This document outlines the process that Qantas employees and contractors must follow to obtain the following ID cards:

1. Types of ID Cards

The table below summaries the ID cards that are covered in this document:

* Frequent access is defined as:

• an average of one occurrence per week for employees located off airport that do not have a role directly associated with the arrival or departure of an aircraft;

• an average of one occurrence per fortnight for a shift position (covered by multiple staff according to a roster) located off airport that have a role directly associated with the arrival or departure of an aircraft;

• an average of one occurrence per fortnight for employees located off airport that have a role directly associated with the arrival or departure of an aircraft.

** The renewal frequency may be increased if the applicants police check identifies disclosable court outcome/s.

2. New ASIC application for Australian based employees / contractors or Australian citizens

• The ASIC application will be reviewed by two government agencies, AusCheck and ACIC.

• Each type of document can only be used in one category i.e. a passport cannot be used as a category A and B document.

• The same document can be used to complete the AusCheck clearance and the ACIC clearance (there are two different sections within the ID application system).

• If the ASIC applicant has lived outside Australia within the last 12 months, a police certificate is required to be submitted as part of the ASIC application. If the applicant has lived in more than one country within the 12 month period, a police certificate is required from each country of residence. The police certificate does not need to be certified.

• If any identification documents are not in English, they must be accompanied by a professionally translated document. The original document and the translated document must be submitted. Both documents must be certified and signed by a Qantas approved person.

Identification documents required by ACIC

Identification documents must be certified and signed by a Justice of the Peace or a Qantas approved person.

All identification documents must be current i.e. expired identification documents will not be accepted.

All documents must contain the same legal name (see ‘linking documents’ below for more information).

• Full Australian birth certificate (not an extract or birth card)  

• Current Australian passport (an expired passport will be accepted).

• Current Australian visa issued by the Department of Home Affairs AND foreign passport (visa must be submitted with a passport) (must be current at the time of entry into Australia)

• ImmiCard issued by Department of Home Affairs

• Certificate of identity issued by the Department of Foreign Affairs and Trade (DFAT)

• Document of identity issued by DFAT

• Australian citizenship certificate (if there is any text on the back of the document you must scan and upload both sides)

Primary use in the community document - one document required

• Current Australian drivers licence

• Australian marriage certificate issued by Births, Deaths and Marriages (church or celebrant-issued certificates are not accepted)

• Current passport issued by a country other than Australia

• Current proof of age or photo identity card issued by an Australian Government agency

• Current shooters or firearms licence with signature and photo

• A current student identification card with signature or photo (only applicable for individuals under 18 with no other primary use in the community documents)

Secondary use in the Community Documents - two

• Certificate of identity issued by Department of Foreign Affairs and Trade (DFAT)

• Document of identity issued by DFAT

Examples of acceptable linking documents:

• Change of name certificate issued by a government agency

• An Australian marriage certificate issued by a state or territory (church or celebrant-issued certificates are not accepted)

• Deed poll

• Medicare card

• Official Marriage Certificate (issued by Births, Deaths and Marriages), Civil Partnership Certificate, Recognised Details Certificate or Change of Name Certificate (issued by Births, Deaths and Marriages)

• Aviation security identification card (ASIC) or Maritime security identification card (MSIC)

• Government employee identity card, military identification card or defence discharge papers.

• Evidence of employment i.e. employment contract (must include company details and be less than 6 months old)

• Evidence of indigenous heritage i.e. reference or confirmation of identity from an Aboriginal and / or Torres Strait Islander organisation

• Australian tertiary student identity card i.e. Australian TAFE, university or registered training organisation ID card.

Category D - one document required if Category A, B, C documents do not have current address

Document must be less than 6 months old.

• Australian electoral enrolment

• Australian rates or land valuation notice

• Other evidence of residential address (must be issued by a reputable organization, excluding financial institutions)

• Utilities account i.e. gas, water, electricity, telephone or internet.

• Mortgage papers, current lease or tenancy agreement

Linking documents – to be submitted if any of the identification documents submitted do not contain the same legal name

Examples where linking documents must to be submitted:

3. Identification documents required for an ASIC renewal application for Australian based employees / contractors or Australian citizens

• The ASIC application will be reviewed by the government agency AusCheck.

• If the ASIC applicant has lived outside Australia within the last 12 months, a police certificate is required to be submitted as part of the ASIC application. If the applicant has lived in more than one country within the 12 month period, a police certificate is required from each country of residence. The police certificate does not need to be certified.

• If any identification documents are not in English, they must be accompanied by a professionally translated document. The original document and the translated document must be submitted. Both documents must be certified and signed by a Qantas approved person.

4. Identification documents required for a new or renewal ASIC application for New Zealand citizens employed as aircrew or cabin crew

• This section is applicable to individuals who meet the following criteria:

1. New Zealand citizens;

2. Employed as Aircrew or Cabin crew;

3. Are not in Australia for a period of more than 12 consecutive hours during the ASIC application process, prior to the ASIC being issued;

4. Are exempt from holding a crew travel authority; and

5. Do not have a current Australian visa or Australian citizenship.

• The ASIC application will be reviewed by the government agency AusCheck.

• Each type of document can only be used in one category i.e. a passport cannot be used as a category A and B document.

