BVIS Guidelines – 2006 1 BVIS Beach Volleyball Information System Developments in computer science over the past few years, together with technological innovation, has in turn stimulated the development of tailored software solutions for use in sporting competitions. The introduction of the BVIS (Beach Volleyball Information System) software, conceived by the FIVB Information Technology Department, is one example. This system streamlines management of the operational side of each FIVB Beach Volleyball competition generates the necessary on-site reports for each day. Last year, a new web-based application was launched, which has facilitated the job of the National Federation and individual athletes by automating data entry into the database. It also allows the FIVB to offer integrated services with access to all information regarding FIVB competitions, for organisers, players, fans and the media. In this guide we will describe the procedures to follow in order to register athletes for all FIVB competitions and amend their personal data as well as the procedures to be followed by BVIS software users during a tournament.

BVIS Beach Volleyball Information System

Developments in computer science over the past few years, together with technological

innovation, has in turn stimulated the development of tailored software solutions for use in sporting competitions.

The introduction of the BVIS (Beach Volleyball Information System) software, conceived by the FIVB Information Technology Department, is one example.

This system streamlines management of the operational side of each FIVB Beach Volleyball competition generates the necessary on-site reports for each day.

Last year, a new web-based application was launched, which has facilitated the job of the National Federation and individual athletes by automating data entry into the database. It also allows the FIVB to offer integrated services with access to all information regarding FIVB competitions, for organisers, players, fans and the media.

In this guide we will describe the procedures to follow in order to register athletes for all FIVB competitions and amend their personal data as well as the procedures to be followed by BVIS software users during a tournament.

Chapter 1

BVIS – National Federation Manual

An additional component to the BVIS introduced last year allows organisers to register Beach Volleyball athletes for all FIVB Competitions (i.e. World Championships, World Tour, Satellite and Challenger events) and players to directly modify their personal data (such as their personal details, bank account information, etc.) both via the web.

The FIVB has provided each National Federation and each player with an individual, secure code to access the system.

The National Volleyball Federations can use their code only to enter their National teams in all FIVB Competitions via the web and the players can use their code only to access their personal data and amend it where necessary.

1.1 Login

The National Federation is required to comply with the following procedures in order to tentatively register its own Beach Volleyball teams in all FIVB sanctioned competitions at least 30 days before the start of any event in which a team wants to participate.

To enter into the FIVB Beach Volleyball web-based application, you must open an Internet browser on your computer and access the following Login page:

Once the Login page is visible on the screen, as shown below, you can insert your secure

access parameters (username and password) and then click on the “Login” button to access the system.

Once you are logged in, the system will display your BVB homepage, as shown below, you’re your country flag and code on the left-hand side.

Below these, you will find a menu for the following services: • FIVB Home: to access the Official FIVB website; • My home page: to access the main menu; • New player: to add a new player who has never been registered to the FIVB Database; • Change my password: to change your secured password access; • Contact: to contact the FIVB VIS Department, by email [email protected], if a technical

problem occurs; • Logout: at the end of your operations you must select “Logout” to leave the application.

1.2 Tournament teams entry list

Each National Federation may directly know its own tournament teams entry list by

following this procedure: • Select “My home page” from the menu on the left-hand side; • Once the Beach Volleyball tournaments dialogue box is displayed, you may select the

desired tournament by clicking on number at the end of each row; • Then the tournament teams entry list will be displayed, as shown below:

1.3 New players Each National Federation may directly add a new player who has never been registered to

the FIVB database by following this procedure: • Select “New player” from the menu on the left-hand side; • The New player dialogue box is then displayed, which allows to register a new player. It

is mandatory to fill in all fields on the dialogue box, as shown below; • To confirm the new player entry, click on the “Submit changes” button; to discard the

new player entry, click on the “Reset form” button. Once the entry is confirmed, the new player is automatically registered to the FIVB

database. Then the system will generate a FIVB number for the new player as well as a username and password access that It will be sent to him/her by email.

1.4 Change password

Each National Federation may directly change its own secured password access to the

system by following this procedure: • Select “Change my password” from the menu on the left-hand side; • The Change dialogue box is then displayed, which allows to change your secured

password access. It is mandatory to fill in all fields on the dialogue box, as shown below; • To confirm the new password entry, click on the “Submit changes” button; to discard the

new password entry, click on the “Reset form” button.

