VIII. New Business A. Haiti Committee Fund Raiser – Fr. Tom passed out a proposal from the Haiti Committee. They will ask for approval at the next Council meeting.

IX. Fr. Tom’s Comments - Fr. Tom said the Los Angeles Congress was very worthwhile. There will be six $500 scholarships available for next year. He has cds of the presentations that will be available for loan to parishioners. Presenter David Wells will speak at St. John Paul II in the spring of 2018. He also said that Fr. Jim Farrell will be here in September for a retreat day.

Parish Council Report from the Faith Formation Commission 2016-2017

In what ways does the Faith Formation Commission actively work to fulfill the mission statement and the vision statement of our parish?

• In all of our faith formation opportunities, we strive to help parishioners of all ages integrate their faith in their daily lives.

What has the commission worked on or accomplished in the last 12 months?

• The Adult Faith Formation Task-Force is our newest endeavor and has begun putting together its first program revolving around the parish mission and vision statements.

• Religious Ed. was moved to Sunday nights, which has increased attendance. • RCIA is one of our largest groups this year. • We had our first Family Faith Formation activity offered at Breakfast with Santa. • Summer 2016 VBS was the largest yet with many new volunteers and planning

team members and well organized. • We started the marriage enrichment ministry and began with the 5 Love

Languages program and had their first morning of reflection • We have added new commission members.

What are your goals and plans for the next 12 months?

• We are planning the “Mission Beyond” (Adult FF Task-Force) program with the mission and vision statements for the parish.

• VBS planning is underway for June 2017. • The Marriage Enrichment ministry wants to continue offering new programs. • RCIA is offering their first morning of reflection for candidates in March. • Religious Ed. and RCIA will continue to be offered at the same times since these

programs are currently thriving. • A family faith formation activity will be offered again next year at Breakfast with

Santa. What new programs/opportunities do you anticipate/hope for in the coming 12 months?

• We hope to offer a local pilgrimage day trip such as to St. Meinrad/Ferdinand or Gethsemane/Bardstown.

• We hope to put together a family faith formation activity for St. John Paul II’s feast day on October 22.

What (if anything) do you need from the Parish Council to help integrate these new programs/opportunities?

• What recommendations can the parish council make to boost attendance or what other faith formation ideas do they see a need for in our parish?

Church, Capital Improvement, Capital Campaign, Charity Gaming, School, all per budget.

4. February All Financial: Ordinary Income YTD is +6.8%. YTD net is +$77,272; this will decrease as there will be loss in 4th quarter, mostly in School operation due to advance tuition payment for year.

5. January Ministry Financials: Church: Collections for YTD 3.9% over budget and 7.7% above last year. Expenses are at budget. Net +$49,000 over budget Capital Campaign & New Church: -Expense for Architect Day Care: Net YTD gained $5,000 still under budget, should make budget by end of year. Total enrollment is 173 vs budget 166 Enrollment for 2017-18 is full. School: There are no financial issues. Tuition collection is current. Net is at budget. Enrollment for 2017-18 is looking good, above normally at this

time compared to past. 7th grade is 18; the projection when approved adding was 15.

Working on purchase for 7th & 8th grades furniture Reviewed one time expenditures for the 7th & 8th grades. Approved $70,000; some expense will be in current year with balance in 2017-18; will be charges to School Capital and taken from School reserves. Attached are School Finance minutes. Gaming: Net is under budget, this is planned to use some of the cash balance

1. Financials • 4214.705: Spring Voucher Payment anticipated March 31. • 5028.705: Substitute Teacher Salaries—3 babies in 3 months!

2. Fundraising • SpringFest Totals are not final, but look very positive. The growth in the

Silent Auction is very positive! All hamburgers & hotdogs donated by Hubers Preferred Meats (Sam and John Huber).

• Fundraising monies generated by Piano Lessons will be used to fund the school’s music program. Additional chimes will be ordered, and old chimes will be refurbished.

3. Collections • All tuition is current. No cafeteria collections issues.

4. Cafeteria • 4630.713: Cafeteria Sales is the money taken into family accounts. This

does not reflect the number of lunches served. • Cafeteria has a positive balance. • Karen to discuss with Lisa Combs, Cafteria Manager, any

projects/purchases that need to be planned. 5. HOPE Fund

• Chair for Fundraising Event Needed. 6. Proposed Expansion Purchases

• Costs associated with the addition of 7th & 8th grade/Science Lab/ and Conversion of Rooms 107 & 108 were detailed.

