ThisreportdetailsthefindingsandanalysisofarecentsurveystudyingtrendsinmobileworkingandBringYourOwnDevice(BYOD),aswellastheuseofconsumer-basedfilesharingapplications.Thesurveywasconductedaspartofanon-goingprimaryresearchprogramcommissionedbyWorkshare.

The survey looks at the extent to which employees are working with mobile devices and consumer-basedapplications, as well as howtheworkforceisengagingtheITfunctiontomeetthemobileneedsofemployees forcollaboration. Thisreporthighlightsthesimilaritiesanddifferencesinthesefindingsandfurtherbreaksdownthedataprovidedbytheprimaryresearchintofindingsfromrespondentsdistributed across various vertical markets, job roles, company sizes, and locations, in order to understandnuancesanddrawconclusionsfromtheresearch.The2013 surveybuildsuponareportbasedonasurveycarriedoutinassociationwiththeAssociationofInformationandImageManagement(AIIM)in2012.ThefindingsoftheAIIMreportarehighlightedinthe appendixforcomparison.

Fourquestionswereaskedin the 2013 survey toasampleof5,895respondentsfromarangeofcompaniesacrossEMEA and the US. The questions asked were:

1. Do you use a mobile device or tablet to access your work documents on the move?

2. Do you use your own mobile device or tablet for work?

3. Do you use a free, file sharing solution to store or share corporate documents?

4. Has your IT department authorized such file sharing solutions?

1.2 Key Findings

• Mobileworkinghasbecomeanintegralpartofmostbusinessestoday,with81%ofknowledgeworkersaccessingworkdocumentsonthemove.Thishighlightstheimportanceofapplicationsandtools thatfacilitatemobileworkingandcollaborationoutsideoftheofficeenvironment.Thishasprovedparticularlyrelevantforthelegalindustry,where96%ofthosequestionedreportedusingmobile devices to access documents on the move. The trend has grown in other industries and isbecomingacommonrequirementforknowledgeworkers,especiallyinthefinancialandhealthcareindustries,where91%and80%ofemployeesrespectivelyaccessdocumentsonthemove.

• Mobiledevicesareindispensabletoolsforemployeestoday.62%ofknowledgeworkersusetheirownmobiledeviceortabletforwork.Accordingtothesurvey,the‘Bring-Your-OwnDevice’-orBYOD-trendoccursmostlyinlegal(77%),sales(76%),andmarketing(72%)departments.Employeesinadministrativerolesaretheleastlikelytousetheirowndeviceforworkpurposes,withonly18%statingthattheyusetheirmobiledeviceortabletforwork.

• Filesharingisacontinuousneedforknowledgeworkers,with69%ofemployeesusingfree,filesharingservicestosharecorporatedocuments.Employeesworkinginlegalandprofessionalservices(88%)andfinancialservices(78%)reportthehighestusageoffree,filesharingservices,followedbyhealthcare(55%),creativesectors(66%),andgovernment(42%).Withintheseorganizations,thoseworkinginsales(78%)andlegal(78%)departmentswerethemostlikelytouse freefilesharingapplications.

• Only28%ofthosequestionedhadITdepartmentauthorizationofthesefilesharingsolutions.Largercompanies,withover20,000employees,hadagreatergraspofdatasecurityissuesaround filesharingapplications.Incontrast,companieswithfewerthan500employeeshadamuchlower proportion(24%)ofemployeesusingauthorizedfilesharingsolutions.

• IncomparisontoWorkshare’s2012AIIMResearchReport,thereisariseinrequirementsforfile sharingapplicationsandworkingonthemove,howeverthenumberofemployeeswhowere adoptingBYODhasdecreased,from80%to62%.ThisislargelyduetotheincreaseinITsecurity andintheawarenessofthedangersofBYOD.Moreandmorelargeenterprisesareoffering employees company-owned mobile devices in order to regain control over corporatedocuments andintellectualproperty.Moreemployeesrequireaccesstodocumentsoutsidetheoffice,and moreemployeesareusingunsecure,free,filesharingservicestoshare corporatedocuments(66%in2012;69%inthe2013survey).

1.3 Methodology

Workshare conducted primary research by preparing an online questionnaire in 2013 and inviting 35,000 companies to complete the questionnaire. The data sample included companies and contacts distributed across various vertical markets, job roles, company sizes, and locations (divided by the US orEMEA,basedonHQlocation).Thetotalnumberofresponsesreceivedwas5,895,althoughpartialresponses have been excluded.

Thequantitativedatahasbeenusedtogeneratethegraphicalrepresentationofthefindings detailed in the report.Commentsandconclusionshavebeenmadebyanalyzingthisdatawithaviewtoidentifytrendsandvariationsacrosscompanysize,geographicalmarket,jobfunction,andcompanysize.Samplesizesweredifferentforeachofthesesplitssincesomerespondentsfailedtoprovidecertaindemographicinformationordidnotfallwithinsetcategories.Thisisthesecondconsecutiveyearofthesurvey,firstconductedin2012inassociationwithAIIM (See 5.0 Appendix).