1.5 Team registration for FIVB tournaments

The National Federation may select any team as per the FIVB Handbook regulations (i.e. country quota rules) and register it for FIVB tournaments by following this procedure:

• Insert into For (no/name) field in the Search/Register Player dialogue box the FIVB number or player’s surname of the first team player and then click on the “Search now” button;

• Once the Search Results dialogue box is displayed, you may select the desired player by clicking on the “select” at the end of the row;

• Select his/her team mate from Team mate selection dialogue box. You may select the desired team player from the Previous team mates or Other player lists by clicking on “register” at the end of the row, between, as shown below:

• The Tournaments dialogue box is then displayed, which allows to register your selected team. You may select any available tournament from the calendar by clicking on the check box corresponding to the respective tournament, as shown below:

• To confirm the team entry, click on the “Submit changes” button; to discard the team entry, click on the “Reset form” button.

Once the entry is confirmed, the team is automatically registered in the selected tournament

database and is instantly included in the tentative list posted on the FIVB website for each event. The National Federations can then check that its teams are correctly entered and contact the

FIVB immediately if a technical problems occurs.

1.6 Team deleting and team composition changing from FIVB tournaments

Between -30 days (Tentative List) and -14 days (Confirmed List) prior to the start of the tournament, the National Federation can at any time delete and/or modify the team tentatively entered in the event as follows. Team deleting

Delete a team by following this procedure: • Select the team tentatively entered as described on the above section (1.5 Team

registration into FIVB Tournaments); • When the Tournaments dialogue box is displayed, It is possible to delete your selected

team. You may unselect any unwanted tournament from the calendar by clicking on the check box corresponding to the respective tournament;

• To confirm the deletion, click on the “Submit changes” button; to discard the deletion, click on the “Reset form” button.

Once the deletion is confirmed, the team is automatically deleted from the selected

tournament database and is instantly excluded from the tentative list posted on the FIVB website for each event. Team composition changing

Change one partner by following this procedure: • Delete the team tentatively entered as described above (Team deleting); • Then reselect the new team composition for the event as described at the above section

(1.5 Team registration into FIVB Tournaments). As per FIVB regulations, the National Federation will only be allowed to replace one player

out of the two players tentatively entered by a new team mate. The National Federation will not be allowed to enter an entirely new team, once the

Tentative List has been issued by the FIVB -30 days (as then considered as a late entry).

Chapter 2

BVIS – Athlete Manual

2.1 Login

Athletes are required to comply with the following procedures in order to access their personal data only and amend it where necessary.

To enter into the FIVB Beach Volleyball web-based application, you must open an Internet browser on your computer and access the following Login page:

http://www.fivb.org/visasp/

Once the Login page is visible on the screen, as shown below, you can insert your secure

access parameters (username and password) and then click on the “Login” button to access the system.

Once you are logged in, the first time the system will ask you to accept the FIVB National

Federation-Athlete agreement. Before, you must read and accept the agreement, then you can enter into this part of the site, simply selecting the check box corresponding to the message I have read and understand the agreement; to confirm your entry click on the “I accept the agreement” button, as shown below,.

Then, the system will display your BVB homepage, as shown below, you’re your name and

surname on the left-hand side. Below these, you will find a menu for the following services: • FIVB Home: to access the Official FIVB website; • My home page: to access the main menu; • My beach results: to display your last season beach results and seasons played; • Edit my data: to update your personal data; • Edit bank information: to update your bank account information; • My account: to display your account information; • Update my photo: to update your identity portrait photo, in JPEG format.

The image must be suited for printing, so the minimum accepted image has the following size: 590 x 710 pixels. Any image that has not this minimum size will be rejected.

• Change my password: to change your secured password access; • Contact: to contact the FIVB VIS Department, by email [email protected], if a technical

problem occurs; • Logout: at the end of your operations you must select “Logout” to leave the application.

2.2 Updating your personal data

Each athlete may directly update his/her own personal data like: physical data, Volleyball/Beach Volleyball Career, Education, Family, Profile, and other etc.