7. Technology • 20 new Chromebooks will be ordered for 2017-18 6th Graders. Parents

will cover $160 of the cost of each. • 4 additional Chromebooks to be shared among 3rd/4th Grade

8. Facility Walk-Through with Koetter • Very positive brain-storming session. Many ideas generated. Most

focused on getting 6 Preschool/Daycare Rooms in AC Building. Additional Space would need to be added to house Grades 2 and 3. Koetter to look at designs of additions/mobile classrooms.

9. Health Insurance After FMLA • Teacher leave dates to cause possible lapse in coverage. School wants to

provide coverage, but is mindful of the precedent it could set for parish. Input needed from parish leadership.

10. Other Discussions • Preliminary Budget Discussions

Christian Service Commission St. John Paul II Catholic Church

March 22, 2017, Meeting Minutes

Present: Linda Pratt, Bob Burkholder, Craig Burcham, LeneitaNiesse, Mag Young & Suzanne Corum The First 15 led byBob Financials

• ReviewedJanuary and February financial summaries • $2,000 was approved to help a parish family who is struggling financially. The

funds will be used to help pay for funeral expenses of the recently deceased mother.

Ministry Reports

• Community Kitchen – All is good. They are building funds in preparation for a significant cut in funding. Surprisingly will receive $10,000.00 from County Commissioners again this year.

• Habitat for Humanity – Recent name change to include both Clark and Floyd counties. They currently have a house underway and another one in line as soon as the current build is complete.

• Exit 0 – Volunteers continue to work in the warehouse.

Old Business • Requests for names of active military parishioners resulted in no response.

New Business

• Guest speaker, Michele Ashby, from Faith Formation joined us to share “Mission Beyond,” a parish council proposal. She shared ways she envisioned the parish vision statements being reinforced by the Christian Service Commission (CSC). The CSC members took information home to read and process and will revisit the topic at future meetings.

• RCIA

:Pictures of those in RCIA will are hung at both chapels with an envelope so that parishioners can give them words of encouragement and welcome; these will be distributed at Easter time. RCIA participants are participating in the Scrutinies with their sponsors on March 19, 26 & April 2.

• K-12 Religious Education

: Students are on spring break. Classes will resume for the month of April, except for Easter Sunday. The teachers will have their end of the year meeting after the last class on April 30.

• Adult Faith Formation

: The task-force members planning the Mission Beyond program have been meeting with the various commissions. The team will meet in early April to continue planning for the program, which begins July 29.

• Marriage Enrichment Ministry:

The Marriage Enrichment team is already making plans for future programming. Planning will also include scheduling the 5 Love Languages program in the fall.

• VBS:

Planning is underway. Registration for children and volunteers is now available on the parish website. Registration info will be sent home to religious ed. students, daycare and school after spring break.

• Faith Formation Commission

: Vicki will be presenting our stewardship report at the March parish council meeting. Our next meeting will be held in May.

Minutes Parish Life Commission Meeting

St. John Paul II Parish

A Parish Life Commission meeting was held at 7:00 PM on Tuesday, March 7, 2017, in the Upstairs Conference Room of the Parish Office Building at the St. Joe Hill Campus in Sellersburg, Indiana.

March 7, 2017

The following members of the Parish Life Commission were present: Cathy Thomas, Bridget Meyer, Steve Yost, Rosie Yost, Geri Lyle, Rosella Klein and Linda Hunter. Bridget Meyer led the meeting. Linda Hunter recorded the minutes. Bridget Meyer distributed an agenda and a copy of the First Fifteen for Sunday, March 12, 2017.

The “First Fifteen” gospel reading (2 Timothy 1:8b-10) was read by Geri Lyle. The reading concerned graces bestowed by God. A discussion ensued about the many gifts God has bestowed, including our families, and how faith gives us strength. After discussion, the First Fifteen ended with the Glory Be prayer.

