Open Letter

Dear EPCC Administration and Staff: The beautiful Bahia Resort Hotel in San Diego, California Mission Beach was the site of the 21st Annual Staff Development Retreat. In October 2013, Mari Reyes, HRD Specialist and Jessie Arellano, Facilitator, traveled to San Diego for a site visit to six potential hotels. The facilitation team’s choice was the Bahia Resort Hotel. Cradling the coast of the Pacific Ocean, and sitting on the peninsula of mission bay, The Bahia offered elegant rooms, breakout session accommodations, great dining facilities, swimming pool with Jacuzzi, and the Bahia Belle Boat to top it off. This year’s theme was “You Matter, Now Make it Matter,” from the program Make it Matter by John Jensen. The topic recommended by Mari Reyes, was selected by the facilitation team for development and presentation at the annual staff retreat. The topic, site location, and the hard work and preparation by the facilitation team made this year’s annual staff retreat a success in what seemed to be paradise. In preparation for this retreat the facilitation team chose three new members in August 2013, selected the theme in September, attended an all-day facilitation skills training in October, began contacting vendors for auction gifts in December, attended all-day program training in January 2014, and prepared the rules video in March, 2014. In between, the facilitation team was meeting once a month to brainstorm, plan, and prepare for this great event. This tremendous preparation paid off for forty eight El Paso Community College staff members who participated in another great and memorable experience at the 21st Annual Staff Development Retreat from April 10 through 12, 2014. The purpose of the retreat, founded by Dr. Ernst Roberts, VP Administration & Financial Operations twenty one years ago, is to provide a networking opportunity to EPCC employees who may only know each other by telephone or e-mail and bring them closer together, to present an educational program that will grow and develop employees at an offsite location; this year’s retreat did all this and more. Based on the feedback from the evaluations, employees felt that the retreat was exceptional; they got to meet employees from other campuses to network, bond and above all were introduced to a human relations topic that will help them to be better employees and family members. The friendships and bonds will be life long memories for employees to cherish. On Thursday evening the program kicked-off with a tropical flare dinner. All facilitators, after taking a picture with each participant escorted their guest to a random table. The purpose was to have participants mingle with other employees that they may not have known that well. Our Master of Ceremonies, Jesus Garcia then presented all the facilitators and our guest speaker, Dr. Ernst Roberts. His speech focused on three points; goal setting, passion for the work you do, and seeking your passion not your pension. His speech was inspiring and down to earth. Following, we had an ice breaker activity called Marvelous Me; where each participant introduced themselves and picked a colored M & M. The color picked complemented a question the participant had to answer. The questions were: Name one thing you couldn’t live without, what is that one thing you do that people turn to you for help?, name something that matters to you, what is the word that describes you professionally?, something you learned from a student co-worker, and name one thing unique about yourself. Since we were in a tropical environment, facilitators and participants dressed in tropical dresses for the ladies and tropical shirts for the gentlemen. Make it Matter introduces three concepts; design, package, and deliver your organizational or personal brand to make you a much more effective person. If your product, concept, idea, or person is designed, packaged, and delivered well, it will sell. If it matters, people will listen. The Human Resources Development Department will offer this program to all employees throughout the year or upon departmental request. We encourage employees to sign up for the forthcoming sessions. The annual staff development retreat is an opportunity for employees to learn, bond with other employees, and to bring back valuable information that can be applied to family, work, and daily life. We encourage employees to sign up and attend next year’s retreat. We believe that the information presented at this year’s retreat will add

value and contribute to the mission and vision of EPCC. We highly recommend this training for administrators, supervisors, employees and faculty. We credit the success of this year’s staff retreat to our Facilitation Team and the Human Resources Development Department. This year’s facilitation team members were, Jessie Arellano, Christy Garza, Juan Gaytan, Elizabeth Rodriguez, Armando Gomez, Bianca Tidwell, Pamela Marquez, Pablo Rivera, and Jesus Garcia. We also want to thank the numerous people, EPCC departments, vendors, and organizations that contributed and supported this annual event. Many of these organizations donated items for the auction and conference bags. The patrons are listed on pages 29 – 34 of this report. On behalf of the Facilitation Team and EPCC employees who attended the retreat, we thank Dr. William Serrata, President and Dr. Ernst Roberts, Vice President of Administration & Financial Operations for making this event possible. The facilitation team met with the selected retreat participants on December 4, 2014. At this briefing, participants were introduced to the theme and topic of the retreat, what to expect, and some general information about the retreat.