It is possible to amend own personal data by following this procedure: • Select “Edit my data” from the menu on the left-hand side; • Then click on the button that you are interested in from those present at the Edit

player's data dialogue box (i.e. Personal, Physical, VB career, BVB career, Education, Family, Profile, Other), as shown below:

• Then, it is necessary to fill all fields present at the selected dialogue box; • To confirm the personal data entry, click on the “Submit changes” button, present on the

bottom of the page; to discard the personal data entry, click on the “Reset form” button. The system immediately will update your personal data.

2.3 Inserting your bank account information

Each athlete may directly amend his/her own bank account information by following this procedure:

• Select “Edit bank information” from the menu on the left-hand side; • Then, it is mandatory to fill all fields in the Player’s bank information dialogue box, as

shown below; • present at the selected dialogue box; • To confirm the bank information entry, click on the “Submit changes” button; to discard

the bank information entry, click on the “Reset form” button. The system immediately will update your bank account information.

2.4 Updating your identity portrait photo

Each athlete may directly update his/her own identity portrait photo, in JPEG format. Your image must be suited for printing, so the minimum accepted image has the following size: 590 x 710 pixels. Any image that has not this minimum size will be rejected by the system.

Browse your image in your computer by clicking on the “Browse…” button on the Update your photo dialogue box, as shown below.

To confirm the image entry click on the “Submit the new photo” button. The system immediately will update your identity portrait photo.

2.5 Change password

Each athlete may directly change his/her own secured password access to the system by following this procedure:

• Select “Change my password” from the menu on the left-hand side; • The Change dialogue box is then displayed, which allows to change your secured

password access. It is mandatory to fill in all fields on the dialogue box, as shown below; • To confirm the new password entry, click on the “Submit changes” button; to discard the

new password entry, click on the “Reset form” button.

Chapter 3

BVIS 3.1 BVIS – Installation Procedure

You will receive an email from FIVB IT Department with some instructions that you can follow to launch the BVIS.

Inside this email you will find your FTP access, (i.e.: username: bvisita; password : xxx2006).

You can insert the previous parameters to access the FIVB FTP Server (only the first time if you select automatic save of the password in the access dialogue box) to download the BVIS software and other files to setup your workstation for the tournament.

Please follow this procedure carefully:

1. You must install the latest version of the BVIS Software (build 64 or later). If you do not have the latest version of the software, you can download the installation file from FIVB FTP server under the following link:

ftp://ftp.fivb.org/vis/beach/BVIS-Updates/Software/

Select the BVIS file and click on the right key of your mouse: select “Save target as …” and then select your desktop as the destination. Once the file has been downloaded, unzip it and select your desktop as the extract folder. You are now ready to install the BVIS software: open the BVIS_64 folder on your desktop, select and copy all files to the folder C:\VIS\SOFTWARE\.

2. You can download the players database from the FTP server under following link:

ftp://ftp.fivb.org/vis/beach/Players

Select the Players.VIS file and click on the right key of your mouse: select “Save target as…” and then select the folder C:\VIS\VISDATA\PLAYERS\ as the destination.

3. You can download the tournament list from FTP server under following link:

ftp://ftp.fivb.org/vis/beach/BVIS-Updates/TournList/

Select the BTrnList.VIS file and click on the right key of your mouse: select “Save target as…” and then select the folder C:\VIS\VISDATA\BEACH\ as default folder.

4. You can download the tournament files from FTP server under following link :

ftp://ftp.fivb.org/vis/beach/BVIS-Updates/WXXX2006/

Select the WXXX2006.VIS file (tournament file) and click on the right key of your mouse: select “Save target as…” and then select the folder C:\VIS\VISDATA\BEACH\2006\ as the destination.

. 5. Open the VIS Players Management (click on the icon on your

desktop as shown on the right): When you first launch this application, you must insert your username and Country in the blank space on the open dialogue box. In the menu, select File: Import Database… ; and open the folder C:\VIS\VISDATA\PLAYERS\ on the right of the Import database dialogue box and select the Players.VIS file on the left of it, as shown in the picture below. Finally click on the OK button on the right of the dialogue box.

