What is a Personal Product List and why is it useful? In the TescoLink Microstrategy system you are able to set up Personal Product Lists (PPLs) that contains a set selection of your products. You can use any PPLs you set up to run reports that contain the data of those products only, allowing you to quickly get to the information that matters most to you. For example, you could create lists containing:

Your top performing products. Newly launched products. Products where you have taken action to improve performance. Seasonal products or ranges.

You can set up lists to use week after week, but equally you can set up a list that’s only intended to be used a handful of times. The products within, and how you use each list, is entirely up to you. You can see an example of a PPL in action at the end of this guide.

If you supply into the Republic of Ireland across all categories or our UK General Merchandise categories, including Seasonal and Gifting, you can access via direct link: www.TescoLink.com

Enter your TescoLink user name and password and select the ‘LDAP Authentication’ option before clicking the ‘Login’ button.

The landing page of TescoLink Microstrategy will automatically show you the KPI Daily report and your notifications about changes to any of your cost prices or purchase orders.

From the landing page select the ‘Manage PPL’ button on the menu on the left and then click on ‘Manage Personal Product Lists’ to open the ‘Personal Product List’ dashboard.

There are several features available from the dashboard, including:

1. Menu icon at the top left to switch between four views of the dashboard: ‘Create List’, ‘Rename List’, ‘Delete List’ and ‘Amend List Contents’.

2. Home icon at the top right to return you to the TescoLink Microstrategy landing page. 3. ‘Supplier’ dropdown list to view and switch between your applicable supplier numbers. 4. The dashboard itself, which contains different options to manage your lists based on

the view you have chosen.

How to create a Personal Product list

Start by selecting 'Create List’ from the menu button at the top left of your screen so that you can see the ‘Create List’ view of the dashboard. There is an example of this view above.

When you are looking at the ‘Create List’ view you are able to manage PPLs based on your selection of supplier number from the ‘Supplier’ drop down box at the top right. You can create different PPLs under each supplier number available to you.

Note: The ‘Supplier’ list will contain all supplier numbers your account is linked to. For example, if you supply to us via one supplier number your dropdown list will contain just that supplier number. If you are responsible for managing multiple supplier numbers for the same business or multiple businesses they will all appear in the dropdown list for you to create PPLs against.

To create a new list go to the ‘Create New Personal List’ area of the page and use the editable text box to name your list. You should name it something relevant and memorable so that you can easily identify it from all the lists visible to you, as you will be able to see your colleagues’ lists as well as your own.

Note: When you create a new list the text should have at least one character up to a maximum of 50 characters. If not, you will receive the error message shown above and you will need name your list again.

If you need to create a PPL for a different supplier number connected to your account, go to the ‘Supplier’ dropdown box and select the supplier number you’re looking for before entering text in the ‘Create New Personal Product List’ box.

When you’re happy with the name of your PPL, click the ‘Create’ button.

Once created, you will be able to see your new list showing in the ‘Available Personal Products List’ table.

How to add products to a Personal Products List In the ‘Amend List Contents’ view you are able to add or remove products from a list using your products’ Base numbers (TPNBs) or the sub groups your products fall under.

The first step is to select 'Amend List Contents’ from the menu button at the top left of your screen.

At the top right of the ‘Amend List Contents’ view are two dropdown boxes; ‘Supplier’ and ‘Personal List’. Use these lists to navigate to the PPL you wish to add products to.

If your list already contains products you will be able to see them displayed on the right hand side of the page in the ‘Products in Personal List’ table. If your list is currently empty you will see the message “No data returned for this view. This might be because the applied filter excludes all data.”

Depending on your preference, you can add products to your list by using either the ‘Sub Group’ or ‘Product’ tabs on the left hand side.

Adding a product by Sub Group

To find and add products based on Tesco sub groups, click on the ‘Sub Group’ tab and then use the ‘Sub Group’ drop down box to find the correct Tesco sub group your products fall under. You will be able to see both the sub group code and name to make finding it easier. Once you have chosen a sub group all of your products within it will be displayed in the ‘Available TPNBs’ list underneath.