Wednesday, April 9, 2014

On Wednesday, April 9, 2014 at 4:00 p.m. the facilitation team met with the participants in the Boardroom of the Administrative Services Center to give them general information about the flight to San Diego, played a ground rules video, issued name tags, conference bags and flight tickets. Dr. Ernst Roberts addressed the group and wished the group a safe and fun filled event. The meeting was facilitated by Jesus Garcia and each facilitator played a role in explaining the agenda. Participants were instructed to arrive at the airport at 6:00 a.m.

Thursday, April 10, 2014

After clearing security at the El Paso International Airport, participants waited in gate B-2 and roll call was taken by facilitators for their corresponding group; the count was given to Mari Reyes. Juan Gaytan, facilitator, presented an optional scavenger hunt group activity which awarded $800 funny money per team member to the winning three person team. At 8:30 a.m. EPCC staff retreat participants boarded Southwest Airlines Flight # 388 to Phoenix and transferred to Flight # 4033 to San Diego. Upon arriving to the San Diego International Airport at around 11: 30 a.m. the group boarded the shuttles to the Bahia Resort Hotel. Head count was taken before boarding the shuttles. We arrived at the hotel at around noon and proceeded to check in. Many of the rooms were already available; therefore very few participants had to wait for their room. The few, whose rooms were not ready, dropped off their luggage at the concierge. The participants had free time up until 6 p.m., and had an opportunity to sight see beautiful Mission Beach.

Thursday, April 10, Evening Activities At 6:30 p.m. the Facilitation Team met at the Mission Tower Ballroom to decorate and insure that all was ready for the retreat opening dinner. The attire for the evening was a tropical dress for the ladies and a tropical shirt for the men. Upon arriving to the ballroom, each participant’s picture was taken with one of the facilitators and then escorted to their seat. All participants were randomly seated with unacquainted co-workers to encourage networking.

Jesus Garcia, Master of Ceremonies, introduced the facilitators, Dr. Ernst Robert and his wife Laurel. He then asked Dr. Roberts to come up to the podium to deliver his speech. Dr. Robert’s speech was very inspiring and covered three points - the importance of goal setting, doing things with passion, and doing the kind of work that you love. Upon completion of Dr. Robert’s speech, the participants were asked to introduce themselves with an ice breaker. Each participant picked an M & M. The color of the M & M dictated the question that the participant had to answer. Alex Hernandez concluded the session by thanking Mari Reyes for her excelling organizational skills, and the facilitators for their dedication and hard work. Participants were released for the evening at around 9 p.m. A few went to their rooms, but many went out to explore beautiful San Diego.

Friday, April 11, 2014 Activities

The facilitation team met at 6:30 a.m. in the general session room to insure that everything was ready for the day’s activities, and was ready to greet participants upon their arrival. This team effort contributed to a seamless flow of activities. A full American breakfast was served at 7:00 a.m., and the participants had another opportunity to mingle.

The general session started at 8:00 a.m. and roll call was taken by Mari Reyes. This was followed by an introduction, objectives, and PowerPoint presentation by Alex Hernandez on the program by Jen Jensen, Make it Matter; the program video was played afterwards. A break was given at 9:30 a.m. with a wellness activity led by facilitators, Bianca Tidwell and Pamela Marquez in the beach area outside of the general session room. Participants also had an opportunity to relax for a few minutes.

After the break, participants were instructed to go with their assigned team for their breakout session. Each team was assigned one of the discussion questions from their Make it Matter workbook. Team one had Design; team two, Packaging; and team three had Deliver. All teams were instructed to go to pages 2 and 3 of their workbook, discuss the questions and list their finding on power point. (Note: the findings are on page 20 - 22 of this outcomes report). Upon completion of their breakout session, each team reported back to the Del Mar general session room to present their findings to the entire group. At their breakout session, teams were instructed to select a product, person, or organization that they were to develop using the principles of design, package, and deliver. Each team presented their topic, and the one selected was a futuristic human tele-transporter. A deli lunch was served at 12 p.m.; the sandwiches were delicious.

The teams reconvened at their breakout session rooms to continue the afternoon activities. The topics that were covered in the afternoon were Package and Deliver. The participants were instructed to go to pages 4 - 8 to answer the questions for discussion. Each team then took one of the principles of Make it Matter to develop a PowerPoint presentation to brand a product, person, or organization; describe in detail the assigned principle, what it meant to them, and what they would do to implement the concept. After developing the PowerPoint, each team developed a skit around the tele-transporter product with their assigned principle. In other words, team one was responsible for designing the tele-transporter, team two to package it, and team three to deliver it. Participants were taken out to the beach area for another wellness activity (The Limbo Rock) followed by a break. Bianca and Pamela were also responsible for the Limbo Rock wellness activity. Afterwards, the teams regrouped in the Del Mar general session room and presented their power point. This was followed by a question and answer session and a review of the next day’s agenda.