Finally click on the OK button on the right of the dialogue box. 6. Open the Beach Volleyball Information System (click on the icon on

your desktop shown on the right): In the menu, select File: Tournament list and then: Import Tournament list... Open the folder C:\VIS\VISDATA\BEACH\ on the right of the Import Tournament list dialogue box and select the BTrnList.VIS file on the left of it, as shown below:

In the menu, select File: Import Tournament … Open the folder C:\VIS\VISDATA\BEACH\2006 on the right of the Import Tournament dialogue box and select the WXXX2006.VIS file (tournament file) on the left of it, as shown below: Once you have complete all the above-mentioned instructions the BVIS is updated and

ready to start.

3.2 Starting BVIS Open the Beach Volleyball Information System (click on the icon on

your desktop shown on the right): Select Filter from Open beach tournament database dialogue box:

insert the current season and tournament’s Country and, then, click on the OK button on the right.

Finally select the right tournament.

3.3 Entries Withdrawal or Late Entry

If It might be necessary to remove a team from the qualification or main draw tournament

(i.e. if there is a withdrawal or a late entry), you can comply with the following procedure: 1. In the menu, select Entries: Team list 2. Select the team from the Team list report clicking on It 3. Select the according type from the combo box (i.e. Withdraw) and specify, on the

bottom of the dialogue box, date and reason of their withdrawal, as shown below 4. Deselect qualification or main draw tournament check box

5. Finally, click on button to save settings for next times

Team composition changing

If it might be necessary to change the team composition, (i.e. if there is a withdrawal of one partner), click on the corresponding player’s button (“Player 1” or “Player 2”) to change, as shown above, and select the new partner from the list dialogue box that It will open. Inserting a new team

If It might be necessary to insert a new team, you can comply with the following procedure: 1. In the menu, select Entries: New Team 2. Insert the Country code in the New

team information dialogue box (shown on the right) and select the check box corresponding to the respective tournament type (qualification or main draw)

3. Click on the corresponding player’s button (“Player 1” or “Player 2”) then select team players from the list dialogue box that It will open.

New player (player not registered to the FIVB Database)

If It might be necessary to add a new player who has never not been inserted by FIVB, you can comply with the following procedure:

1. Open the VIS Players Management (click on the icon on your

desktop shown on the right); 2. In the menu, select Player: New Player; 3. You must fill all yellow fields on the New Player dialogue box,

as shown below;

4. Finally, click on button to save settings for next times then close this dialogue box; 5. In the menu, select File: Export Database …; then open the folder

C:\VIS\VISDATA\PLAYERS\ on the right of the Export database dialogue box and select the Players.VIS file on the left of it

6. Finally click on the OK button on the right of the dialogue box and close the VIS Player Management

7. Then follow the procedures as described on the above section (Team composition changing or Inserting a new team).

8. Update points The utilization of this program function is advised in tournament’s preliminary operations and in particular every time It is not sure that the athlete’s points are corrected.

You can comply with the following procedure: 1. In the menu, select Entries: Update points 2. Insert in Previous season year the value “2005” and in

Percentage the value “100” in the Information … dialogue box (as shown on the right)

3. Click on the OK button When finished, the BVIS will automatically update

athlete’s points. In order to check player’s points, you can comply with the following procedure: 1. Open the VIS Players Management (click on the icon on your

desktop shown on the right) 2. Search the desired player’s name on the player list and click on

It. You can remember that for a more effective research you can simply order the list by Country or by other field simply clicking on the respective title column

3. Select the athlete’s information type Beach ranking from the combo box on the above dialogue box shown on the top of the page

4. It will open the list of all tournaments which have participated the chosen athlete In this way it is possible to calculate the exactly points (this procedure it also necessary to

check if the BVIS has been updated to the last carried out tournament). 3.4 Preliminary Inquiry operations

Before the begin of preliminary inquiry It will be

necessary to print the team entry list where the athletes will write their respective number (i.e. #1 or #2) and they will sign in the reserved blank space.

To print this report you can comply with the following procedure:

1. In the menu, select File: Print team entry lists 2. Select sort order by Country and the corresponding

team entry list for your tournament type from Print team entry lists dialogue box, as shown on the right.

3.5 Qualification Tournament Once the final list of participating teams to the qualification tournament is known, the

positions of the players have to be determined.

Update seed You can comply with the following procedure: 1. In the menu, select menu Qualification: Update seed 2. Insert in Default/max seed the value “0” in the Default

seed dialogue box (as shown on the right) 3. Click on the OK button When finished, the BVIS will automatically update player’s seed for the qualification tournament.

