Introduction to Working with Despatch Manager Online There are three ways to enter shipping data with Despatch Manager Online (DMO):

1. Manual data entry 2. Import Shipment Data function 3. On Demand function

This guide helps the Despatch Manager Online User to set up the required shipping file formats and operate in the Import Shipments mode. The Import Shipment Data (ISD) function allows customers to manually enter multiple (or batch) shipments in one go. This guide helps user to create ISD file formats using the DMO wizard and then explains how to import them and process them in DMO. In the above approach, the Shipment Data file itself is sourced from the customers own IT/ fulfilment system and thus simplifies raising shipments. For general DMO help the DMO User Guide should be used, available from Royal Mail.

Creating an Import Shipment File Format The Import Shipping Data (ISD) Wizard is used to create or edit a User Defined Format (Template) for importing shipping files in Import Shipping Data mode and On Demand mode (except On Demand customers who present files in Royal Mail’s legacy shipping system file format). The following Import Shipments screen is found under the Shipping Services tab.

These buttons allow users to Create (New), Delete or Edit a template

ISD Wizard Step 1

Either select an existing User Defined Format button and then Edit Layout button, or click New to create a new template (Note, double clicking on the format will open a read only summary) Step 1 of the wizard is now shown

The file layout format needs to be chosen. Import files are commonly CSV (comma separated) or TXT (Text) which use a “,” to separate each specific piece of data. To select CSV/ TXT format the Delimiter-separated values button is chosen. The Fixed width fields option is not usually selected. The Country default is normally left as UK and the recipient code left un-ticked. Use recipient code for address information. (address code on shipping screen or in address book). Click on button.

Step 2 of the wizard for Delimiter Separated Values is now shown

Because the delimited format was selected in step 1 the wizard defaults the separator to a comma (,) and the delimiter to a double quote (“). Common practice is to leave these in place.

In either option, Fixed Width or Delimiter Separated, the user is required to specify the order of data columns being imported- see next step The next step is to select from the list of fields required.

In this partially completed example, Service Reference, Service, Recipient, Business Response/ Recipient, Address line 1, Filler, Filler (shown as xxxxx) have already been selected. With the exception of the “Filler” tag they have been removed from the field list as they can only appear once in a user defined profile Note the order of these fields MUST match the imported file. Also note that you can ignore columns of data in the import file by adding the “Filler” option. This ensures DMO disregards data in this column. The Service Enhancement field is required for certain enhancements, such as SMS & Email notifications, with Tracked or Special Delivery. Note: The use of Service Enhancement 2 field should be used solely to generate Special Delivery Guaranteed SMS & Email notifications in conjunction with using consequential Loss enhancements; or Tracked Local Collect enhancement in conjunction with Notification enhancement. Note: The use of Service Enhancement 3 field should be used solely to generate Special Delivery Guaranteed SMS & Email notifications in conjunction with using Consequential Loss enhancements and Local Collect. For a Tracked Return Service the user must select the ‘Service Reference’ field. The Recipient Address fields will then be replaced by the Tracked Return Address. The replacement will be done automatically by DMO.

ISD Wizard Step 3 Step 3 of the wizard requires you to select the date and weight format. The date format must be consistent across all fields used in the import file. Note you can add a separator i.e. ‘/’ or ‘-‘or ‘.’ or leave blank. Weight can be in grams with no decimal point or kilograms with no fractions, or 1, 2 or 3 decimal points.

Once the user has selected date and weight formats the user should click button.

ISD Wizard Step 4 Step 4 of the wizard asks you to map codes used in the import file to the codes used in DMO. Note in some cases a default reference inside brackets is shown in the descriptions. For example in domestic UK, services are either: letters, large letters, packets or not applicable.

NOTE: Users need to be aware DMO times out after 20 minutes of inactivity. Mapping templates does not count as activity so if a complex set of mapping is being undertaken the user needs to click on the Next button and save the template then cl ick on the Back button to continue to edit the layout.

Note: Some services appear to be listed in DMO twice. This is due to Class e.g. Standard tariff letters 1st and 2nd class; so check the description and ensure both first and second class are mapped if the file contains both classes. Service Reference is a feature of account set up. Most services are likely to be linked to service reference 1 (suggested mapping code SR1) but this is not always the case. You can check what products are linked by using the Manual Shipping screen.

