Good Day,

I hope everyone is enjoying the freshness of the Spring rains we have had this past month. I know that at times we have worried about how much water our ground would hold, but it seemed to really perk up the trees and flowers. I believe it may have perked me up too!

We would like to welcome our new TGS Board Member, Diane Quin elected at our May Annual Meeting. Diane Quin, is relatively new to our Society but has been a very exciting addition to our group. She will be able to contribute much to TGS as she will be assuming the Membership Chair position vacated by Donna Harmon.

We shall miss Donna’s faithfulness in working with our membership as she transitions off the board after 3 years of service.

Re-elected to board positions were Dorothy Becknell and Carol Ellis-Jones. We also added two 1-year positions to our board with Jeaneen Darnell and Cheryl Thornburg as Board Members-at-Large. These two positions will help us keep in touch with members concerns. We’re off to a great year beginning in July.

Annual Meeting Minutes, May 15, 2017

Tulsa Genealogical Society Annual Members Meeting

Monday 15 May 2017 6:30p.m. to 8:00p.m. Hardesty Regional Library, TCCL

Attending Board Members:

Dorothy Becknell, President, called the meeting to order at 6:30 pm.

Dorothy noted that the presentation by the student from Booker T. Washington high school who is canvassing

and photographing graves for the Billion Graves project is delayed. The rains and grounds have been too wet

to finish the photography. A report to TGS will be presented when materials are ready.

Carol Ellis reviewed programs planned for the summer. She also had prepared a display board for TGS

Volunteer recognition, and with Dorothy, a recognition was given to each of the volunteers. A list has been

given on the back of tonight’s Members’ Meeting agenda. Carol presented a special recognition and thank you

to Dorothy Becknell, Society President.

Carol presented the first of officer reports noting that ten TGS workshops had been held from September 2016

through April 2017.

Treasurer, Steve King presented the Annual Balance Sheet summary as of May 3rd 2017. The Income from

fiscal year start of July 1, 2016 through May 3rd, 2017 has been $2,103.21. Expenses for the same interval

have been $2,251.06. Steve commented on one extraordinary expense related to the Library’s water damage

and clean-up service; an insurance deductible of $1,000 was paid. The overall TGS Assets at this time are

$20,114.05; all expenses to date are met.

Finance Chairperson, Jayne Mitchell presented the 2016 Audit Report, for Fiscal Year July 1, 2015 through

June 30, 2016. The October 11, 2016 Financial Audit report was read to the members. In addition, Steve King

conducted a complete audit and made recommendations for some accounting controls and procedures. These

have subsequently been implemented.

Sandi Ford gave a TGS Publications Report: All publications sales have been suspended, in part due to the

extraordinary cost of re-printing. It is a goal to offer TGS data from the publications of the past 20 or so years,

as research information on the TGS Website. A specific project related to that goal is to prepare the 13 Funeral

Home books in a searchable data base. Letters A-D should be ready in a few weeks.

(A comment out of order; discussion was held at the end of the meeting.) Jae described the preparation

required before the current compiled FH data can be posted, and two additional volunteers agreed to the

“work-at-home” preparation. Jae will instruct Virginia Harris, Jeaneen Darnell about the format.

Sandi Ford then presented a gift of a laptop to Chloe Faye and Mary Bell for their genealogy projects.

rotating off in June. They are Dorothy Becknell,

President, Carol Ellis Jones, 1st Vice President and

Donna Harmon, Membership Chair.

Nominations are as follow: Dorothy Becknell

and Carol Ellis-Jones, 3-year terms; Dian

Huffman Quin , a 3 year term. Cheryl

Thornburg Crosswell and Jeaneen Darnell

each have agreed to serve one-year term as Board

Member at Large.

These nominations will be presented at the May

Business Meeting for election to their respective

areas of service.

If there are other TGS members who would like to

serve on the BOD, please let Jim Hemphill,

[email protected], know asap.