• If the ASIC applicant has lived outside Australia within the last 12 months, a police certificate is required to be submitted as part of the ASIC application. If the applicant has lived in more than one country within the 12 month period, a police certificate is required from each country of residence. The police certificate does not need to be certified.

• Embassy / consulate photo identity card

• Police identification card

• Photo identification card issued by a government agency (please submit under any drop option)

Category C – one document required

• Marriage certificate or similar

• Aviation Security Identification Card (ASIC) or Maritime Security Identification Card (MSIC)

• Government-issued identity document

• Evidence of employment i.e. employment contract (must include company details and be less than 6 months old)

• Tertiary student identity card i.e. international university or registered training organisation ID card

• Academic transcript from a reputable international university or tertiary institution or trade certificate issued by recognized body

• Applicants are required to submit: 1. 100 points of identification using any combination of primary and / or secondary documents i.e. 3

secondary documents can be submitted (see ‘Identification documents required’ table); and 2. A police check or statutory declaration (see ‘police check’ table below).

• If the applicant has lived in more than one country in the last 12 months, a police certificate is required from

each country of residence. The police certificate does not need to be certified.

• If the primary or secondary document is not in English, a Qantas approved person or notary must: 1. Check that the name and date of birth match on the primary and secondary document 2. Once confirmed, write the following on the scanned copies of the primary and secondary document:

“I (insert name), confirm that the applicant’s primary and secondary document contains the same name and date of birth”.

• Contractors must complete a renewal application request every two years and upload the same documents required for a new application.

9. Identification documents required for a renewal non-ASIC

application for Australian or foreign based employees

• Qantas employees, based onshore and offshore, must complete a non-ASIC renewal every 5 years.

• Qantas employees are only required to upload a new ID photo as part of their non-ASIC renewal, no other

identification documents are required.

• The photo must be less than 6 months old and must meet the ID photo requirements (see ‘ID photo

requirements’ for more details).

• Do not upload the photo used in your previous non-ASIC application - the application will be reverted which

will significantly delay the application process.

11. Certifying identification documents

What documents need to be certified?

Identification documents submitted as part of an ID application must be certified (reviewed and signed by a Qantas approved person), the only exceptions to this are documents that do not have an original i.e. background / police checks or VEVO certificates.

A ‘Qantas approved person’ is anyone who meets the following conditions:

• A Qantas employee (must hold a current ASIC or non-ASIC)

• In the same business unit as the ID applicant

• Employed in one of the following roles:

o Group Executive or Senior Professional

o Group Manager or have direct reports visible in Workday with Supervisory Org

o Group Captain (can only certify identification documents for other Captains or Pilots)

o Group Cabin Crew Ground Manager

o Talent Acquisition team

If there is no one at your location that meets the conditions above, please email [email protected] and

request for a local representative to be added to the ‘Approved Identification Document Certifiers’ list. Once the

representative has been added to the list, they can certify identification documents.

How do I certify an identification document?

The ID applicant must meet with the identification document certifier in person with the original and scanned

copies of the identification documents.

The identification document certifier must check the following:

1. The original identification documents are authentic;

2. The identification documents are current (if applicable);

3. The applicant’s photo is compliant with the ID photo requirements (the photo must be less than 6

months old);

4. The applicant has submitted appropriate linking documents if any of the identification documents

provided do not contain the same legal name; and

5. If identification documents are not in English, they must:

• ASIC applications – be professionally translated.

• Non-ASIC and None Card applications – have the following statement written (by the Qantas

approved person or Notary) on the scanned copies of the document/s: “I (insert name), confirm

that the applicant’s primary and secondary document contains the same name and date of birth

and is a current document”.

Once all the checks above have been completed, the identification document certifier must write the following

on the scanned copies of each identify document:

12. ID photo requirements

The photo submitted as part of an ID application will be printed on the ID card.

The photo must meet all the following requirements:

• good quality, color, glossy print;

• less than six-month-old;

• clear, focused image with no marks or ‘red eye’;

• plain white or light grey background that contrasts with the applicant’s face;

• uniform lighting (no shadows or reflections) with appropriate brightness and contrast to show natural

skin tone;

• face looking directly at the camera and not tilted in any direction;

• no glasses (unless a medical certificate is provided stating why you are unable to remove your glasses);

• hair off the face so that the edges of the face are visible;

• eyes open, mouth closed;

• neutral expression (not smiling, laughing or frowning);

• smart attire; and

• no filters or editing the photo.

Facial coverings

• If the applicant usually covers their head, for religious or cultural reasons, or wears facial jewellery,

these can be included in the photo provided they do not obstruct or cover facial features.

• Head coverings should be plain coloured and must be worn in such a way as to show the face from the

bottom of the chin to the top of the forehead, with the edges of the face visible. They should be worn in

such a way as to minimise shadows and obstruction of facial features.

• Jewelry must not obscure any part of the face, especially the area around the eyes, mouth and nose.

There must be no reflection from rings or studs.

Glasses

• Glasses are not allowed in photos. In rare cases they may be permitted where glasses cannot be

removed for medical reasons (e.g. severe light sensitivity or recent eye surgery). Vision impairment

alone is not sufficient for medical exemption.

If the photo submitted does not meet all the requirements above, the ID application will be rejected which will

delay the application processing time.
