has initiated and authorisations, if any, that have already been completed.

- Click on “Approve” or “Reject”.- Enter your remarks or reason for approving or

rejecting the transactions and confirm.

2.2.1 Inbox

Click on the Menu icon ( ). Click on theoption “Mailbox” and then click on “Inbox”.This option can also be accessed via the Mail icon( ) in the top right hand corner of the screen.

This option allows a Corporate Administrator to view and respond to messages, search messages (search period of up to seven (7) days), and delete messages, where applicable.

2.3 SecuritySettings

Access the Menu icon ( ). Click on “Security Settings”. This option allows a Corporate Administrator to change their existing password if required.

Password parameters are displayed on the right hand side of the screen and will be updated with a (correctly inputted) or (incorrect inputted) once fields for Current, New and Re-Enter Password have all been populated. Click on “Submit” once all details have been entered successfully, and the system will prompt the Corporate Administrator to login again with the updated Password.

3.1 Onboarding

3.1.1 User Management

Click “Onboarding/User Management” from the Menu icon ( ) or on the screen. Here you will be able to view User information, as well as an up-to-date Activity Log.

3.1.2 Customer Preferences

3.1.3 Customer-to-Customer Linkage

Click on the Menu icon ( ), select “Onboarding/Customer-to-Customer Linkage”.

This is a view-only feature that displays secondary User linkages associated with the Primary User.

3.2 Approvals

3.2.1 Workflow Management Click on the Menu icon ( ), go to “Approvals/Workflow Management”.

Once in the “Workflow Management” section you will see “Workflow Code”, “Workflow Description”, and “Approval Levels” options. The Customer ID and Customer Name will also appear on the top.

Here a Corporate Administrator can create required approval level(s) (i.e., A and B signatures). A workflow can have authorisation levels created based on Users or User Groups and be created to accommodate five (5) levels of authorisation.

3.2.2 Rules Management

Click on the Menu icon ( ), go to “Approvals” and then “Rules Management”. Here, you will be able to view Approval Rules.

Transaction(s) that are required to be initiated in multiple currencies such as KYD, USD, GBP, EUR and CAD, for a User or Group of Users will require separate approval rules created with each currency. Creating an approval rule in a specific currency will only allow the required User(s) to initiate or action transaction(s) in that specific currency.

Search criteria provides the capability to search for a rule at a secondary customer (AOBO (Act on Behalf of)) level with the available list “Secondary Party”.

At the top, you will see the Party ID (number), the Party Name. Choose a Secondary Party from the drop-down menu. From here, you will be allowed to create Approval Rules. All of the Rule IDs will be listed on the left side of the page.

Here you can view the columns shown. Rule ID, Maker, Currency, Accounts, From Amount, To Amount, Approval Required, and Workflow.

Create Option provides a Corporate Administrator with the capability to establish a rule.

There are three rule types:- Financial, e.g., Fund Transfer - Non-financial, e.g., Service request- Maintenance, e.g., Create, Delete or Add Payee

A rule will allow access for a User or User Group to transact based on the parameters of transaction type, available accounts, currency, and whether or not authorisation is applicable to the rule.

3.3 AccountAccess

3.3.1 Customer Account Access

This screen displays accounts which are mapped at a primary account level and also a secondary to primary account level (AOBO (Act on Behalf of)). In order to map an existing account or new account to a User, the account(s) must first be mapped with this functionality. A Corporate Administrator also has the ability to select which transactions can be accessed for which account using this functionality. This, in turn, will reflect when the accounts are mapped to a User.

Click on the Menu icon ( ), select “Account Access/Customer Account Access”. Once there, you will find “Account Type”, “Total number of accounts”, as well as “Number of accounts Mapped”.

These accounts include Chequing, Savings, Fixed Deposits, Loans, Credit Cards, and Investments.These are accounts you have access to. Click on an Account Type to edit.

New functionality for mapping of accounts provides the ability to include mapping of transactions for a selected account or accounts, at both customer level and Corporate User level. If transactions are not mapped at a customer level for an account, they won’t be available at a Corporate User level to be mapped for the account.

The checkbox option “Map Accounts” allows for accounts (i.e., New Fixed Deposit) to automatically be mapped once available at a customer level without the Admin having to do so manually.