Next, click on the ‘+’ symbol to display the selection check boxes next to each product.

Tick the check box of each product you want to add to your list, then click the ‘Add’ button. If you want to add all of your products from the current sub group tick the check box at the very top of the list next to ‘Base Product’.

To find and add products based on their TPNB, click on the ‘Product’ tab and then use the free-text ‘Product or number’ box to search for the TPNB of the product you’re looking for. As you type in a TPNB the search results will refine the list down and make suggestions to make finding your products easier. You can either click a single TPNB to display it in the ‘Available TPNBs’ box underneath, or click ‘(All search results)’ to display all the best matches.

Next, click on the ‘+’ symbol to display the selection check boxes next to each product.

Tick the check box of each product you’d like to add to your list and then click the ‘Add’ button. If you want to add all of the products displayed from your search result tick the check box at the very top of the list next to ‘Base Product’.

When the products are successfully added to your list they will appear in the ‘Products in Personal list’ table on the right hand side.

How to remove products from a Personal Product List

If at any time you no longer want certain products to appear in a PPL you’re able to remove them using the ‘Amend List Contents’ view. Click on the menu button at the top left to access this view.

Use the ‘Supplier’ and ‘Personal List’ dropdown boxes at the top right to locate the list you’d like to edit. Once chosen, the products currently in the PPL will be displayed in the ‘Products in Personal List’ table on the right hand side.

To remove products, first click on the ‘+’ symbol to display the selection check boxes next to each product.

Tick the check box of each product you’d like to delete from your list. Alternatively, you can tick the check box next to the ‘Base Product’ heading to select all displayed products. Once you’re happy with your selection click the ‘Remove’ button.

Your PPL will update to show the remaining products in the list. If you’ve chosen to delete all products the list will update to show as empty with the message “No data returned for this view. This might be because the applied filter excludes all data.”

At any point you can add or remove products until you’re happy with your PPL.

How to rename a Personal Product List

You are able to rename your lists at any time in the ‘Rename List’ view of the dashboard.

To see the ‘Rename List’ view click on the menu button at the top left of the screen and select ‘Rename List’.

Once in the ‘Rename List’ view use the ‘Supplier’ dropdown list to access your existing PPLs.

When the correct list is displayed, click on the name of the list you would like to rename. This will bring up a free-text box within the table. You can either tweak the existing name or rename the list completely.

Note: You will need to give the list a name that is made up of at least one character and up to a maximum of 50 characters, just like when you create a PPL for the first time.

When you’re happy with the new name click on the ‘Rename’ button. The ‘Available Personal Products List’ will update to show the renamed PPL.

How to delete a Personal Products List

You are able to completely delete one, or all, of your lists in the ‘Delete List’ view of the dashboard.

To see the ‘Delete List’ view click on the menu button at the top left of the screen and select ‘Delete List’.

Once in the ‘Delete List’ view use the ‘Supplier’ dropdown list to access your existing PPLs.

When the correct list is displayed, click on the ‘+’ symbol to make the selection check boxes available to use. Tick the check boxes of each list you’d like to delete and then click the ‘Delete’ button at the bottom of the screen.

When the list is successfully removed, your ‘Available Personal Products List’ will update to show the remaining PPLs only.

An example of a Personal Product List in action Once you have a PPL set up you are able to use it across a variety reports across TescoLink Microstrategy including:

Sales and Stock Daily Product List. Sales and Stock Weekly Product List. Data Download – PPL Sales and Stock Weekly.

On the following screen use the ‘Available Product Lists’ dropdown menu to select the PPL you’d like to use, then click ‘Run Report’ at the bottom of the screen.

The result will be a report containing only the products in your PPL, rather than a full report of all of your products, giving you a much more focused view of your data. You can see an example of the report run using a PPL above. Please note that this screenshot is illustrative.