The Drawing of lots

The drawing of lots must take place during the technical meeting and will determine the

seeding of some of the teams having a tie and of the host country teams. Once the drawing is completed, it is necessary to insert the results to the BVIS system by following this procedure:

1. In the menu, select Qualification: Team list 2. Select the team which is necessary to carry out a change of position from Team list

Qualification tournament dialogue box, as shown below then you can move it more

up or more low using the up or down arrow buttons , until carrying it in the desired position

Country Quota Play-Off matches

If It might be necessary to play country quota play-offs (CQPO), you can comply with the following procedure:

1. In the menu, select Qualification:

Country quota playoff and then Load Tournament format …

2. You can check Countries which have in the correspondent column “to qualify”, as shown on the right, a numerical value different from OK. Only for these Country is necessary play CQPO

3. Select Countries that you want to create CQPO matches and click on the “Browse…” button selecting the correspondent match’s format from the list on the Format file dialogue box, you could select only the format’s file names which begun with the prefixed PO

4. Finally click on the OK button to create CQPO matches

5. You can execute operations illustrated at previous point 3 and 4 for every Country which is necessary to create the CQPO matches.

6. Then, in the menu, select Qualification: Update matches to update the match’s list with all changes carries out.

After Country Quota Playoffs Once the insertion of all the CQPO match’s results is finished, It will be necessary to advance the winning teams to the qualification tournament by following this procedure:

1. In the menu, select Qualification: Country quota playoff and then: Keep only qualified teams …

2. In the menu, select Qualification: Renumber teams 3. You can check if only the qualified teams are in the qualification team list and all team

positions are ordered by number in increasing mode and if the team order is still the same as it was after the drawing of lots.

Load Tournament format

It might be necessary to load the tournament format to play the qualification tournament, by

following this procedure: 1. In the menu, select Qualification: Load Tournament format … 2. Select a match format from the list in the Format file dialogue box. You can select only

format file names which begun with the prefixed Q, depending to the number of teams.

Court assignements and Match results In order to insert or modify the relative information to every single match, you can comply with the following procedure:

1. In the menu, select Qualification: Match list

2. Click on the match to modify from Match list dialogue box

3. You can fill the following fields, as shown on the right, to make a court assignment:

• Court: number of the court assignment

• Date and Time: when the match will be played

4. If It might be necessary to insert a particular event happened during a match that will take effect on the final result you can select the right reason from the Type list box.

5. In order to insert a Normal match result, you can fill the following fields:

• Set results: to insert the set results, pay attention to the insertion order (in fact it is necessary to insert as first result those relative one to the team A present in the Match dialogue box, and so on)

• Set time: to insert the set time duration 6. You can fill the following fields to insert the relative referees information:

• 1st Referee Name and Country • 2nd Referee Name and Country

7. Finally, click on button to save changes 8. Then, in the menu, select Qualification: Update matches in order to carry out the hardly

inserted changes to the match list.

Pay attention to CQPO matches, It is necessary to update every match information, replace the value “57” to the Loser rank field with “NA”, because the CQPO loser team does not entitled to points. After Qualification Tournament

Once the insertion of all the match’s results is finished, It will be necessary to advance the winning teams into the main draw tournament, by following this procedure:

1. In the menu, select Entries: Team list 2. Select only teams to advance (one a time) from the Team list report by clicking on It 3. Select the main draw tournament check box

4. Finally, click on button to save settings for next times Repeat the above procedure for all teams to qualify. You can check if only qualified teams are in the main draw team list. If there are teams from the main draw tournament that withdrew, lucky losers will fill the gap. 3.6 Main Draw Tournament

Once the final list of participating teams to the main draw tournament is known, the positions of the players have to be determined.

