3.1 Online Portal Login Screen

The website address for the Online Portal is www.tpnweb.ie.

Navigating to this address in your internet browser will display the Online Portal Login screen as shown in

Figure 3.1.1 below.

Enter your IEC/TPN account number as the username and password and click 'Submit' to proceed. Logging in

successfully will take you to the Main Menu (See section 3.2 – Online Portal Main Menu).

3.2 Online Portal Main Menu

When you log in to the Online Portal you will be taken to the Main Menu as shown in Figure 3.2.1.

Select Enter Jobs as shown highlighted below.

The job entry screen is made up of five sections which will be covered individually in this document, these are –

3. Delivery Details

4. Item Details

4.1 Reference Details

Figure 4.1.1 shows the Reference Details section of the Job Entry screen. You are able to enter up to two

customer references to help you identify the job easily.

4.2 Collection Details

This section allows you to enter in the collection date of your order as shown below, this will also default to

today’s date, and you will need to click on the date to change the collection date.

4.3 Enter Irish Address Search

To enter in an Irish address you need to ensure or select the country code of IRL from the drop down list and

then click on the ‘Addr Search’ button as shown in figure 4.3.1

This will then bring up the Irish town and county search function as shown in figure 4.3.2.

You will then be able to type in combinations of county and town full or part words to narrow down the search as

shown in the 3 examples below in figure 4.3.2

To select a town, county combination double left click with your mouse on the address line you wish to use and

this will then populate the details in the fields named, Town, County and Postcode as shown in figure 4.3.3

Then complete the address by adding in in the company name and the property, road fields as shown in figure

4.3.4, these 2 field with * are compulsory fields and must contain something, you also have an additional field

below these 2 fields to enter in business park name, etc.

Then click ‘Save’ to bring the address details in to the job entry screen.

This will then take you back in to the main job entry screen, you will then complete the rest of the job details,

such as quantities and job notes.

Item Details

Enter in the quantity in the fields for the type of pallet that you are shipping and select the unit of K for Pallets.

Parcels you will need to enter in the quantity of parcels being shipped and select the unit of P for Parcels.

You must enter the weight of the whole order being shipped this is a compulsory field.

You are able to choose extra Surcharge options, e.g. AM Delivery, etc.

Then select the service that you wish to ship your goods on.

Full OS (Oversize) and Half OS fields, if a value has entered the system will auto calculate the Full OS Spaces

and the Half OS Space fields with a minimum value of double the Full OS and Half OS field.

If the consignment takes up more spaces than what the system has calculated then you can type over this

quantity with the correct spaces taken.

(Note: The system will not let you save the order if the OS Spaces field is less than double of the quantity entered in the OS fields.)

4.4 Manifest Notes

Figure 4.5.1 shows the Manifest Notes section of the Job Entry screen. Manifest Notes can be used to supply the

Haulier with further information about the consignment.

The Haulier has the option to set up default Manifest Notes descriptions for you. In the example below the

customer has been set up so that the first line of Manifest Notes is reserved for the Contact Number.

Some of the Manifest Notes lines may be read only and you will not be able to change them. This is based on the

settings the Haulier has added against your user login.

4.5 Saving a Consignment

Once you have entered all of the required information you are able to choose either ‘Save’ or ‘Save & Print’ from

the bottom of the consignment screen.

If the consignment was successfully saved you will be notified in the top right hand corner of the screen as shown

in Figure 4.6.1.

5.0 Online Portal Main Menu

To print a document, for example a Consignment Note, Label or Manifest, you will need to choose 'Print

Documents' from the Main Menu. The documents you are able to print are pre-determined by your Haulier.

Figure 5.0.1 shows the Print Document grid. Clicking on any of the column headers will order the grid by the

values in that column.

By default the Print Documents grid will show you the 500 most recent jobs that have not yet been printed.

You can search within the displayed jobs by changing the selection criteria at the bottom of the screen as shown

in Figure 5.0.2

You can search by a number of fields including Consignment Number and Entry Date. You may also limit your

search to a particular unit type.

When you perform a search the grid will be filtered so it only displays results that fall within your criteria. You

can clear any filters you have applied by choosing 'Reset Grid' from the bottom right of the screen.

You are able to view jobs that have already been printed by changing the 'Show Only' option at the bottom of the

screen to 'Printed' or 'All'.

Once you have located the job you wish to print, select it by ticking the corresponding check box, choose the

document type you require from the drop down box (Figure 5.0.3) and click 'Print' to load the printing window.

You are able to print multiple jobs at once and may select or deselect all of the jobs displayed by choosing 'Toggle

All' at the top of the screen (Figure 5.0.4)

The printing window, shown in Figure 5.0.5, allows you to print the current label or all labels for the

consignment(s) you have requested. Choose the option you require and choose 'Print'. You will then be able to

select the printer you wish to send the document to.

If you wish to print a Manifest you can do so by entering the Despatch Date at the bottom of the screen and

choosing the 'Print Manifest' button as shown in Figure 5.0.6 below.

6.0 Uploading Customer Paperwork

If you require your own paperwork to be delivered, TPN requires you to upload your paperwork to the customer

portal. This ensures that the delivery depot will have a digital copy of your paperwork, which will also contain

the relevant TPN tracking codes and references on it.

When completing the process of entering a job on the portal, you will be given an option to upload paperwork. If

you can upload the paperwork at this point, skip to step 3. If for some reason, you wish to upload the paperwork

at a later time, start at step 1.

1. Select "Upload Paperwork to Consignments".

2. Select the date that the job was entered. Today's date appears by default. Click Search.

3. In the list that appears, select "view/upload" on the job you wish to upload paperwork for.

4. A window will pop up, asking you to choose a file (or files) to upload. Select the paperwork which you have

scanned to your PC, or a network drive, etc.

5. The file (3908.jpg, in this case) has now been selected. Press "upload".

(You can also see, another PDF document has already been uploaded to this job.)

6. After the upload button has been clicked, and the file is uploaded, you should see the file appear in the list of

"uploaded paperwork". The "released to depot" column should say "No", because it has not been released to the

depot. At this point, you should check that you have uploaded the correct document. Click "view" to verify that

you've selected the correct document. If it's the wrong document, click "delete" and go back a step to select the

correct file. Once you're happy with the file, you can click "Release to depot".

7. The file has now been released to the depot, and you'll see "YES" in the "released to depot" column. You can

now close the pop-up window.

8. Now you're back at the list of jobs entered on the date selected. This overview shows the uploaded paperwork

status of each job in the "released to depot" column. If you require customer paperwork for all your jobs, these

should all read "YES".

That's it.

7.0 Labelling Freight

All freight consigned to TPN must have 2 labels per pallet affixed to adjacent sides and be clearly visible

when presented for unloading.

The only labels that will be accepted by TPN are those generated by the network IT system. Handwritten

or customer own labels will not be accepted, except under exceptional circumstances. Authority must be

sought from, and granted by, a senior member of Hub staff prior to freight entering the network.

All pallets must be presented with the labels facing outward to assist in the sortation process.
