WHAT IS THE TARGET GROUP ANDTHE LEVEL OF KNOWLEDGE?

The first step is to establish who will seethe company presentation.

Keep the following questions in mind:

1. Will the presentation be give to existing or to new customers? Or both? Will the presentation be used for other target groups as well?

It is important to determine to what extent generalinformation must be given about the company. Existingcustomers might find this less interesting, but new customers will gain confidence of this.

2. What will be the level of knowledge of the audience? For example, are they sales or marketing managers, or will this be the board? The importance of this question is to determine what this group wants to hear.

For example, a CEO will be curious about things like continuityand efficiency, where as a technical employee would be lessinterested in the costs, but more interested in the advantagesand specifications of the product and/or service.

Tips & tricks!

After you have determined who your target groupis, it is important to constantly keep these people

in mind while writing the content.

Always remember:‘Is this what your target audience wants to hear?’

‘Will this trigger my audience?’

In case the answer is ‘NO’ to any of these questions, delete the content to avoid unnecessary

information.

WHAT OBJECTIVE DO YOU WANT TO ACCOMPLISH WITH YOUR PRESENTATION?

Once you know your audience, it is important to determine what you want to achievewith this presentation.

What do you expect the audience to know after seeing the prestation?

Examples of objectives are:

InformThe only aim is to inspire the audience and to convey insights.

SellA presentatoin with the aim to sell a product or service. An important sub-objectivecould be for example to make the customer sign for a deal on the spot, or to make them request an estimate.

Build trustTo inquire new / potential customers about the tremendous service of the company, with the aim to build confidence.

Create supportCreating support requires understnading of the interests at stake. What interests are there and how do people respond to this?

Tips & tricks!

After you have determined the objectives, try to consider with each slide whether it

contributes to the achievement of the objectives.

If this is not the case, it is better toremove the slides because they do

not have any value.

IN WHAT SETTING WILLTHE PRESENTATION BE GIVEN?

Determine which setting willbe used for the presetation.

A few examples are:

• Presentations to a large hall (20-50 people)

• 1-on-1 communication / conversations at the coffee table

• Presentation to small teams with room for interaction(5-10 people)

Of course it is possible to combine these as well.

WHAT WILL BE THE ACTUAL CONTENT AND THE STRUCTURE?Based on the answers to the first three questions, you can decide whattopics should be in the presentation and what structure will be given. Below is an example of a standard structure of an average company presentation:

Personal introductionIntroduce yourself in a short story. What is your background, your job, your motives and hobbies. Many people skip this step, but it is actually very important to make a personal connection withthe audience. Making a personal connection before you start with a business message.

About usGeneral information about the company. What we do, how many employees, where are we located, etc.

Mission and visionWhat does the company stand for and where do you want to go?

StrategyWhat does the market look like and how will the company operate within this market? How do we want to achieve our objectives?

Corporate Story (Summing up the history of the company)An overview of milestones in the form of dates, notes and any associated images.

Products / servicesWhat products and services does the company deliver and what are the characteristics and advantages?

PartnersWhich other companies is the company working with? What are the reasons / benefits of these collaborations?

ReferencesWho are the customers and what do they say about the company?

RecapGeneral summary. What is the purpose of the presentation?

Try to involve the employees who will begiving these presentations mostly, as

much as possible in this process.

This makes colleagues feel responsible forthe presentation as well, which prevents all

kinds of changes at a later stage.

× Employees often have been working for years in Office programs. A switch could createa lot of internal resistance

× Everything is available online, so it is important to make surethat company sensitiveinformation will not be made visible online by staff

× Very limited ability to createinteractive presentations

× Design-technically notpossible to fully focus on the corperate identity

× Only for use on Mac computers. To play the presentation on a USB stick is problematic

Fact!

Microsoft created the widescreen format as default in PowerPoint as of version 2013. This indicates

that this is the format of today’s standard.

The only reason not to work with widescreen, is when many employees within the

companies work with iPads.

INTERACTIVE OF CHRONOLOGICAL?

What are the options?

An interactive presentation is a calendar with clickable buttons. The great advantage is that you don’t have to go through many slides chronologically. In an interactive presentation can be chosen for specificinformation on the spot which is relevant at that moment.

1. Interactive presentation

If you have concluded in step 1A that the presentation will be usedfor many different audiences, it would be interesting to createan interactive presentation.

Also with 1-on-1 conversations or a larger group of audiencethis would be a good option. This makes it possible to keep the presentation interactive and to respond directly to questionsand needs of the target group.

2. Chronological

A slide-by-slide presentation is useful when the presentation willbe used in places with few opportunities to interact. For example with a presentation in a large hall.

Before you start with filling the content, design the layout of the aspects below.

With this format all slides can be filled and this willensure clarity and consistency in the slides.

If the presentation is internally used by many employees, keep in mind that the presentation should not be complex and easy to use in making adjustments and new slides. This makes it easily accessible to work with.

Once you have determined the content, the structure and designedthe basic format, it is time to fill the presentation. Try to estimate witheach slide as accurately as possible what format you need.

Below are some helpful tips:

1. Divide the content as much as possible over several slides, to convey the information onto the audience.

2. Avoid large pieces of text and choose short catchwords. This preventsthat the audience will first read the slides instead of listening.

3. Visualize each slide as much as possible through the useof appropriate imagery.

4. Add relevant images of high quality. This improves the appearance.

5. Verify that the text remains legible. Lyrics should not be smaller than 18 pts.