Select “Auto” if you wish to allow access to all future CASA accounts. Select “Manual” if you wish to allow specific access to all future CASA accounts.

3.3.2 User Account Access

User Account Access details accounts that are mapped at a User level. Accounts for the primary CIF or secondary CIFs can be mapped to a required User or Users using this functionality. Once the accounts have been selected to be mapped, the Corporate Administrator will also select the accounts for which transaction access will be granted.

Click on the Menu icon ( ), select “Account Access/User Account Access”.

The search results will show a User name, which you can click on, the full name, initials, and if mapping is used. Clicking on a User name will bring up the next screen, where you can view the account type. In the example shown, Chequing and Savings was selected.

3.4 Reports

3.4.1 Report Generation

Click on the Menu icon ( ), select “Reports/Report Generation”.

Once on the “Reports” page, you will have the ability to generate reports based on different criteria.

To generate a report, you will need to select a Report Type from the drop-down menu. Next, you will need to select the Report Format. Finally, you will need to click the “Generate Report” button.

After you generate the report, you will see a confirmation screen.

You can verify that the reports you ordered were processed in the “Activity Log”. The system will also automatically generate an automated e-mail notification of the report activity, which will be sent to the e-mail on file.

Once on the “My Reports” page, Users can see available options on the page.

Here you can view reports that were requested, along with their current status. “Report Name”, “Report Sub ID”, “Requested on Date”, and “Status” are all available for viewing.

3.4.3 User Report Mapping

Click on the Menu icon ( ), select “Reports/User Report Mapping”.

Here you can view “Mapping”. Click on the icon located on the far right side, under “Mapping” to select the report you want to save.

Click “Save”, and you will be prompter to confirm. Click “Continue”.

A confirmation page will be displayed, showing the same information sent to the e-mail on file.

3.5.1 User Group Management

Click on the Menu icon ( ), select “Others/User Group Management”.

Here you can create User Groups. You can look them up by User ID for ease of use. You also will need to enter the Group Code associated with the Group you want to add to as well as the Group Description.

3.5.2 Audit Log

Click on the Menu icon ( ), select “Others/Audit Log”.

Under “Audit Log”, searches can be completed by User ID, Activity, or other options. Enter the date and time for the search. Options are Today, Yesterday, Last 3 Days, or specific Date Range.

Here you can see the “Alerts” to which the User has subscribed. The default search credential is “Channel User ID”.

On the right side there is a drop-down menu, “More Search Options”.

“More Search Options” include First Name, Last Name, E-mail, and Mobile Number.

Once the search is carried out, your search results will appear lower on the page under “Search Results”. Click on a User Name to see specific results.

Check the status of the cheque by selecting the Account in which you wish to search. Search by using either Cheque Number, Range, or Status (i.e., Used, Cancelled, Stopped, Rejected).

This is a general overview of the cash on hand.

The Quick Links section allows such things as Cheque Status Enquiry, Stop/Unblock Cheque, Cheque Book Request, and Request a Statement

Quick Links provide direct shortcuts to functions. Click the desired Quick Link icon, (for example, “Repayment” takes you to the Repayment section).

4.1.2.1 Overview

Click on the Menu icon ( ), select “Accounts/Loans and Finance/Overview”. Here you can get a general overview of the funds you have borrowed.

You can get a status of any loans on which you have a balance owing. Views include “Our Loan Portfolio”, a “Summary of Accounts” and “Account Information”. There are also Quick Links to “Schedule Enquiry” and “Disbursement Enquiry”.

4.1.2.2 Disbursement Enquiry

Click on the Menu icon ( ), select “Accounts/Loan and Finance/Disbursement Enquiry”. Here you can get a general overview of disbursement from your accounts.

4.1.2.3 Schedule Enquiry

Click on the Menu icon ( ), select “Accounts/Loan and Finance/Schedule Enquiry”. Here you can schedule an enquiry on funds you have borrowed.

To schedule an Enquiry, you must first select the Account about which you wish to enquire. Chose the Account from the drop-down menu.

Select the Account. View pending transactions for the credit card linked to that Account.