Lucky losers

If there are lucky losers in the main draw, their rank from the Qualification Tournament has to be removed, because they do not get double points in their final ranking, by following this procedure:

1. In the menu, select Entries: Team list 2. Select only teams to advance (one a time) from the Team list report by clicking on It 3. Select the main draw tournament check box

4. Finally, click on button to save settings for next times 4. You can check if only qualified teams are in the main draw team list 5. In the menu, select Qualification: Match list 6. Find the last played match of the desired team and click on it to open it 7. Replace the Loser rank field with the value “Q”

Update seed You can comply with the following procedure: 1. In the menu, select Main Draw: Update seed 2. Insert in Default/max seed the value “25” (maximum

seed and last ranking in a 32 teams Main Draw Bracket, the value “17” in a 24 teams Main Draw Bracket, the value “13” in a 16 teams Main Draw Bracket) in the Default seed dialogue box (as shown on the right)

3. Click on the OK button When finished, the BVIS will automatically update player’s seed for the main draw

tournament. Load Tournament format

It might be necessary to load the tournament format to play the main draw tournament, by

following this procedure: 1. In the menu, select Main Draw: Load Tournament format … 2. Select a match format from the list in the Format file dialogue box. You can select only

format file names, depending to the number of teams and duration days of the tournament.

3.7 Print Bulletin At the end of every day or every time it is necessary to print the entire day bulletin or whichever It is necessary to print a report inherent update results or ranking or match schedule, you can comply with the following procedure:

1. In the menu, select File: Print bulletin 2. Select from Print options dialogue box, as

shown on the right, select check boxes from qualification or main draw tournament section that you want to print and click on the OK button.

3. Setup the cover page by clicking on “Options” button

4. You can check if the Bulletin no and Date fields on the Options for bulletin dialogue box are corresponding to your scope, as shown below:

3.8 Tournament information

If It might be necessary to change the standard tournament information, you can comply

with the following procedure: • In the menu, select File:

Tournament info • Click on the desired button, as

shown on the right: o Main draw: to modify main

draw information o Qualification: to modify

qualification information o Prize money: to modify

prize money information o Logos/Titles: to modify

bulletin logos or tournament bulletin title information

• For example, to change Logos, select the correspondent logo type, by clicking the right key of

your mouse and select Link to file … Then, open the folder C:\VIS\ VISDATA\BEACH\LOGOS\ on the right of the Link image to file dialogue box and select the desired file on the left of it.

3.9 BVIS export on FTP Server

The first time you export tournament files, follow the preliminary instructions below carefully:

1. Select the folder C:\VIS\SOFTWARE\FTP\RESULTS\ on your computer, then create a

shortcut to the ftpbvis.bat file on your desktop. 2. Modify the script file (using Notepad application on your computer), named script.txt as

described below: • Replace xxxuser by your username; • Replace xxxpass by your password; • Replace the tournament folders by the right code (WXXX2006 or MXXX2006); • Save and close the previous file.

Below, you can found two example of script files, for two kinds of tournament, that you can use as point of reference:

• Double gender • Single gender

SINGLE GENDER Script BVIS file

To setup the export of Tournament HTML files, follow the procedure below:

1. In the menu, select Internet: HTML export … 2. Select check boxes from qualification or main draw tournament files section that you

want to export 3. Click on the “…” button in the HTML export options dialogue box (inside of the red

circle, as shown below) 4. Open the folder C:\VIS\BEACH\2006\WXXX2006 on the HTML export directory

dialogue box. If It doesn’t exist: open the folder C:\VIS\BEACH\2006\ and clicking on the “Create” button on the same dialogue box and create a new folder named WXXX2006 like your tournament code

5. Click on “Save settings” button to save settings for next times 6. Finally to export tournament HTML files on your computer, select the OK button on the

HTML export options dialogue box.

Whenever you make any changes to matches or other operations in the BVIS tournament files it is necessary to convert all files in a web format, following this procedure:

• In the menu, select File: Export tournament … • Open the folder C:\VIS\ VISDATA\BEACH\2006\ on the right of the Export of the

Tournament dialogue box and select the WXXX2006.VIS file (Tournament file) on the left of it.

• Finally to export tournament files on your computer, select the OK button on the same dialogue box.

Once you have completed all the above-mentioned instructions, click on the shortcut to ftpbvis.bat file on your computer desktop to export all tournament files (BVIS and HTML pages) on the FTP server.

When you start the automatic export procedure, a black window will open, which closes once the update procedure is completed. After few minutes your updated BVIS and HTML pages will be online on the FIVB website (www.fivb.org) in your tournament directory.