The next item of discussion was a review of the recent Chili Cook-Off. There were 9 chili entries and 11 dessert entries. There were more people in attendance than at the first Chili Cook-Off. There were not many children participating in the games and cookie/cupcake decorating contests. The winners of all competitions were very pleased with the prizes given to them. Leftover food was donated to a soup kitchen in New Albany. It was suggested that the Chili Cook-Off venue should be rotated and that the event be held at the St. Joe Hill Campus next year.

A discussion ensued concerning ways to solicit help with events from the parishioners and the youth of the parish.

Bridget reported that her presentation to the Parish Council meeting went well. A suggestion was made that babysitting services be provided for parish events.

There will be a Raffle in June and it was suggested combining the Raffle with a Parish Life event. After discussion, the consensus was that a parish breakfast be combined with the Raffle for a Sunday in June. The dates of June 4 or June 25 were suggested. The Raffle must be completed before June 30.

Bridget reported that the February 22 Parish Life event with Ian Callalan in concert was successful. Good feedback was received for the concert and refreshments served after the concert.

The Mission Statement Kick-Off Event will be held July 29, 2017 and each of the parish commissions will be asked to furnish snacks for this event.

Positive comments have been received from parishioners receiving cards sent by the Parish’s Greeting Card Ministry.

The next item of discussion was the Baby Sitting Ministry. Bridget reported that Father Tom feels this is a needed ministry and it should be part of the Parish Life Commission. Items discussed included the need for background checks of sitters and whether or not baby sitters should be paid. It is believed that the Clark County YMCA offers a babysitting certificate program and this will be investigated.

Bridget announced that visitor packets are being distributed to parish visitors, and a welcome packet will be given to newly registered families.

The Pool Party in July was discussed. Pizza and soft drinks will be served. No ice cream will be served.

There will be no Ice Cream Social this year.

MARCH 2017 Karen Haas

• Grades 3-6: Part One of ISTEP has been completed by all. Part Two will be completed in a couple of weeks. Grade three completed IREAD3 also. We are proud of the effort and attention our students and teachers give to this test.

CURRICULUM/PROFESSIONAL DEVELOPMENT

• Grade 2 is finishing their preparation for First Eucharist. They are excited to be learning about the true presence of Jesus in the Eucharist.

• March Family Friday: The two first grade classes presented quotes from Dr. Seuss and related them to Bible verses. Each student dressed like the Cat in the Hat and did a terrific job speaking in front of a large audience!

EVENTS

• Academic Olympics: Thanks to our sixth grade team, and our coach, Mrs. Amanda Sumpter for representing us this year.

• MATH Bowl: Many thanks to Mr. Ben Chisman for coaching our first MATH Bowl Team. Over 20 students were given the opportunity to participate.

• Stations of the Cross: The student body gathers each way to pray the Stations of the Cross which are led by a different class each week. It is an opportunity to reflect on the Passion of Christ and its meaning in our lives.

• Open House Follow Up: All families that signed in at our Open House, but have not registered, have been contacted and given more information about JPII.

FUNDRAISING/MARKETING

• Prospective Kindergarten Parents of the Class of 2017-18: A letter will be sent to all Kindergarten eligible students in our preschool. It will include information about all three types of tuition assistance available (Parish Tuition Assistance, Tax Credit Scholarships, and State Vouchers).

• Marketing Opportunities: We continue to document the many learning opportunities at JPII School with posts on the school’s Facebook page.

• Annual Springfest: This fun event for all ages was a great success. There was a wonderful atmosphere while raising money for the school. Thanks to the school commission members that co-chaired areas of the event: Chris Rosio, Samantha Huber, Todd Wetzel, Laura Bauer, Denise Allgier, and Janna Jackson. A special thanks to JPII Parishioner Keith Thompson for auctioning the many items throughout the day! Thanks also to Lisa Combs and Cathy Thomas for their magic in the kitchen, Ronda Jackson’s work preparing the children to sing, and Cindy Alexander and all of the teachers for their part in the event’s success.

St. John Paul II Parish Council Ruth Morrison–Lile Preschool & Child Care Report March 28, 2017 Enrollment Numbers

• The 2016 - 2017 school year enrollments: The daycare/preschool is full with total enrollment at 112. The After School Care Program has a total of 33 full time and 9 part time children using the program.