Click on the Menu icon ( ), select “Service Requests”.

Some examples of service request types are: “Break Fixed Deposit”, “Mutual Fund Redemption”, “Mutual Fund Subscription”, and “Statement Deregister Request”.

Specify the Service Request type, the Reference Number, the Status, and the Date Range for the search request. The status of the search request will be displayed below for quick reference.

Access the Menu icon ( ). Click on “Security Settings”. This option allows a Corporate User to change their existing Password if required.

Password parameters are displayed on the right hand side of the screen and will be updated with an (correctly inputted) or (incorrect inputted) once fields for “Current”, “New” and “Re-Enter Password” have all been populated. The Corporate Administrator will click on “Submit” once all details have been entered successfully and the system will prompt the User to login again with the updated Password.

Request a Cheque Book: Select the Account, type of Cheque Book and Banking Centre where you will pick it up.

To stop/unblock a cheque, select the Account Number. Select “Action”. This is where you need to specify whether you wish to stop or unblock a cheque, specify a reason and give the cheque details, either by number or range.

To view the payment installments applied to a loan, choose the required Loan Account from the drop-down menu.

6.1.4 Consolidated Statements

Click on the Menu icon ( ), select “Accounts/Consolidated Statements”.

To view “Consolidated Statements” for a given time period, enter the Account number, and specify a period for which you want the statement. There is also a “Download Activity” menu.

This feature provides the capability to consolidate up to four Accounts (Chequing, Savings, and Fixed Deposits) whereby information such as balances, transaction activity and amounts are presented based on selected account(s) in a consolidated format.

6.3.1 Payee Templates

Click on the Menu icon ( ), select “Payments/Payee Templates”.

The Payee Templates page lists the templates that you have previously set up. There are three categories of Templates to choose from: Money Transfers (i.e., internal fund transfer, domestic fund transfer, and wire transfer); Demand Draft (i.e., domestic draft (manager’s cheque) and international draft); and Bill Payments.

NOTE: Templates and beneficiaries are separate payment options allowing you to initiate a payment with a beneficiary only, or a with a payee template in which both beneficiary and payment details have been defined and saved for future payments.

6.3.2.1 Manage Beneficiaries

Click on the Menu icon ( ), select “Payments/Setups /Manage Beneficiaries”.

To add beneficiaries, enter Beneficiary Name, select “Account Type”, enter Beneficiary Account Number, enter Nickname, select “Access Type”, then click “Add”.

A payment being initiated with a beneficiary will populate fields for the Beneficiary Name, Beneficiary Address and Beneficiary Bank, where applicable. Payment details such as amount, currency and payment references must be populated prior to initiating the payment.

6.3.2.2 Manage Payees

Click on the Menu icon ( ), select “Payments/Setups/Manage Payees”.

Previously created Payees will be displayed. You can search Payees by Name or Relationship Number. To manage a Payee, click from the Payee List, which takes you to the Payee Details page. Here you can manage the Payee you have chosen. Then, from the Bill Payment screen, you can perform a transaction, such as pay a bill. A confirmation will be given.

Once a payment with a beneficiary has been initiated use the menu option “Transfer Money” and the full payment can be saved as a Payee Template by clicking on the option on the confirmation page “Add Payee Template“. The payment saved can be used for future payments if and when required, accessed by the “Payee Templates” option.

Click on the Menu icon ( ), select “Payments/Setups/Standing Instructions”.

Existing standing instructions will be displayed with option to view details of the standing instruction by clicking on the link under “Payee Name”. The standing instruction can also be cancelled by clicking on the option “Stop Instruction“.

6.3.3 Payments

6.3.3.1 Transfer Money

Click on the Menu icon ( ), select “Payments/Payments/Transfer Money”.

You have the capability to make a payment to an existing Internal, Domestic or Wire Transfer beneficiary, as well an Own Account Transfer.

Payment can be initiated as “Pay Now” for immediate value or as “Pay Later” for which a specific value date can be selected to have the payment processed.

NOTE: Only a payment initiated with a beneficiary will automatically populate the mentioned fields.

To initiate a payment with a beneficiary AND payments information (amount, currency, beneficiary reference, payment details, etc.) already saved/populated, you must select the option “Payee Template“.

