eRecruit Updated Process/HEFs

eRecruit Updated Process/HEFs Staff Positions:> Must include answers to the following questions in eRecruit (enter

in approval chain comments):1. Explain why filling the position is essential2. What are the core functions of this position3. Funding source (chartfield string)4. Salary information (budgeted salary range)

> Must include the fiscal manager or delegate in the approval chain in eRecruit for both posting and offer.

> Counteroffers need to go back through the original job offer chain.

eRecruit Updated Process/HEFs Academic Positions:> Hiring Faculty Approval Form (HFA) will still need to be processed

and attached to eRecruit posting.> HFA approvals for ranked faculty will need to be routed through

the Provost’s Office ([email protected]) > HFA approvals for part-time and non-ranked faculty do NOT

need to be routed through the Provost’s Office > Must include the fiscal manager or delegate in the approval chain

in eRecruit for both posting and offer.

eRecruit Updated Process/HEFs New Positions and Reclassifications (PCQs):

> Additional remarks are required that identify why you are requesting the PCQ (either change in title or new position) and justification.

> Include the questions below on the last page of the PCQ in the additional comments box:

> Explain why filling the position is essential.

> Funding source (chartfield string)

> Salary information (budgeted salary range)

> Fiscal manager or delegate reviews for funding, prior to sending to the division leader or Provost’s office.

> Division leader or Provost’s Office approves or denies request. If approved the PCQ is forwarded onto the Vice Chancellor of Finance and Operations’ office.

> The Vice Chancellor of Finance and Operations’ office will need to review and sign all PCQ’s prior to them being routed to HR.

> Note: these approvals are required to initiate a position classification review. The outcome of the review may result in a different job title and grade level than is noted on the PCQ. The outcome is based on the job duties and other details provided in the PCQ. If the classification review returns a different job title or grade than was requested, the PCQ will be routed back through the fiscal manager or delegate.

eRecruit Updated Process/HEFs Temporary and Part-time Position Number Requests:When requesting a temporary or part-time position number, an approval email will need to be sent from the requesting department to the college/division leader for approval before being sent to Human Resources for assessment. The following information will need to be included in the initial email being sent to the college/division leader:

1. Explain why filling the position is essential2. What are the core functions of this position3. Funding source (chartfield string)4. Salary information (budgeted salary range)5. Job code6. Department ID (ex. RHUMNRES)7. Who the position reports to and their position number8. Hours per week

eRecruit Updated Process/HEFs

Flu Shots> On-campus flu shots are available by appointment only. > As a reminder, flu shots are covered for faculty, staff, dependents

(children 7 years and older accompanied by a parent or guardian) and retirees enrolled in UM System medical plans. You'll need to register yourself and each dependent you would like to receive a flu shot separately. A confirmation email will be sent for each appointment you schedule.

COVID Protocols> COVID Protocols can be found:

> If you are experiencing symptoms, advised to isolate or quarantine, have tested positive for COVID or have been in close contact with someone who has tested positive for COVID contact:> Supervisor > Student Health ([email protected])> Human Resources ([email protected])

> Employees should not return to work until they have a return date from Student Health.

Updated GT eForms> Only available in ePAF (New 3x) section, effective September 27:

> Additional Pay> JED> Status Change> Work Address Change

> Only available in the ePAF Classic section:> Hire> Job Change> Courtesy Hire (possibly upgraded by December 2021)

> ePAF division approvers will need to navigate to both sections to locate and approve appropriate forms. ePAFs may only be viewed in the section that they were created in.

ePerformance> The fiscal year has been divided into three separate time frames to provide

guidance on when the Progress Check-Ins will need to occur.

> Fiscal Year 2021> April – July (rated) DONE!

> Fiscal Year 2022 and beyond> August – November> December – March> April – July (rated)

> Progress Check-Ins can occur at any point during the current performance time frame to allow flexibility around business needs such as the academic calendar, budget cycle or seasonal work. Please note that Progress Check-Ins must occur before the end of the month for the current performance review time frame.

ePerformanceEach Progress Check-In will have three areas for both the employee and manager to review:

> Successes and accomplishments> What has the employee achieved/completed since the last Progress Check-

In?> What is working well and helping the employee meet their

goals/objectives?

> Concerns and growth opportunities> Has the employee experienced any challenges in meeting their goals?> Are there any professional concerns or developmental opportunities?> Are there any changes to these goals that the employee or manager should

consider?

> Next Steps> What are the next steps for the employee and the manager?> What assistance does the employee need to accomplish their steps?