Import Shipments Operation

This section describes how to operate DMO in Import Shipment mode. A quick ISD operation is as follows:

1. Section 1 - Select the correct user defined format 2. Section 2 - Select import file using browse button and subsequent dialogue 3. Section 3 - Select Import after setting “Ignore File’s First Line” if file has a header 4. Section 4 - If no errors or errors are to be ignored, select Full Auto Mode button and

then the Process button. 5. Labels are printed and file is made ready for EOD (End of Day) process

Use the browse button to identify location of your file to be uploaded.

Commonly the first line of a file is a header, if so click to ignore it Import button loads your file ready to process and reports on any errors

Processing options: Half Auto - Allows some modification prior to bulk or individual printing Full Auto - Immediately process shipments and produces/prints labels Open List – Allows full modification and prints when user is ready

If there is more than one User Defined Format, ensure the correct file format is selected.

Import files come in many shapes and sizes, though all contain the key data to create a shipment. All the key points of data need mapping to those required by DMO in order to produce a shipment.

Some general guidelines on importing files • Where Despatch Manager Online is used in Import Shipping Data (ISD) mode, the first

row (wrapped over 3 lines) is usually a header listing in order the input fields. The remaining lines of data contain individual shipments.

• ISD files are commonly saved as Text (TXT) or Comma Separated (CSV). In these files

each field is usually separated by a comma or tab. Empty fields are possible where that element is not required such as an optional enhancement like Safe Place or Royal Mail Signed For.

• A key feature of the ISD function (as opposed to On Demand) is after import the

customer can select: Full auto to process all items immediately, Half auto to allow selection for processing based on the imported

reference number (e.g. order no.) Open the imported shipments list to process as the customer sees fit (full

or half auto). • It is worth noting that a file can be cancelled using the Cancel the current importation

button and then click on the Process button. This ensures the file does not save into the non- processed list within DMO.

Notes on file editing when using the ISD function It is possible that customers will need to subsequently edit their import files as some RM mandatory references will not be present in the files generated by their ordering system. Document or Spreadsheet software can be used to open and edit TXT or CSV files; however, there are certain caveats:

o Firstly, spreadsheets such as MS-Excel conveniently break down ISD files into their respective columns, useful if columns need to be added, deleted or amended. The downside of MS-Excel is that it drops leading zeros from mobile phone numbers. To add these back in, all the active cells used (including blanks) must be set as Text format then leading zeros are accepted. By selecting all cells you ensure that all the separators (,) are correctly placed during a save.

o Secondly, the other check needed ensures that the file has the correct placement

of separators (e.g. commas or tabs) as occasionally they can be missing from the end of a row, especially if the last few fields are empty for that shipment. Again selecting the relevant cells in the spreadsheet (i.e. all named columns and rows with entries) and setting the cell format to Text will ensure commas are in the right place when the file is finally saved as a .CSV.

o Opening a file in a Document software quickly shows if all the separators are in

place or if many have been added incorrectly after the last row e.g.

In this example with no header the 3rd and 4th rows have two missing separators which appear in the unwanted 5th row.

o Finally, you can use the Find and Replace facility in MS Word/Excel, or equivalent,

to replace any fields that are longer than DMO allows e.g. replace the text Special Delivery with SD1 as the Service field can only take 10 characters for example.

ISD Settings To check the Import shipment data default settings, click on the main menu ‘Admin’ and ‘ISD settings’. From the ‘ISD Default Settings’ Tab, a user can select the default options for:

• Default File Format to use when importing shipments • Default File Import and • Default Process for Imported Shipments.

Default File Format The User can select (by clicking on the relevant radius button) on the Default File format screen a previously created User Defined Format as the Default File Format to use when importing shipments. Default File Import The User needs to check the Ignore File’s First Line option if there are headings in the input file. The User can check the “Use the Postcodes in the batch Import File to determine the Post Town” to overwrite the post twown an so improve the post town accuracy The User can check the “Stop Import of data on first error” if the User wants to only run the import until the first error occurs.

Default Process for Imported Shipments The User can set the default process for imported shipments by checking the default option required. For more details on these options see Page 19. For details on using the default “Save postcode/town option in postcode mapping” see next section.

When a user clicks button, the settings will be reflected in the Import Shipments function (Main Shipping Menu /Imported shipments).

Postcode Mapping This feature is used to map imported (IN) shipment Postcode data to DMO OUT postcode data. If a customer has several postcodes which are incorrect or different to DMO Royal Mail PAF check postcodes. the postcodes can be mapped to ensure DMO re-maps the postcode information when processing imported shipments. To check the Import shipment data default settings, click on the main menu ‘Admin’ and ‘ISD settings’. Click on Postcode Mapping tab..