6.3.3.2 One-Time Payment

Click on the Menu icon ( ), select “Payments/Payments/One-Time Payment”.

From the One-Time Payment page, you will have options for choosing details for this transfer. You can also register your Payee for future use, once you have made the transfer.

One-Time Payment provide the capability for a user to initiate an ad-hoc payment for an Internal, Domestic or Wire Transfer.

Payment can be initiated as a “Pay Now” for immediate value, or as “Pay Later” for which a specific value date can be selected on which to have the payment processed.

Upon completing the transfer, the User will have the capability to save the beneficiary for any required future payments.

6.3.3.3 Payroll Transfer

Click on the Menu icon ( ), select “Payments/Payments/Payroll Transfer”.

Populate required fields (i.e., From Account, Beneficiary, Beneficiary Bank, Payee Account and Transfer Amount). Each beneficiary that is entered for either a Internal or Domestic payment will be required to be saved to successfully process the payment. The save button will be indicated.

Once required information is populated, a payment can be initiated as a One Time transfer, or can be saved as a template for future payments and then initiated for immediate payment processing.

6.3.3.4 Request Demand Draft

Click on the Menu icon ( ), select “Payments/Payments/Request Demand Draft”.

A Demand Draft (Manager’s Cheque) can be requested for processing with local banks, and International Draft for processing with overseas banks.

A beneficiary is required to be created for this type of transfer. If there are no beneficiaries created, the system will present the option to do so.

Once the beneficiary has been created, you can initiate a Draft Request by selecting the required Draft type, populating the specified fields and submitting the request.

6.3.4.1 Upcoming Payment Enquiry

Click on the Menu icon ( ), select “Payments/Enquiries/Upcoming Payment Enquiry”.

Upcoming Payment Enquiries allows you to view and cancel future-dated transactions including Standing Instructions, which are scheduled to be processed for the current week or month.

To view Upcoming Payment Enquiries choose “Account Number” from the provided drop-down menu. View details of the Payment Enquiry.

6.3.3.5 Pay Bills

Click on the Menu icon ( ), select “Payments/Payments/Pay Bills”.

Initial setup of the Payee on your Account is required. Click “Add Payee”. To pay bills, choose “Select Payee”, “Currency” and “View Limits”. Choose “Transfer” either, “Now” or “Later”. You will see a confirmation screen once the transaction is complete.

This feature provides viewing capability for transfer details of incoming wire payments which have been processed to the selected Account.

To search for an Inward Remittance, choose “Account Number”, the date range, and the from and to amount. Click “Search”.

6.3.4.3 Outward Remittance Enquiry

Click on the Menu icon ( ), select “Payments/Enquiries/Outward Remittance Enquiry”.

This feature provides viewing capability for transfer details of outgoing wire payments that have been processed from the selected account.

6.4.1 EDI File Upload

Click on the Menu icon ( ), select “EDI File Upload”.

Once logged in, there is an option to “Choose File” . Do this and it will bring up a screen to pick the file from the preferred location. The supported file formats are .txt .dat and .ach. Select the file and upload it. You will receive a confirmation once the file has been uploaded successfully.

6.4.2 EDI File Status Enquiry

Click on the Menu icon ( ), select “EDI File Upload/EDI File Status Enquiry.

View information such as File Reference ID, File Name and File Status pertaining to the uploaded file.

6.10 ChangePassword

Click the Menu icon ( ), select “Change Password”.

This is where you can change your Password for security purposes. You will need your current Password to do so.

Password parameters are displayed on the right hand side of the screen and will be updated with an (correctly inputted) or (incorrect inputted) once fields for “Current”, “New” and “Re-Enter Password” have all been populated. The Corporate Administrator will click on “Submit” once all details have been entered successfully and the system will prompt the User to login again with the updated Password.

6.11 SecuritySettings

Click the Menu icon ( ), select “Security Settings”. Here you will be able to view your security settings and change your Password for security reasons.

In order to do so, you will need to enter your existing Password, enter a new Password, and then re-enter the new Password to verify, then click “Submit”.

Once you have successfully changed your Password, you will be required to sign in again for security purposes.