Saturday, April12, 2014 Activities The facilitation team met at 7 a.m. to insure that all equipment and materials were set for the day’s activities. A full American breakfast buffet was served at 7:30 am at Del Mar Room. The facilitation team greeted and mingled with the participants before their meal. At 8:30 a.m. the teams had thirty minutes to practice their skits, and were ready for their presentations by 9 am in a stagy fashion; roll call was taken first. The skits focused around the tele-transporter theme. Here is a synopsis of what two facilitators said about their skits: Juan Gaytan: “The Sunset Seals skit was based on a time travel device named “Beam Up.” The team came up with the technology and the practicality of its uses. The team then made their skit based on Dr. Roberts being the president of the college and needing to be in two locations in or about the same time. The skit used a narrator and two different groups of people, one in El Paso and one in San Diego.” Jesse Arellano: “The skit for the Great Genies was based on Delivery. The storyline was a young gentleman that was late on meeting his girlfriend at the movies. In order to arrive in an instant, he contacted an agency that sold him a unit & offered technical support in order to relocate him to the movie theatre using his B.U.T.D. (Beam-Up Transport Device).” At around 9:50 a.m. after taking a break, we were ready for our awards presentation. All participants were recognized with a certificate to recognize their attendance and participation in the 21st Annual Staff Development Retreat.

Retreat Finale Since we were ahead of schedule, the auction began around 10:30 a.m. This is one of the most exciting and fun filled activities of the retreat. Bianca Tidwell and Pablo Rivera volunteered to be the auctioneers. During the auction, participants used “funny money” to bid on some very nice gifts donated by local merchants and EPCC departments. Participants earned the “funny money” by actively participating and asking questions during the breakout sessions. Some of the items that were auctioned off were free tickets to Adventure Zone, Wet n’ Wild, a Janice Joplin painting valued at $250, and a two night stay at the Bahia Resort Hotel in San Diego, California. Over two hundred gifts were auctioned. As in prior years, instead of carrying all the items to San Diego, pictures of the donations were taken and displayed in a power point presentation. The highest bidders were given a certificate with a picture of the item to claim their item(s) from Mari Reyes or Diana Hernandez in the Human Resources Development office.

After the auction, participants were given an opportunity to evaluate the program. The results of their feedback and evaluation analysis are on pages 25 through 28 of the report. At around noon, participants were instructed by their facilitators to board the shuttles by teams. Roll call was taken for the last time at the airport while waiting for our flight. We boarded Southwest airlines Flight #1212 to Phoenix at 2:50 p.m. with about an hour and a half layover. Participants took this time to eat or just relax. Dr. Ernst Roberts was honored by participants and facilitation team with a card signed by all participants thanking him for founding the staff retreat, supporting, and continuing to provide this great bonding, learning, and educational experience to EPCC employees; airport customers passing by watched with curiosity. We boarded flight #1704 at 6:15 p.m. and were on our way to El Paso. We arrived home around at 8:15 p.m.

“This too shall pass,” and the 21st Annual Staff in San Diego California came to pass with a resounding success. We experienced a great educational experience and had lots of fun. The program by John Jensen taught us the importance of creating a personal brand for ourselves and our organization by designing, packaging, and delivering. I think that all of us came back with a much better understanding that in everything we do it is important to make it matter. ”If it matters people will listen.” We will use what we learned to be better human beings. San Diego was a fabulous place, but we were all happy to return to El Paso to our work and families.

Facilitators’ Comments

Juan Gaytan: “The most memorable moment of the retreat was when the Sunset Seals first came up to speak as a Team and made their seal sounds. Another memorable moment was when the seals were barking and other teams joined in. I especially like the participants’ faces when they were knee deep into the scavenger hunt. As always I love it when the teams all become one and start intermingling with each other.” Below is the scavenger hunt winning team (Juanita Hunter, Erick Garcia & Marisela Barrios).

Jesse Arellano: Break-out sessions: “During the break-out sessions I was very pleased when my team participants jumped at the idea of preparing a mob song. They quickly volunteered for different bits & started rehearsing their individual parts. They even used time from their lunch break to gather and practice as a group. They performed the surprise mob as dessert was being served. I think they did an awesome job; maybe a tad out of tune, but a lot of fun. It showed great teamwork and what a way to demonstrate that they each matter!”