3.10 Solution to main problems using the BVIS

In this section we will describe the solution to main problems that could happen using the BVIS:

1. When the update points procedure is finished, if there are any differences with the real points of the players, it will be necessary to check their world ranking by following this procedure:

• Open the VIS Players Management • Search the desired player’s name on the player list and click on It. You can

remember that for a more effective research you can simply order the list by Country or by other field simply clicking on the respective title column

• Select the athlete’s information type Beach ranking from the combo box on the player’s dialogue box

• It will open the list of all tournaments which have participated the chosen player

In this way it is possible to calculate the exactly points. If there are not inserted all the points relevant to the last played tournament, it will be necessary to download the last version of the tournament list from FTP server, by following this procedure:

• Open your internet browser and download the tournament list from FTP server

under following link:

ftp://ftp.fivb.org/vis/beach/BVIS-Updates/TournList/

Select the BTrnList.VIS file and click on the right key of your mouse: select “Save target as…” and then select the folder C:\VIS\VISDATA\BEACH\ as default folder

• Open the Beach Volleyball Information System. In the menu, select File: Tournament list and then: Import Tournament list... Open the folder C:\VIS\VISDATA\BEACH\ on the right of the Import Tournament list dialogue box and select the BTrnList.VIS file on the left of it.

2. When the export BVIS files procedure is finished, if your updated BVIS and HTML pages will not be online on the FIVB website in your tournament directory, it will be necessary to check export files by following this procedure:

• At first, check if the export script file (named script.txt ) on the folder

C:\VIS\SOFTWARE\FTP\RESULTS\ is similar to sample presented on above BVIS export section (3.9 BVIS export on FTP Server)

• Then check on the folder C:\VIS\VISDATA\BEACH\2006\WXXX2006 (tournament folder) if there are the HTML export files, as shown below:

• Then check if the HTML export files are the last version by clicking on it.

3. It is a good rule to execute a preventive measure, an action for provisional remedy, that aims to dodge round eventual errors that could happen using the BVIS. Whenever you make any changes to matches or other operations in the BVIS tournament files it will be better to execute an export operation, by following this export procedure:

• In the menu, select File: Export tournament … • Open the folder C:\VIS\ VISDATA\BEACH\2006\ on the right of the Export of

the Tournament dialogue box and select the WXXX2006.VIS file (tournament file) on the left of it

• Finally to export tournament files on your computer, select the OK button on the same dialogue box.

4. If it will happen an accidental crash of the BVIS, it will be necessary to import the last

tournament exported file, by following this procedure:

• In the menu, select File: Import Tournament … • Open the folder C:\VIS\VISDATA\BEACH\2006 on the right of the Import

Tournament dialogue box and select the WXXX2006.VIS file (tournament file) on the left of it.

If any technical problems not previously explained occurs, please contact directly the FIVB

VIS Department to solve them.

Chapter 4

BVIS – Press Releases Manual 4.1 Press releases preparation

Open the BVIS, select the desired tournament and then in the menu, select File: Press releases.

A Press release list dialogue box will open with empty releases.

In order to insert a new press release, you must click on “New” button on

the dialogue box and fill in the relevant information in the press release dialogue box.

Then proceed as follows:

• Click on “Press release” button to insert the entire press release;

• Click on “Summary” button to insert the summary;

• Click on “Photo legend” button if you want to attach a photo;

• Select the type of your press release.

When finished, click on “HTML…” button to export the press releases in a format recognized from the FIVB FTP server; open the folder C:\VIS\BEACH\2006\ on the right of the HTML export file dialogue box and select the WXXX2006.REL file (press releases tournament file) on the left.

4.2 Press releases export on FTP Server

The first time you export press releases, follow the preliminary instructions below carefully: 1. Select the folder C:\VIS\SOFTWARE\FTP\PRESS\ on your computer then create a

shortcut to ftppress.bat file on your desktop; 2. Modify the script file (using Notepad application on your computer), named script.txt as

described below: • Replace xxxuser by your username; • Replace xxxpass by your password; • Replace the tournament press releases file by the right code (xxxx2006.rel); • Save and close the previous file.

Whenever you make any changes to the tournament press releases, click on the shortcut to ftppress.bat file on your desktop to export them.

When you start the automatic export procedure, a black window will open, which closes once the update procedure is completed. After few minutes your updated press releases will be online on the FIVB website (www.fivb.org) in your tournament directory.