Staffing We welcome new employee high school student Madelyn Trulock.

Accomplishments

• We have 4 daycare/preschool openings and 11 openings in the Tuesday/Thursday preschool class left for the next school year. The Tuesday/Thursday class is always the last class to fill.

Activities/Events • April 12 & 13 Preschool Easter Egg Hunt • April 17 Easter Monday – No Preschool

Facility Issues • Mid America Security System will be on site this week to restore the

software and all data will be entered immediately. Hopefully, the system will only be down a few hours while this information is being entered.

Teacher/Parent Concerns • We have 60 children registered for the 2017 Summer Program. We

will continue to accept registrations over the next two months. I anticipate this year’s attendance being larger than last year.

St. John Paul II Parish Spiritual and Evangelization Committee

Minutes from February 16, 2017 Meeting Dinah opened the meeting with "The First Fifteen" People present were Kathie and Bob Eberle, Linda Helms, Joe Lynch,Dinah Tichy, Bunky and Tex Very, and Father Tom. Barbara Renn was invited to our meeting to tell us about a newly formed adult faith Formation Program which will take place in our Parish in 2017-2018. It will begin July. She explained about the Vision statements. Each commission of our parish will be informed. Father said that there needs to be coordination of the various activities for each month. Retreats--Tex reported that he and Bunky met with Father Farrell last week and he went over the schedule of the talks that he plans to give next Sept. There will be four talks. Some of his talks may tie in with the vision statement of the that month. Small Groups--Delores was not present but Dinah told us that she plans an insert page in March in the bulletin encouraging new people to join small groups. People in the current groups need to invite other people personally to join their group. Kathie said that her group making rosaries is doing well and enjoying it. Adoration--Linda said that the slots in the middle of the night are very hard to fill. It was suggested that we could take some of the adorers to put away the Blessed Sacrament for a limited time but Linda said not all people are comfortable doing that. Mission--Father Tom reported and confirmed the mission date with David Wells which is being held April 14-18 in 2018. St. Gianna--Joe Lynch said the 40 Days for Life March begins March 1 to April 9. He said that they need people at the abortion clinic. Our Parish has two dates to work--March 18th and April 4th from 7 :00 A.M.-7:00 P.M. Sign up will begin in 2 weeks. Both Catholic and Non- Catholic churches are connected with this march. Prayer Partners--Father said that he needs to know before he begins Mass if one of the prayer leaders will be present after Mass to pray with those wanting prayers. Family Retreat--Dinah reported that Marlene is checking her schedule before she can give a firm commitment for Oct. 13-14. Dinah received written information from CYO camp Rancho Fromasa which she passed out to each of us. Feast of St. Paul II. Taylor was not present at our meeting but Father said that it would be a good time for us to plan our activity which would fit in with our "Mission Beyond" vision statement for that month. Lent--Father Tom talked about a 52 week program using the book "We Made The Road By Walking" for our parish. Bob said that OLPH already has purchased the program and by using their password, they use the program a in his small group meetings. The meeting ended with prayer. The next meeting will be March 16th at 6:30.

Evangelization & Spirituality Commission Minutes – March 15, 2017

Those absent: Joe lynch & Taylor Buckner.

RETREAT Jim Farrell, Sept. 16, 2017: Fr. Tom asked Bob about publicity that needs to begin now with bulletin announcements. We need his topics to entice attendance. Need Oct. minutes for suggestions from Fr. Knott’s retreat to address improvements. Ask Janna Jackson to design a large poster to distribute to other parishes.

Small Groups: Dolores reported that she is looking for new resources since Quest is no longer in print. Fr. Tom encouraged an in house program based on the Sunday readings and homily.

Technology: Terry & Mary Wright: the new St. John Paul APP just became available March 15. Terry & Mary and Dinah want to meet with Dawn to find out more about the APP and how to Link without overlapping school and other links.

Mission: Fr. Tom: Date is April 14-18, 2018. Speaker David Wells. Dinah said he was excellent. Adoration: Linda Helms We are looking into safety measures such as a keyless pad and cameras.