Examining the data across departments, we can see that access to documents on the move has becomeatrendspreadingacrossawidevarietyofjobfunctions.The legalsectorhasanexceptionallygreatneedformobileworking,where98%ofemployeesinthisfunctionreportedaccessingdocumentsonthemove.Onlyadministrativeroles(24%)don’trequireaccess,largelyduetothenatureofadministrativework,whichisoftenconductedwithinofficehours.

4.0 ConclusionSomeclearconclusionscanbedrawnfromthisresearch.Mobileworkingisbecominganinevitablerequirementformostbusinessestoday,with81%ofknowledgeworkersrequiringaccesstoworkdocumentsoutsideoftheoffice.MobilitytrendsandinitiativesaroundBringYourOwnDevice(BYOD),aswellastheuseofconsumer-basedfilesharingapplicationshavepresentednewopportunitiesformoreefficientcollaborations, butalsointroducethreatstosecurityandcontrol.

Thishighlightstheimportanceofsecurecommunicationandcollaborationchannelstofacilitatemobileworkingandproductivity,particularlyforthoseinlegaljobfunctions.Amongthosewhoworkinlegaljobfunctions,98%reportaccessingdocumentsonthemove,followedby94%inmarketing;90%infinanceand82%salesdepartments.Only24%ofthoseworkinginadministrativejobfunctionsreportneeding remote access.

Inlinewithmobileworkingrequirements,theBYODphenomenonhassolidifieditsstandingasworkplaceprotocol,with62%ofemployeesbringingtheirownmobiledevicesintotheworkplace.This is generally applicable for all knowledge workers, though itisespeciallytrueforthoseinthelegal,marketing,andfinancialdepartmentsandthoseinthelegalandprofessionalservicessector.ThisisconfirmedinrecentresearchfromasurveybyGartner2,whichreportsthat90%ofenterpriseshavealreadydeployedmobiledevices,withsmartphonesbeingmostwidelydeployedastherapidproliferationofconsumermobiledeviceschangesthetraditionalITenvironment in enterprises.

ThelargestadoptersofBYODareknowledgeworkers.Knowledgeworkersalsocollaborateonfilesoutsideoftheofficemostfrequently.Knowledgeworkersingeneralaremorelikelytocarrymultipledevices,workoutsideoftheoffice,andneedtocollaboratemoretocompletetasks.Companiesthatprovidetheirworkerswithmobiledevicesarealreadytakingadvantageoftheincreasedproductivitythatcomesfrombeingabletoworkfromanywhere.Organizationswillfindtheyhavenochoicebuttoallowuserstosynchronizefilesbetweendevicesandco-workers.Enterprisedecisionmakershaveachoice to allow users to seek their own ad hoc solutions or to choose and support an approved system thatdrivesproductivityandofferssecurity,control,andintegrationwithon-premiseslegacysystems.

Oneofthemostcrucialelementsofmobileworkingistheabilitytoextendfarbeyondtheoffice,whichisparticularlyaptforthoseworkingwithclientsoroutsidestandardofficehours,suchasthoseinthelegalprofession.Mobileworkingextendsbeyondaccessingandsharingfiles andisnowaboutdocumentcomparison, social business, real-time collaboration, and secure usage on these portable devices. Wherenewtechnologiesbuiltformobiledevicescanintegrateintoonesystem,mobileworkingcansimplifycollaborationbyreducingthenumberofapplicationsbeingusedtorevieworcreatedocuments.Emailisstillheavilyusedastheeasiest,quickestwaytotransferdocumentsexternally.Relyingonthechaosofemailisprovingahugechallengeforlawfirmsandemailmanagementstillranksasatopthreepriorityformostcompanies.Newtrendsalongwiththeavailabilityofdevicesandappshavechangedthelimitationsthatwerepreviouslydefinedasinsideoroutsideofthenetwork.

Despitetheclearbenefitsofmobileworking,italsohassomesignificantdrawbacks,specificallyaround accessibility, internet protocol, backup, and intellectual property. Access to sensitive companydatafrommobiledevicesnotownedorcontrolledbytheenterpriseposesathreattothecompany,evenifthedeviceismainlyusedinsidetheoffice.

ThemainissueisthatITdepartmentsarenotawareoftheuseofconsumerfilesharingtoolsoutsideoftheoffice,asonly28%ofemployeesonaverageseekauthorizationfromtheirITdepartmentand/orfailtoprovideameansforemployeestoefficientlysharefilesandcollaboratebehindtheofficefirewall.ITdepartmentsmayneedtoreassesstheapprovedtoolstheygiveusers,astheymaynotmeetuserrequirements.Thesurveydemonstratesthatfilesharingsolutionsmusthavemobilityfunctionalityacrossallindustriesincompaniesofallsizes.ITdepartmentsmustlearnnewskillsandspend more time understanding the consumer technologies required to support these devices, such asadministrativecontrolovermetadata(hidden data) cleaninganddatapolicyenforcement.Thiswillallowsecureandefficientcollaborationbothinternallyandexternally.