How many of you have noticed we finally have our TGS website back up? It is not complete but is

navigable. I want to thank Karen Gilfillan for helping with the transfer of our hosting and domain and also

for providing her expertise in locating a user-friendly design.

There is definitely a new-look to the site and I am working on adding other elements to the site. It is quite

a learning curve but we are making good progress.

I will be setting up the PayPal selections for new and renewal memberships also.

Soon to be added is a Member’s Only section in which members will be able to log-in using a username

and password. Also, research indices are being readied to be added to the research section and a links page.

There are a couple of extra sections I would like to add, but they are going to be a surprise for the time being.

If you would like to see any information area added to the new site, please email me with your thoughts. I

will be glad to take your suggestion into consideration.

Bottom line is please have patience if you run into a non-functioning link or email address. But let me

know so it can be corrected. Enjoy the new site and let us know what you think. - Dorothy

Session III Where Do I Find Important Legal Records? - Annette Corbell (Mar 25 2017)

• Records available at the county with explanations of each; Legal terms; Places these records can be found (ex. publications; Family History Centers); Locating the correct county and county seat.

Session I V Information from Archives and Libraries - Liz Walker (Apr 29 2017)

• Resources available at archives and libraries, reference books such as Genealogies in the Library of Con-gress, Family History Centers, lending libraries, libraries worth going out of your way, use of newspapers and how to find them, special collections, use of maps, migration trails, National Archives & Records Ad-ministration, State Archives.

Session V Using Microsoft One Note as a Research Tool – Dorothy Becknell (May 20 2017)

• Learn how to use this multi-task organization and collaboration tool for Genealogical Research. Based on a simple “digital notebook” format, you will be able to use many different page templates; clip items from the web; take pictures with your device and save them in One-Note; One Note on all your devices; can sync to Microsoft Outlook for planning and implementation of projects.

Session VI Researching Military Records – Steve King (10 Jun 2017)

• Review of American Wars. Records unique to each; WW I and WW II Draft Cards; Types of pensions; DAR records; The Confederate Research Center in Hillsboro; Which censuses can help.

During the month of July; TGS encourages all Family Historians and Genealogists to support TCCL Tulsa Genealogy Center and its Annual Family History Programs.

Genealogy News

You are among the first to know: Liz Walker, Genealogist Librarian, will teach a Begin-ning Genealogy Research Class beginning in September. The course will be four weeks in length. The lessons will be held in Jenks and will cost a small fee. She is asking that persons enrolling enroll for all sessions of the course. We are waiting on some addition-al information and a brochure which are forthcoming. Place these dates on your calen-dar.

Family History 101 from 9/5-10/3. Tuesdays 6:30-7:30. (This class is an overview of the basics of Family History Research.)

Following the beginners course, she is offering Family History 102:

Family History 102 from 10/24-11/14. Tuesdays 6:30-7:30. (This class is for people who took 101 or have been researching for awhile and need

some fresh ideas.)

Jim Hemphill, Chairperson of the Nominations Committee, presented the slate for current open Board

positions: Dorothy Becknell, Carol Ellis and Diane Quin. Cheryl Crosswell made a motion for the slate to be

accepted as presented; Steve King seconded the motion and it was approved by unanimous acclaim of the

membership. This addresses the board tenure completion of Dorothy Becknell and Carol Ellis Jones and

Donna Harmon, whose terms end this year. Also elected for a 1-year term each were Jeaneen Darnell and

Cheryl Thornburgh Crosswell as TGS Board Member-at-Large.

Final comments were made about genealogy programs available through several other sources, and about the

work by Karen Gilfillan and Dorothy on the new TGS Website (available through the same TGS web address.

Carol Ellis Jones continues to update TGS Facebook Page as another means of program publicity and research

contacts.

There being no further business Sandi Ford made a motion for meeting adjournment and Karen Gilfillan

seconded the motion.