Original incident was over blown. Fr. Tom will address any inquiries on a need to know basis. St. Gianna: Marina reported for Joe Lynch. Forty Days for life march 18 and April ? all times to

pray are covered. The group would like to have an appreciation dinner for the dedicated volunteers on the Saturday before Palm Sunday. Fr. Tom suggested they call the office to verify a location and time for the dinner.

Sunday Rosary: Terry & Mary –They will be placing an announcement in the bulletin for May. Prayer Partners: Fr. Tom asked that he or someone (Bridget – Dan) announce that Prayer

Partners would be available after mass and name the location of where they will be in the church. He asked that the partners let him know they are present so he can be sure someone is there to pray with those in need. Dolores will make a name tag on a lanyard to identify the Prayer partners, (2 per person in case of loss). Fr. Tom will email them of the dates.

Family Retreat: Oct. 13-14, 2017 at Rancho Framasa in Brown County. No new details at this time.

100th anniversary of Fatima apparition. Marina and others had suggestions to celebrate this on the 13th of the months May – October. The church could be open for prayer and other events can be planned.

Other Spirituality opportunities: Fr. Tom told us of a book – We Make the Road by Walking by Brian McLaren that he will use as an online book study. This book could be used for Small Faith Groups.

Heart to Heart Caring Ministry

: Dolores told of a program of outreach to those of our parish in Nursing , Independent living, Assisted living and homebound parish members. These visits would not be communion visits but the establishment of a friendship outreach.

Parish Council Report – Youth Ministry March 2017

Athletics • Basketball & Cheer

• All grades have wrapped up their seasons!

• Golf: • Sign ups are over, the clinics for grades 1-6 will start mid April

• Track: • Practices are happening now for grades 3-6.

• Soccer: • Sign ups have ended and practices have started. Games begin after spring break.

Youth Ministry Programming Faith Fill-Up Fridays continue to be a well attended program and we broke our attendance record in March with about 30 people! The next one will be April 3rd.

Work on NCYC (National Catholic Youth Conference) has started.Youth are starting to talk about the conference and sign up info will be coming out soon as we get more info from Arch Indy. A fundraising proposal has been turned in to help with the cost of this trip.

Confirmation Mass is in April for the current group of 31 youth. Kristina and Dawn will be hosting a session for incoming youth in April.

Calendar planning for the upcoming calendar year is in full swing and YM has submited their first draft of their 2017/2018 budget.

A Secret Service day for middle school youth was hosted during spring break. The youth put together Easter bags and took them to the residents at Maple Manor. Youth went to Sky Zone that afternoon. It was a good day and the kids want to gather again for dinner that went that day.

Dawn attended an Arch Indy YM day of training in Greenwood. The topic was the new generation and technology.

Technology Updates The New Parish App is currently in the process of being roled out. It went live this past week and Dawn is updating some info on it. The current bulletin will have a one page ad to promote the app and there will be “stuffers” in the next mailing of collection envelopes.

Youth Ministry Fundraising Proposal

Who: Youth Ministry/High School Youth going to National Catholic Youth Conference (NCYC)

Why: Fundraiser to help fund NCYC trip and YM budget. Cost for trip is estimated to be between $580-$600 per youth.Chaperones will be approx. $750. In 2015 we had 19 youth from our parish attend. When: 2nd and 3rd weekends of August before and after masses (Youth will be at masses with display)

Where: In the back of SP and SJH Chapels

What: Each chapel will have a board with envelopes decorated by youth and numbered between 1-100. On each envelope it will also have a note (or label) asking for name of person donating for tax purposes if they so choose. Parishioners will be asked to take an envelope with a DOLLAR AMOUNT (number) on it that they will donate to thisfundraiser. They could put the envelope with funds in the collection basket or drop it off to the parish office. Example – If Joe Smith were to take an envelope with the number 5 on it, he would donate $5 and put it in the envelope and drop it off in the collection basket at mass or the parish office. If someone wanted to donate $25 and the “25” envelope was gone, they could take a “5” and “20” envelope or a “22” and “3” envelope. At the end of August we will SUBMIT (gather) a report of all envelopes and funds collected and acknowledge it in the bulletin so the parish knows how much was collected. If Father Tom approves it, youth will speak one weekend at end of masses about NCYC.

Ultimate GOAL (End): If people took all the envelopes and returned all the envelopes from both chapels, YM would raise up to $10,100.