Free time in San Diego: My most memorable moment in San Diego was at Belmont Park when we rode the Beach Blaster. Only a few of us had the courage (or were coaxed) into riding it. You sit on hanging seats that swing you 60 feet in the air to 120 degrees in both directions. Yikes! Some of us laughed, others screamed, and one had his phone flung into the air. Unfortunately, the phone did not survive the fall. However, very fortunately, a new upgraded model was delivered to him at the Bahia Resort the next day. Christy Garza: “We had a larger group this year, since we only had three teams, but I think that it unified everyone more. The Complete Package AKA the Red Team was an energetic and fun group. We were assigned a topic for our Power Point and the team worked well with each other. They came up with great points, decided what they wanted to present, who was presenting, and put together a terrific skit!” “I have several memories of the time we spent in San Diego that I will treasure. Almost all the participants took off sightseeing and shopping once we dropped off our luggage at the resort. One of the highlights was going on the boat ride Thursday evening. Watching everyone bond is what sets this experience aside from any other training. There was lots of dancing, sharing stories, laughing and taking pictures. Everyone seemed to be enjoying themselves. There were unique surprises throughout the retreat; from the Flash Mob during lunch,

the chants from the Seals and the Cherry Sours to remind everyone to be the Complete Package, this year there were many memories made in the General Session as well as in the Breakout Sessions!” “Another highlight of the trip is still continuing; there have been numerous e-mails sent out by participants wanting to get together and continue their bonding experience. I have seen e-mails between “Teams” sent out in past years, but these include all the participants. Members of the facilitation team do reply to the e-mails, but for the most part the event is being organized by the participants. Those e-mails put a huge smile on my face! Everyone enjoyed themselves, relaxed and we were able to build close bonds…I am sure that this was inspired by what we all learned at the retreat. Always remember the “LAW” (Looks, Actions, and Words) and that “U” Matter, Now make it Matter!!!” Pamela Marquez: This has been a really great experience for me in both my personal and professional ways. I really learned a lot even by being a facilitator and I am thankful to have been chosen to be part of this great team I am in. I will have to say that the most memorable moment for me was when some of the participants in my team (Orange Seals) got up in front of the general session and said that they were so thankful to have had those three facilitators (Juan, Mando, and myself). That for me meant a lot since it was my first year, which means that I did a good job. That really meant a lot for me because it paid off every single little thing I learned and did to have put all of this together. There were lots of other moments that I remember but that really stands out for me and will not be forgotten. Thanks again to my Orange Seals for being a great team!! Most memorable moment in San Diego: Wow, let me just say that San Diego is a beautiful city, and even though I had already been there before it’s always nice to be back. I have lots of memories from this trip, from using the bus services and moving around the city. We went to this great burger place (Rocky’s Crown Pub) and got there by bus. Also the boat ride was so much fun; we got to interact even more with the participants. This was a really great experience. We got to dance and have some great laughs. The actual scenery that we had from the hotel was beautiful, overseeing the ocean and the bay was great. I am thankful that I was able to go through this great experience.

The 2014 facilitation team met for the last time to evaluate and assess the 21st Annual Staff Development Retreat. The retreat was great, but there is always room for improvement. We will make the great things greater, and we will learn from our low points. We also talked about what went right, and shared our most memorable experience. The facilitators also completed an evaluation on their experience as facilitators. Outgoing facilitators; Jessie Arellano, Juan Gaytan, and Christy Garza were honored and thanked for their contributions to the success of the retreats they participated in. We also celebrated the birthdays of Pablo Rivera, Armando Gomez, and Juan Gaytan with a delicious cake.

Facilitators need some improvements in being more knowledgeable themselves more professional.

Doing more active activities with your groups. Also, by staying longer and enjoying more of these

sessions.

Have session on Thursday for half of the afternoon and on Friday for half of the day also. Reason

being is that it really is a long day on Friday. Let’s do fundraiser so we can afford another day stay

because two days is just too short.

Program pretty fast paced, in the future maybe given more time. I.e. go from two days off work to three

days off work to not feel so rushed.

The facilitators need to be friendlier (no clicks). The ending of the sessions they looked more active

(energetic) friendly.

Explaining the importance of the packaging in a more detail form.

More time and bigger session rooms.

Extend the time of the retreat.

I know there is a budget to this program, but even asking the participants to donate or give more

money.

Less yelling, that is all!
