Congratulations on deciding to apply to Ayusa’s English tutoring program in Germany! Completing this application is

an important first step to becoming an English tutor in the heart of Europe. Once finished, your application will be

shown to our registered German host families. Therefore, fill out your application with care -and online.

Please be very thorough when you describe your previous tutor experiences with children, students or (young) adults.

Profile Pictures:

For your profile pictures please upload 3-5 smiling photographs separately along with your application (using a .jpg format) Profile picture means:

- You are the only one in the photo - Close-up headshot only - Big smile, not too much make-up - No hat or sunglasses, etc. - Nice, colorful background - fully dressed (no swimwear, etc.) - No use of ‘funny’ filters (snapchat) - good quality photo - at least 500KB in size

Be aware that one of these photos will be the first impression that a host family gets of you.

NOT print and use handwriting as it must be in digital form.

Letter to prospective host family: The letter must be one page in length. For detailed instructions please

refer to the respective section of the application.

Medical Record Verification Form: This form has to be completed by an authorized physician and must be

signed and stamped by the physician.

ENGLISH TUTOR PROGRAM SUMMARY A true adventure awaits you – teach English and learn about Germany! Tutor Profile English tutors are young people between 18 and 30 years old with some background in working with children and/or teenagers. This could include experience tutoring kids after school, teaching as a substitute or assistant teacher, counselling at a summer camp, babysitting, etc. Additionally, you should be in good mental and physical health, mature and have a genuine interest in experiencing a different culture firsthand.

Tutor Responsibilities

The majority of our German host families have children who are currently studying English in school and are looking for some additional language support at home. Sometimes the parents are also interested in brushing up on their English skills with a tutor. Each host family is different and therefore the tutoring experience will vary slightly. This has to do with the person to be tutored, the tutee’s current level of English and when and how the tutoring in English should be done. However, the maximum number of hours as well as the type of support the tutor is supposed to provide are fixed and accepted by each host family prior to the start of the program and include the following:

• Tutoring the host children (and/or possibly adult members of the family) in English for a maximum of 15 hours per week

• Helping out with light household chores just like a regular family member

During the application process you will have the opportunity to speak with your prospective host family via video chat. During this conversation it is important to talk about each other’s' expectations of the program. You should also speak with the host family about the exact schedule and what type of language support they are interested in.

G. TUTOR LETTER / TUTOR BRIEF

Your letter to the host family is the most important part of the application! It will allow the host family to get a

good first impression of you. Thus, put some effort into writing this letter.

Make sure to:

• describe yourself and your family (if you still live with them)

• talk briefly about past work experience that you feel is relevant to the tutoring position and

what you have enjoyed about it.

• Explain why you would like to become an English tutor in Germany and maybe even give a few

ideas of how you would go about teaching your language to your host children.

• Remember that a letter starts and ends with a salutation

Information Sheet for Participants in the Tutor Germany Program: Collection and Processing of Personal Data by Ayusa International e.V.

To be able to successfully place participants in the tutor program in Germany (hereinafter: program participants), and to fulfil the participation agreement, we, Ayusa International e.V. (hereinafter: Ayusa), must collect and process personal data from our program participants. With this leaflet we would like to inform you of the purposes and scope of the data handling and processing.

1. Contact for Data Protection Questions At any time, Ayusa program participants can direct questions regarding this leaflet and the data handling and processing to [email protected].

2. Collection and Processing of Data from program participants The main purpose for the data collection and processing by Ayusa is the fulfilment of the participation contract. This means precisely that we or our foreign partner organisation collect personal data from program participants for the following purposes: Placement with a host family, organisation of travel to the host country, issuance of insurance, support of the program participant locally, or in emergencies. We will collect the data that we need as part of the application process. Depending on the partner organization, the application documents will either be made available to the program participant as an online form, via email, and/or the applicant will set up their own personal and password protected online access to the application documents. In addition, data will be collected through a personal, telephone or Skype interview and used for the fulfilment of the participation contract to the extent necessary. The application documents are to a large extent in English and German, which is necessary for placement with a host family and, among other information, also encompass questions concerning health status, religious belief, ethnic background, sexual orientation and criminal history of the applicant. For the host family search, Ayusa publishes certain parts of the application on the internet, e.g. first name, gender, age, nationality, living situation, eating habits, allergies, hobbies, childcare experience, references and a profile picture. The participant agrees that Ayusa is permitted to publish this information. Last names or contact details of either applicant or referees will not be disclosed.

3. Recipients of Data Recipients of the data are the partner organisations of Ayusa, host families, Ayusa representatives, visa and insurance authorities, and if necessary, government authorities in the home country. Contact data of the participant will also be shared after placement on a regional Ayusa contact list for other au pairs and tutors to get in touch with the participant and vice versa. In general, the data is only used for the specific purpose and to the extent required. A recipient will only receive the data needed to fulfil his or her specific task.

4. Entities Responsible for Data Processing The entity responsible for the collection and processing of the data is Ayusa. If data is transmitted to other entities (e.g., partner organisations, government authorities) they are also responsible for the protection of the data.

5. Retention Periods for Data

Ayusa only retains data concerning the program participant for as long as necessary for organisational reasons and as permissible under data protection law. Personal data and contract documents of the program participant are retained based upon statutory retention periods for up to 10 years after the regular conclusion of the tutor program.

6. Collection and Processing Certain Types of Personal Data Ayusa must pose certain questions to participants in the tutor program regarding their criminal record, ethnic background, sexual orientation, as well as health in order to determine whether they can be placed with a host family. This includes, for example, the submission of a police clearance record as well as the disclosure of information on the participants’ general health status and pre-existing medical conditions. The health information will be collected through self-disclosure and medical records signed by qualified physicians. In individual cases participation in the program may not be possible due to health restrictions. As Ayusa cannot process certain types of personal data without the consent of the person concerned, the program participant 's consent is obtained during the application process and as part of the participation contract.

7. Processing Data for Advertising Purposes We also use data from program participants to inform about other program options with Ayusa. However, Ayusa, will never forward personal data of program participants to third parties for advertising purposes. The use of data for advertising purposes can, of course, be objected to at any time. The contact person for this is the email contact provided in section 1.

8. Right to Information and Right of Objection At any time, participants can request information about their data being stored with us. This is free of charge and participants do not need to provide a reason for their request. They can also have the data that was collected about them by us blocked, corrected or deleted at any time. Furthermore, program participants may also, at any time, revoke the consent given to us for the collection and processing of data without providing any reasons. The contact person for this is the email contact provided in section 1. We are available to our participants at any time for further questions regarding our information on data protection and the processing of their personal data. I hereby confirm that the information I have provided in my application and throughout the

application process are accurate. I have read and understood the country specific framework of the

tutor program in Germany and agree to adhere to these conditions. I have thoroughly and carefully

read the terms and conditions of the contract and the conditions of participation. I have had the

opportunity to ask questions and obtain advice as to its meaning. I have understood everything and
